I make no secret about it in this episode. The Henderson is one of my favorite wedding venues to be a part of the wedding event team at. Imagine my excitement when I got the chance to chat with Jillian McCarthy, the Wedding Sales Manager! I wanted to get her take on why couples book their weddings there as well as the importance of having a solid wedding event team to make your wedding a flawless experience for you and your guests.

She also shared how The Henderson has adapted to the threat from COVID-19, what it's like relocating to the Emerald Coast from Connecticut, who she'd want to have dinner with, and her latest guilty pleasure.

DJ Josh: Well, hello again, everyone. Thanks for checking out the podcast. My name is DJ Josh with Highlight Weddings & Events. And, I have a really, super awesome guest today. Her name is Jillian McCarthy from The Henderson in Destin, FL. How are you doing today?

Jillian McCarthy: Great! How are you? Thanks for having me.

Josh: Oh, my pleasure. I figured the best place to start is kind of introduce yourself to the listeners. Who is Jillian McCarthy and how did you come to The Henderson in Destin, FL?

Jillian: Sure. So I actually moved here in June of 2018. So, I’ve been here for just about 2 years. My fiance and I both grew up in Connecticut, and he is in the service. So he moved down here in 2016. And I was doing weddings at a location up in Connecticut where we both grew up and then we did 2 years long distance. And, once we decided personally to take the next step, started look for some wedding sales positions down here, and I saw The Henderson was posted and stars aligned and it all worked out.

Josh: Ok. What does your fiance do?

Jillian: Uh, he’s a Green Beret in the Army here.

Josh: Ok. Cool. The reason why I asked that for those of you who’ve never been to this area. We have Air Force, Army, Marines, and Navy all within like 50 miles?

Jillian: Yes. It’s a very big melting pot here, actually.

Josh: So, that is why I asked. That’s really cool. I was in the Air Force but I was stationed with the Army, so i got a taste of both of the branches of service, so. What I love about The Henderson is that it is a great wedding venue. What about being a part of the wedding event team excites you personally?

Jillian: I got into weddings in college. I always wanted to just be a part of the weddings. I mean, shows when I was in high school like the TLC 4 Weddings and Say Yes To The Dress, those were big shows at the time.

Josh: Oh, yeah. That’s right.

Jillian: So, I started watching them, and I found out that you could do it as a career. So, I was like, “I’ll just do it!”

So, I just love the team atmosphere. I think behind the scenes and then front of house just, you know, between banquets and culinary, it’s just fun to be a part of a fast-paced team and every day is different. So, I really love that sometimes you don’t know what you’re going to expect in a day. And, you know, you can plan everything absolutely perfectly be thrown for a loop, too.

Josh: Definitely. What I find interesting, specific to the wedding industry, is that everybody plays a small part in the whole thing. For instance, I worked as a screen printer. And, we did the entire printing. Like, obviously, we had to get the shirts. But we were the only company that was involved in it. Whereas with weddings, you’ve got the DJ, the venue, the coordinator (if there’s one), the catering staff. There’s so many different parts. And I think the more experienced you are in the wedding industry, the more service-oriented you are. So, you’re cognizant that “I’m playing my part, but everyone else has to play their part together.” 

Jillian: Yeah.

Josh: So, it really makes for a good, it’s like a team atmosphere. It’s like “Yeah! We’re gonna get this done and the couple and all the guests are gonna have a great time.”

Jillian: Well, there’s a ton of trust that goes into it, too. I have to trust that the vendors that come in are going to do their best and same with our team. Not one person control all it. So, it’s a good feeling when it goes off well.

Josh: Mmhmm. Definitely. So, let’s say that a couple books The Henderson for their wedding venue. What can they do, working with you and the staff, make their wedding a highlight?

Jillian: So, one of the things that we pride ourselves on at The Henderson is being able to customize for the bride and groom. So, I think that if they, you know, are open to ideas and creativity. It doesn’t have to be just what we present them on paper. And then they can really make it a customizable, personal experience. You know, from their welcome bags to itineraries for the weekends when the guests check in. And then at the wedding  itself.

