My technique for how to declutter your mind will quickly take you from frantic to focused. Keep in mind that this show may include some adult language, so you might want to grab some headphones before we jump in to discussing how to declutter your mind and deal with that stress. I wanted to kind of just share a few things because the show is changing so rapidly, uh, that my life has been like a crazy whirlwind. There's just so much to do. It's been crazy switching gears and so I wanted to maybe share some of how that feels with you and some of the stuff I've been going through. So the first thing is I am more excited about this show, I think, than ever. I've always loved to do this podcast, but now I feel like I have a crazy level of focus and it's just bringing me a lot of joy to think about the topics. In this show and how to organize things. And I think that you all are going to love everything that we do on this show. Um, and I think it's really going to resonate. So I'm more excited than I've ever been. I am fucking disorganized. Like, Oh my God, I just don't even know what I'm doing minute to minute. I mean it's, it's, it's not that I'm not, like my method that I've developed is really helping keep me grounded and my planner system that I've developed that I've been working with for months, um, that's really kind of the cornerstone of my course is what is keeping me on track. But it is like everything is happening so fast. My deadlines are crazy because I produce once a week and it's just been an absolute whirlwind. I am like out of my mind. So that said, uh, please forgive me if, if shit changes too fast and things go like you're not sure where we're going minute to minute. For instance, I was in the middle of little episodes, which I've done three times now over three seasons and I just decided, fuck it. I'm not doing that anymore. I'm just going to like hard shift back into regular episodes cause that's where we are. That's just what feels right. And I've been trying to figure out where, um, I am going, like in terms of organizing the show, I've got all this old content, some of which pertains to what we're talking about now. Some of it absolutely does not. And so it's like, do I remove that? This is just a lot of questions. So things are gonna change. Um, the website is changing and I'm not quite there to actually making the changes yet, but like all these designs are in my head. The brand is changing, so I believe, you know, I'm not saying for sure, but I have new podcast art, new description to all this stuff. I think I'm going to have that ready by the time this episode airs. So there's a good chance that if you looked in your podcast app, that change and all the branding and stuff changed and you'll see my smiling face in the podcast. Art that's new. Uh, you know, I took that selfie in the podcast are like in my living room with my selfie on my cell phone. So it wasn't anything miraculous. I did it all on my own. Um, and yeah, so it's new art, new, new everything. Uh, you'll notice that I actually cut the music from the intro. I've noticed that's a trend in other shows that they're starting to do away with that. And I totally agree. I think that it's a waste of time. So we're cutting out all the nonsense and uh, we're laser focusing, you know, every episode is a single topic. I'll have some announcements and things and things at the top, but overall it's just one topic, so the content makes sense yet there's a lot going on. But that said, I am so freaking excited about what we're doing. Um, and also I just got a new Breville espresso machine, so I don't know if you can hear these espresso in me. It's like eight 30 at night and I'm like bouncing out of my chair, but I suppose that's good energy for a podcast. So all of that said, uh, I've got some killer ideas. I think as we go forward, some ideas that I didn't know how to make work before that I'm going to try to bring back some new stuff. So here's a couple of examples that I think you're going to like the first, and I will say this, neither of these things are ready yet, but this is kind of what I'm workshopping. But the two ideas I'd like to share with you. Number one, I'm calling the easier insider's program and this is where you're going to get all of the free content. All the books that I've read, this is actually my life. I'm going to be sharing with you my live reading list. So all the books that I have read, all the books that I'm planning to read, every single one of them is going to be, it's already kind of built and I'm using it currently. I just haven't really seen it yet. But all that stuff is going to be there in one place that you go to with one email address, you'll be able to get all this stuff in one place. And then I still think that I'm going to try to bring back some kind of a community aspect. I'd really love to start building a community around digital marketing and folks coming together to discuss what their needs are in. Right now we're small, so it's, you get a lot more individualized attention. So there's all this stuff coming up and I'm calling the whole thing the easier insider's program. So that's the first thing. And then the second thing I'm looking to establish a mastermind group, which is a group where folks get together on a regular ish basis and we discuss, you know, the central topic, which is our businesses. So I'm looking for three other people. I'd like this to be a group of four, does not