There are things like Signature Drinks. I have so many couples who love to do signature drinks but almost nervous to give that personal touch because they think people will just take a glass of wine or have a beer. So those things really give a lot of personal touches and we can do that from food to a custom hors d'oeuvres or setup or a layout, and again, those welcome bags you give out at checkout, favors you give at the end of the night. We, at The Henderson, are very go with the flow, so it’s really nice when couples come to me and they’re like “This is how I want to put my personal touches on it.” And then it makes it memorable for the guests. And that’s what they talk about years later.

Josh: Oh, I totally agree. It’s cool when a couple wants to do something unique. Because, one, I know that they’ve actually put some thought into “Ok, how can we make this wedding our own?” But if guests have been to multiple weddings, it’s really appreciated when the couples pick something that’s specific to them because then it just stands out even more. It’s not like what you were talking about where it’s just “Oh, it’s just gonna be a wine or a beer.” It’s cool if they have a signature drink and they name it something specific.

I remember there was a wedding that I was a part of where they both had dogs. And the bride’s drink was named after her dog and the groom’s drink was named after his dog. So, it’s just. Those little unique features specific to the couple really let the wedding stand out and shine.

Jillian: And I had a couple from Texas one time. And they did a fully custom Southern-inspired menu. And it was an awesome menu. They put it together. W worked with our chef. It was from fried chicken to sweet tea and mac-n-cheese and cheesy grits. And that was really fun for their guests to have a taste of home, too. And, I mean, our chef is, unbiased opinion, our chef is awesome, so the food was great. But, um. I mean the food’s great anyway but that was just cool for the couple for all their friends and family to stay with us from Texas to be able to do that for their guests, too.

Josh: Ok. So, other than the fact that you highlight and emphasize customizing the event, what about The Henderson makes it attractive to book a couple’s wedding at?

Jillian: So, we have a very unique property. We are really able to make every single wedding different.

We have a bunch of event locations. So you can get married right on the beach itself. And we have a private beach front. So it makes for a different feel for when our couples are out there. You know we have a lawn that overlooks the beach. We have ballroom space which is sometimes hard to find in our area. So we have the ability to do a tented reception out on our grand lawn or we can do something in the ballroom. You know, sometimes couples just prefer that. Sometimes they want to get married in a colder month or a hotter month, so we have the ability to move them inside. So it’s just really nice that they can pick a different location for their ceremony or cocktail hour. And then we have terraces. We have rooftop bar that we can utilize, so there’s a lot of unique places but also every place is just beautiful.

Our resort has a very kind of luxury coastal feel. Almost with a new england charm to it. I don’t if that’s why I like it because I was born and raised in New England, so it’s nice to have that taste of home. But ballrooms sometimes are an afterthought. And, the people who created the Henderson did such a wonderful job putting together a beautiful ballroom for a wedding. So, couples don’t need to do a ton of draping in there or covering up walls or anything. So, that makes that space great.

And, then we have our grand lawn which is becoming more and more popular. We can do sailcloth tents. We can do clear top tents. So, every single couple has a different couple when they come in. So it gives them that special feel in that it highlights their wedding where they’re not the same as every other Henderson bride.

Josh: One of my favorite, I guess, wedding configurations if you will, is having the ceremony on the beach, because obviously it’s in Destin. And then having the cocktail hour on the, is it the Sunset Terrace? That’s on the main floor. And then transitioning to the ballroom. Because you really, it’s almost like, instead of having the cocktail hour just in the ballroom, it creates three chapters to the story instead of just dividing it between ceremony and reception. 

Jillian: Exactly. Yeah.

Josh: And, it’s just a really, really cool. I do like the fact that you added the rooftop terrace as well because that’s an even cooler view itself too. The most recent Henderson wedding I was a part of, they had the cocktail hour there. It really fit their guests vibe. They were a younger crowd. More rambunctious if you will. So it really fit everybody that was there as a whole.

Jillian: Yeah. We have a unique opportunity where our venue suits a couple who want to be super casual, very beach feel. But, then, with the ballroom or the tented lawn, you can go a little more formal which some people do want. Maybe they like the location but they don’t want to be right on the beach. So, we get to capture a lot of different styles and tastes as well.

Josh: And, i mentioned the wedding event team earlier. How important is it to you to having a cohesive event team to surpassing the couple’s, and their guests’, expectations for the wedding?

Jillian: Oh my gosh. It’s probably one of the most important things in my opinion. In the position I’ve been in when working at a venue, whether it’s at the Henderson or elsewhere, for you know five years and beyond that. Having an event team that is knowledgeable of the property and the couple is so important.

We get some brides that really want to do a lot themselves and I can totally understand wanting to put your own personal touches on the wedding. But it really makes it a lot easier on the bride and groom, especially on the day of the wedding, to have an event team do it for them.

Then they can relax. The girls can get their hair and makeup done all day. The guys can hang out by the pool or go out to the beach. And, they just don’t have to worry about anything and they know it’s taken care of it.

And then, it’s just things during the reception as well. If you have an event team, from your planner, photographer, DJ, that all know each other, it makes it a lot easier to have the event be seamless. So if ceremony time is running behind or there’s few extra photos on the beach, having the people there who can adapt and change. You know, maybe we wait an extra 10 minutes to serve the salads. Or “Hey. We’re going to push the first dance 15 minutes.” Having those people in place to kind of go with the flow just makes it so much easier on the bride and groom. And, you know, the bridesmaids or the mother of the bride or mother of the groom the day of the wedding, they just don’t have to worry about anything.

Josh: Yeah. For me, a wedding is stressful enough and the hard thing about being involved in your wedding, if you’ve never been involved in one, you can’t understand how it feels the day of. It’s the hardest thing to articulate to a couple. You want to minimize the amount of things that are going to cause you stress because the day itself is just stressful.

Jillian: It’s so emotional.

Josh: There’s so many things going on and time really compresses. I remember my wedding. There were so many things that were “Ok. We gotta go here. And we gotta go there.” And then you turn around and your wedding is almost done. And you’re like, “Where did the time go?”

Jillian: I know. I hear that all the time.

Josh: And my thing is, I don’t want couples to have to get out of the “I’m enjoying my moment” mode to be like “Oh, we need to do this thing.” I feel like it kind of robs them of the wedding experience in a way.

Jillian: At our venue, specifically, we require a planner. So we really like to see full-service planning with our brides because again it just makes it so much easier on them. The planner can filter a lot of information and give them things that they haven’t thought about. It’s little things that the planner can help make sure that at the end of the night all of their items get back to their room at the resort. You know, again, it doesn’t take them off of that adrenaline rush and that high and that time with their friends and family that then have to turn around and work.

Josh: Also, having a planner allows them to be a point of contact for questions. Like for me, specifically. For instance, Sherri Kuhn. Shout out to Destin To Wed. She’s amazing. If she is the coordinator, I know that I don’t need to contact the bride and groom for questions that she has most likely answered or already gotten the answers to. I can just reach out to her and be like, “Hey, Sherri. I haven’t heard about this thing. What’s going on with it.” And, usually she immediately emails and says “Oh, yeah. Da da da da da.” And then, I’m like, “Cool.” So it really helps to streamline the wedding planning process for the couple even before the wedding happens. They’re not inundated with a whole bunch of emails from all the different wedding professionals that are a part of it.

Jillian: Exactly. And I have so many destination brides and there are so many great planners in this area that know this town and this area like the back of their hand that they are so resourceful and so helpful to have, because things that come up that a couple may not anticipate to, you know, telling the vendors where to load in and confirming those arrival times. You know, just all of it. It’s so helpful to have someone there who can be that buffer and that liaison between the couple and the vendors.

Josh: Definitely. So, I’m going to highlight your catering staff.

Jillian: They are the best.

Josh: They are the best! For me as the DJ, when I show up, they are the first people I see. Now sometimes the coordinator or the florist are doing the final touches. But they are the first people that I tend to be like, “Hey. How’s it going!” They are the best. Everytime I hear a couple is having a wedding at The Henderson, I’m like, “Oh, you’ve picked a great one.”
Jillian: I know. We’re so spoiled. I’m so spoiled with my catering and culinary team. They’re just really so good.