matter where you live, the only requirements, there are a few, but there as long as you have an online business that you're trying to start up right, that you have time for the calls. And I'm thinking probably once per month we would try to do this. You have to commit to doing the group because there might be other folks. Um, so it's once a month calls, we'll put out a schedule, but we, you have to have an online business, you have to have a website that I can visit and you have to have an email list with at least a hundred folks on it to be eligible for the program. I just want somebody who's not completely novice that has no idea what they're doing. So it's not, you know, we want people, um, that are kind of in maybe similar spaces or at least, or at least close enough that we're giving each other value. And what we would do is we'd meet, however often, once a month, I w I'm thinking once a month for an hour, each of us gets 15 minutes to discuss what we're working on. Um, what challenges we're facing. Get feedback on ideas to do that kind of stuff that is so valuable and growing a business. So if you have three other captive people who can then give you feedback, who can give you ideas, who can critique your stuff, all that kind of thing, I think it'd be amazingly valuable. So if you are interested in joining my mastermind, this is like, it's a half baked idea. Not really. I mean, I thought about it a lot, but I'm finally putting it into action. I was like, I'm not even going to try to plan it. Just let's do it. Um, it's free. Uh, there's no charge whatsoever. You, we will get to work together on a regular basis and I think we could really be great friends. I can see opportunities for this to maybe grow slightly where we get to do in person meetings. But again, I apologize for so much intro content. I don't usually like to do a nine minutes of intro content, but it's so much going on right now that I wanted to walk you through that. That all said, let's dive into stressful to do lists and what to do about them. So this is absolutely born out of my own experience, right? I deal with a stressful to do list all the time, so I know absolutely how it feels or really how it felt. I've gotten a lot better since I've developed my planner system. But this technique I'm going to teach you is, is a big part it and then you know, it's going to be a part of my course. I'm giving this away. Um, because I love it so much and I think that it's gonna be so helpful to a lot of people, but the lot of the reason that you're stressed about your to do list, right. Let me just maybe dive into that before I tell you why. Let me explain the problem a little bit more. You're in a situation where you sit down to work and you look at your list like, right. I don't know if this resonates with you, but it certainly happens for me where I would sit down to work and I'd feel so productive. Like I'd get up in the morning, cause that's my time. Whenever your time is you, you get up, you sit at your desk, maybe you've had your caffeine, that's true for me, and you're just ready to go. You're ready to be productive. You sit at the desk, you look at the computer screen or your notebook and it just crashes to a halt because you're like, I don't know what the fuck I should be working on right now. Like what on earth? There's so much for me to do. Am I? My ideas are so big and tasks feel so infinitely small relative to my, like my goals and stuff, it's so massive. I'm my business. I want to take it to a certain place, but I have no idea where to start. I have so much going on. My head is just swirling like crazy, right? This is where I came from and I got so damn tired of being stressed as hell. Every time I sat down to work and then on top of it, right? I had all this potential and all this excitement and all this passion and all this energy and it never got me anywhere. Right? It was like a car sitting at a stoplight, revving its engine while without going anywhere. Right. You've seen those cars. They like, you're sitting at a, at, you know, basically in park and the, the, the idiot in the Corvette or whatever slams on the gas pedal and revs up the engine. That's what it felt like. Like I had so much energy and I was putting so much effort into doing stuff and going absolutely nowhere and that was frustrating as hell. So my problem solver brain went, okay, boom, you got to get this shit together because this is ridiculous. Like you have too much potential for you to be kind of spinning your wheels and going nowhere. So I started to think and I read and read and read and I came up with a bunch of ideas, some of which went into the beginning of my, um, my productivity course called clear your mind, which is like how to narrow down your passion and your goals and how to really hone in on what those are so they can guide you through the work that you need to do. That was kind of the beginning of where it started. And then the second part is how to capture all the junk that's in your head. Hint, hint. That's where we're going in this episode. And then the last part is planning and organizing in an efficient way. So that's kind of the breadth of my course, but today we're going to talk about how to declutter your mind by getting all the shit that's in your head, out of your head somewhere you trust. And this is the one I think, idea that I've really taken from getting things done. I am not a giant fan of the system getting things done by David Allen. I think that he has you track everything under the goddamn so on. Uh, and I, it's, it's ridiculous. Because I'd love to get a conversation going about this system. It drives me crazy because you're, you're stuck in the minutia. You have so many details of all the crap that he wants you to keep track of. It's just not efficient. You spend more time planning your work than doing your work, which isn't to say you're doing nothing, right? Nothing productive. That's what I was doing. That was one of the biggest challenges, so I'm not really a huge fan of that system, but there's one tremendous idea that he shares that I think is an absolute brilliant. You can change your life ID. You can change your life with this idea. The idea is that your mind, your brain is for creating and not for storing. I'm going to say that again and listen to me seriously. When I say your mind, your brain is for creating, not for storing. What does that mean? You're great. We as humans are great, great, great at generating ideas and coming up with new stuff. We are shit, shit, shit at holding those ideas in our minds and then regurgitating them later. We're terrible at it, right? I mean, how many times have you said, I'm going to go to the store for X, Y, and Z and you left with a, B, C, D, E, F, G, H, I, and forgot X, Y, Z. We're terrible. We can come up with the ideas, but we can't store them in our heads. And my stress, 100% was coming from Holy fuck, my brain is so caught. It's so much swirling ideas going around in a circle that I just can't even breathe. Right. I don't know what I'm going to focus on because I can't focus, you know, every time I would sit down at my, my computer and I would say, okay, I'm going to write this blog post and I get 20 words into it and I say, Oh shit, I forgot to do my social posts. And then I'd start to do that and then I'd shift gears and I was, Oh, I forgot to respond to that email. It was nuts. There was no system by which, you know, I, and I did, I've, I've used quote unquote systems, all these books and things that I've read for forever, but none of them worked. Um, and so I was constantly stressed, constantly reorganizing my work and that it was just nonsense. So if that resonates with you, we are in the same boat and, or I was in the same boat with you until I built a better boat. So, uh, yeah, let's talk about how to fix this problem because for real, it's actually really simple and it's going to blow your mind, right? We're going to the, the whole thing. Get everything the fuck out of your head, right. Get it out of your head. Like if you take nothing else away from this episode is get it out of your head, eh, whatever method works for you is fine as long as you trust that you'll use it. And that took some experimenting, right? The, the trust factor. Like I put stuff in a system and then I wouldn't use it because it didn't meet my needs. Um, you know, I have, I'm pretty, I'm pretty needy girl. Right? Um, I'm sorry that, you know, I don't even know this, this is a blooper at the end. This espresso shot, uh, I, I had a a double shot cause I just bought this Breville machine. Uh, this is absolutely just going to stay in the room in the regular episode, but I just bought this Breville espresso machine and I was like, Ooh, I'm going to play with it. So I drank all the espresso really late at night and now I'm like bouncing off the walls so you can thank the espresso for the, I'm a needy girl. Like I really should put a picture of me with the face I made in the show notes. Anyway. Uh, I am quite demanding of the tracking system that I use because I have a lot of requirements. I have high standards for it. So that's why I built my own because nobody else met them. They met pieces of them, but other things really fell flat. So how do you fix this? You get it out of your head, whether that's in a notebook, whether that's in a digital system, whatever it is, you have to have it and it has to be ubiquitous. In other words, you have to be able to access it anywhere because these second that an idea comes into your head, you must be able to put it down somewhere and capture it. Once you've done this, you will save all that stress. I'm serious. So the first step to this is you need to decide on where you're going to put the thing, right. Whether that's analog or digital, that's up to you. Um, I tried both. I actually really love kind of the nostalgia and the creativity that comes along with handwritten stuff. I still carry a moleskin notebook everywhere with me and I love it. I use it for all kinds of planning things, but I couldn't use it as a tracking device. The reason is because there are lots of instances in which you can't really hand write ideas down. Okay. Um, you could use a hybrid system, um, which I kind of do, but ultimately mine is a digital system. Let me give you an example or a couple. What about right? So you're going to do all of your tracking of your ideas in a paper notebook. What about when you're in the shower, which is like one of the most productive mind spaces. Why? Because your brain doesn't have to focus on what you're doing. You've taken a shower so many times in the same way over and over again, right? It's, it's also like driving, which is another instance where you're just on autopilot, right? Have you ever done the thing where you get in the car and you get 30 minutes into driving and you're almost at your destination and you're like, shit, I