Josh: Definitely. And my philosophy is, if a venue treats the vendors and the wedding pros that are part of the event team well, I know they treat their guests event better.

Jillian: I know. I’ve never had, I’ve been at the Henderson for two years and done 100 or so weddings in that time and I’ve never once heard a complaint about our banquet, catering, and culinary team. It’s really a blessing to have that because that’s such a big part. You know they make the wedding happen on our side.

Josh: Oh, they do.

Jillian: I’m there to guide. They really are the ones who do the leg work and just make it happen for our couples.

Josh: Yes. Alright, so we are going to transition and talk about current events right now because as of this recording, COVID-19 is still a thing. And it’s still kind of there in the background. So I like to ask all of my guests, what has your experience been with COVID-19?

Jillian: It has been a roller coaster. Emotions and stress and anxiety. I mean, I think that’s just how it is right now for kind of everyone. But I think that The Henderson is handling it gracefully. Unfortunately like a lot of places, were closed down for a period of time. But in that time, our team that stayed on put together so many protocols to make it safe that we’ve been able to successfully host multiple events and weddings since we’ve reopened in May. So we are really fortunate. Just little things like added hand sanitizer stations, extra sanitation in the guest rooms, and really following the CDC guidelines from food service to all the service professionals to every manager. Before they go into The Henderson that day they get their temperature checked. Everyone wears masks 24/7. So, we’re really there to protect our guests but my brides are taking this so well. I don’t know what I would do if this were my wedding and this was happening. I would, personally as a bride, I don’t know how I would do it. Everyone is just like “This is how it is.” They’re looking at the bigger picture, which is really nice which is what the wedding is about. So, they really want their friends and family to be there and be safe, so some people are postponing. Some people are making it an intimate wedding, so we’re just kind of doing what they planned. Smaller scaled and fitting the space to be what they want. Everyone, again, is just handing it very well. And everyone is just being upbeat which is really a blessing.

Josh: Yeah. I think part of it has to do with the fact that they’re working with The Henderson. And, because you guys are super professional, so that kind of helps take some of the edge of the uncertainty off. Especially if you’re allowing them to be updated on the different protocols that you’re putting in place from the CDC guidelines and that kind of thing.

And reacting to COVID-19, is kind of a macrocosm thing of how it is for a wedding anyway. Because, and, like you said earlier, it doesn’t matter how good your plan is. Stuff just happens. And, it’s not whether it’ll happen. It’s when it’s going to happen. And, having, I’m actually writing a blog about live streaming, and one of the things about being a wedding pro is you make the plan and then you have backup either plans or equipment in place in case something doesn’t work right. So that you can easily pivot and transition and make it go off without a hitch still.

Jillian: Exactly. And that’s another one of the things that’s great about our venue. For the couples who are still choosing to have their wedding, we have a lot of open air spaces which we find a lot of couples are moving to for. Maybe they were planning to be in the grand ballroom and now they want to go with the grand lawn. We have the flexibility in some situations to move them. And then, if someone is in the ballroom, we have a very large ballroom that we portion off to fit the guest size to make it intimate for them. But if they have a little bit of a medium sized guest count and maybe you would typically use two sections of our ballroom, we can open it up to social distance with chairs and put a larger dance floor down to really give everyone that comfort, so the guests feel comfortable in that environment.

Josh: You also have the smaller ballroom as well, which I think is really cool.

Jillian: So, we have put together an intimate wedding package that’s really perfect for couples who have a guest count of anywhere from 15 to even 50 guests and want to do something a little smaller scale and just with friends and family. We have, again, those spaces that fit well. So rather than our largest ballroom, we have an intimate ballroom so you don’t have to have one of those pop-up walls in place and it just makes it really comfortable for the guests who are there. And that ballroom can seat, for a wedding, about 50 or 60, so it’s perfect if someone has 25 or 30 guests, even 40. We can space the chairs out for them.

Josh: Nice. Where does The Henderson see itself trending toward? It’s been really cool to see how The Henderson has become itself. Because when I was first started in weddings, The Henderson wasn’t even in existence yet or it was about to start construction. So, where do you kind of see The Henderson heading toward in maybe like 5 years.

Jillian: So we are located in Destin, FL. And, Destin is a growing location. We are kind of more of a luxury property, so we are bringing a higher feel to the area. And I think that we just want to see that continue to grow over the next 5 years. This year was supposed to be the best that we’ve ever had. Unfortunately with everything happening, it’s thrown us through a little bit of a loop. But we just want to bring that coastal luxury to Destin. Give them a little bit of a different feel because Destin is a great location for activities and getting out to the 30A or the Pensacola area. So if people are here, it’s a really good centralized location on the panhandle.

But for weddings, we just want to see them grow. We’ve had tremendous growth year over year the past few years that I’ve been here. We just want that to continue and forming relationships and getting our name out there. We’re still a young property. We’re a part of Salamander which is based in Middlesburg, Virginia, and we’re a smaller luxury boutique hotel. We just want to continue to grow and get our name out there. Have people come from everywhere to come stay with us.

Josh: Well, that’s awesome. I hope it does happen because your venue is probably my top 3 in the area from being a part of events.

So, now that we’ve talked about Jillian, the professional, and The Henderson, do you mind talking about yourself personally?

Jillian: Yeah.

Josh: Ok. So, I have a few questions. What did you want to be when you grew up?

Jillian: So, I wanted to go into physical therapy. I grew up an athlete. I played soccer was the main sport. I ran track and soccer. I didn’t play in college but I played on a club team. And so I wanted to go into physical therapy for the longest time because it was sports related. And then I found out how much school was involved and then I quickly switched to hospitality. Yeah, so, I always wanted to be connected to student athletes and I loved that team atmosphere with the weddings. I always grew up as part of the team. I always wanted to do something sports medicine, physical therapy, athletic training related.

Josh: Since you lived in New England, before arriving in Destin, what was it like adjusting here and how do you think living in New England has shaped you as a person?
Jillian: I love both locations. There’s a lot of things I miss about New England. People come to Florida to escape the snow, but I love the snow. I love skiing and you know all those winter activities. I really love. But I think it’s a big eye opener just from different types of people. It’s a very different climate and atmosphere down here. It’s just little things. A lot of the brides that I have are younger. Whereas when I worked in Connecticut, they were a little, not older, but they’re 30 or 31. It’s just a little different. So, it’s more of a family feel down here. But yeah, i mean, it’s super fun. I don’t think i’ll ever get used to the humidity to be honest.

I moved here in the middle of June in my first summer.

Josh: Oh, no!

Jillian: I know. So, the first summer I was here, everywhere I went I brought a sweatshirt with me because in New England in June, it cools off to be you know 60 degrees. So all my friends were like, “Why do you have that sweatshirt,” and I’m like, “You know. In case it gets cold.” That sweatshirt has not left its closet in like 2 years because it just never went away.

Josh: Well, maybe in like December or November, right?

Jillian: Yeah, yeah. Maybe. My fiance said we couldn’t get a coat rack because no one wears coats in Florida.

Josh: Yeah. Oh, man. It is basically going from New England to the South is pretty much a culture shock inducing kind of thing, even though we are in the same country. It’s very interesting just how things differ regionally.

Jillian: It’s interesting because I grew up in Connecticut, so I’m halfway between Boston and New York, so I was talking to my girlfriends from college. There’s a group of four of us, or five of us including myself. And, I was talking about how one of my coworkers the other day said she went to New York for the first time when she was 25. It’s just so interesting because we would take trips up to Boston and New York as part of a class trip. So, you know you kind of take for granted when you’re there but now that you’re down here, it’s just so different what experiences people have growing up.

Josh: Oh, yeah. I definitely think that if someone gets the chance to explore other areas, they should totally do it. Just because, especially if you stay in the place that you’ve grown if you stay in the same place you’re whole like, you miss out on just kind of experiencing what life is like for other people.

Jillian: Yeah. I just think that you mature so much moving from. We moved here. We don’t have any family here, you know, my family’s, we’re all spread out now, but everyone was centrally in Connecticut. We grew up both in Connecticut. Our families were all from New England. So it was big leap of faith.

Josh: Well, I’m glad you made the leap of faith.

Jilian: Yes. I love it here.

Josh: So, if you could have dinner with someone, dead or alive, who would you pick and why?

Jillian: Honestly, probably Jennifer Anniston, because I love her.

Josh: She’s awesome.

Jillian: I’m like a huge Friends fan. My friends and I talk about it all the time. I own all the seasons on DVD because it came off of Netflix and I had them from years ago. I don’t know. She’s so cool. She’s so funny. Very outspoken as a female in her industry, too, so it’s pretty empowering to follow her in her thoughts. So I just think she’s funny and cool. I want to be her. What about you?

Josh: Oh, man. Now you’re going to flip it on me. Who would I? I don’t know. Partly I kind of want to have dinner with like Isaac Newton?

Jillian: Oh, you’re way more profound than I am.

Josh: No! No. And not because he came up with gravity or the laws of motion but more because I would just like to see. Or like Benjamin Franklin. Just to see what their perspective would be like being zapped to the future and how we have cell phones and tablets and we can communicate instantly with people just to see if they could’ve imagined or envisioned life like it is now.

Jillian: That’s interesting. Yeah.

Josh: I actually didn’t even think of an answer to that question, so.

Jillian: Well, you caught me off guard, so.

Josh: What is your current guilty pleasure?

Jillian: I really love wine. Have a glass of wine with everyone I meet. People know me for drinking wine. Rose or red or white, I’ll match whatever you do.

Josh: What’s your favorite?

Jiliian: I really love some Blanc for white or cabernet but and I didn’t have wine until recently. My mother-in-law got me hooked a few years ago when we all were still in Connecticut. I would go to her house after church and she always poured me a glass and I was kind of like, “You know, you have to grow to like wine.” So I just drank it politely and then here I am. I love a good glass of wine.

Josh: Rhoda and I, my wife, we really didn’t start drinking wine until we lived in Budapest for a year. It was so random. It was just like. I’d always like merlot was like the only wine I kind of enjoyed. But it was just kind of like “Eh.” But I think my favorite is Chianti. Rhoda’s is Pinot Noir.

Jillian. Ok. It’s just fun to have everyone have a glass of wine and hang out. That’s a good way to get to know each other. Kind of offer you a glass of wine. It’s just fun to have something people connect over.

Josh: Alright, so last question for you. What’s the best way for couples to start the conversation with you to plan their wedding at The Henderson?

Jillian: You know, give us a call or fill out a request on our website. I pride myself on getting back to people, so usually you hear from me. If I’m not there that day, then the next day. It’s really best to talk over the phone and get a feel for what they’re looking for. Again, we are able to customize so much so it’s not just a beach ceremony and a ballroom reception. I really love to talk with them and hear what their planning. And just get a feel for time of year and number of people and what they’re going for. It just makes it easier. And then we start to get that connection because you have to like the people that you work with when you’re the bride. You need to get along with your sales manager or again your DJ or photographer. These people are such a big part of such an important day that you want to make sure you like them. What better way to get to know someone than talking on the phone.

Josh: What’s a good number for them to get a hold of you at.

Jillian: So every number at The Henderson starts with 850.424. And the last four of mine are 4442. That goes directly to my desk. You don’t have to go through any phone trees or anything.

Josh: And the website?

Jillian: It’s just the hendersonbeachresort.com. And then you can take a look at our rooms and suites and venues and weddings and everything.

Josh: Do you have any final thoughts you’d like to leave the listeners with?

Jillian: The wedding process is really fun so don’t worry about the little things. And trust in your team. Again, if you have a good vendor team in place, it just makes the process really fun. I think the biggest thing that couples sometimes forget is what’s important when it comes down to it. Just really enjoy the day and take time for themselves and enjoy the moment for everything that they’ve put together. It’s the one time that all their friends and family are going to be in the same place to celebrate them. So soak it in.