don't even remember driving. Like where did all that go? You can't even remember like visually the, the drive is the same thing in the shower. How many times have you gotten in the shower and you just go through all the things that you usually do and you don't even think about it, right? It frees your mind up to generate ideas and that's what happens. That's why we're so, we get so many good ideas in the shower and while we're driving, but those are the worst places to track stuff. And we never do it. We don't capture this stuff. So I have a solution and the answer is not paper. Now I've seen some systems, I've seen like some products that you can like hand write stuff, that's fine, but I got a better way. I absolutely think that this needs to be, this is a job for a digital tracker. As much as I love using pen and paper and I love office supplies and shopping for them and everything associated with them, it just isn't ubiquitous enough. It's not all over the place. So I use the digital system and you basically know I have a list, so let me, I'm just going to read it to you. This is from my capture action plan worksheet, which is a a worksheet that just helps you to plan out how you're going to track all the crap that comes into your head and all these different places. And so here's the list that I have and I think there are nine different locations and I've got some blanks for others that you may think of, but these are the ones that are most prevalent. How? How are you going to track in the following places at home? At work in class when you're showering, when you're driving, when you're at the gym, when you're in a meeting, when you're waiting in line, when you're shopping, any of those things. Those are lots of different places where ideas can come to you, which we frequently fail to track. And then that's when our minds start to get cluttered and we start to feel the stress because there's ideas that we know we're forgetting and we have not written them down. And so we've got these kind of open loops as David David Allen from getting things done. He would say, we've got open loops that we have not closed. In our mind, that's where the stress is coming from. It's just like you're reading a story, right? And this is true for marketing too. If you create an open loop in your customer's mind, they psychologically want to close it, right? So you tell them like, I have the best X product ever, right? I have the best course on productivity and work man and management and stress reduction ever and I can't wait to tell you about it. And I stopped there. That's creating an open loop, right? Your brain wants to fill in that gap. That's why cliffhangers in stories are so important because they create this open loop that people automatically want to see fulfilled, right? You're left at the end of a story with this big cliffhanger and you're like, Oh my God, I got to know. And so it draws you back into the story after you've waited for a whole season or you know, in the case of fantastic piece and where to find them several years, will you release the movie already? Um, I love Harry Potter. So anyway, you've created this open loop and you want to close it and that's why you just build and build and build these open loops in your brain and you don't close them. And that's what's generating that stress constantly. So you need a digital system because it's ubiquitous and I'm going to talk you through kind of my system and then some of the steps you should do. So my system is, it involves a few different components and you kind of need all of them in order to make this ubiquitous. I keep using that word, it just means make them available no matter what situation you're in everywhere. So you're going to need a smart phone, you're going to need a digital task manager and I'm going to tell you what those tools are. You'll need a digital planner, but that's not that important in the capture which we're talking are talking about cap task, um, idea capturing. You're going to need a virtual assistant and then you will need a couple of smart devices that can be smartwatch, it can be a smart speaker and it can be something in the connected car realm. So I'm going to go back through those and I'm going to be really specific about what I use, some alternatives. And then my capture action plan worksheet that I mentioned definitely has all of this in it. So you can grab this. It's got my tools of choice. It's got all those locations and a way to plan out how you're going to use those tools, uh, in the various scenarios. So my smartphone, I absolutely am an Android user. Um, all y'all Apple people can get out. No, I'm just kidding. But really get the fuck out. Uh, no. Uh, I love Apple stuff. Um, but I know that lots of folks in digital marketing do, so I love you so you can stay. No, I'm for real. Any smartphone we'll do a, you'll want to have the virtual assistant set up on that smart device, whether that's Google assistant, which is my preferred, um, tool or Alexa or Siri or whatever one, if you use Samsung's Bixby, I don't know what's wrong with you, but fine. Um, or Cortana, if that's even still a thing on mobile, sorry, Microsoft put it to bed like as Kevin would say on shark tank, take it out behind the barn and shoot it if you haven't already. So you'll definitely want those. You're going to want a digital task manager. I used to do this and I absolutely think that you should use to do list as well. That is 100%. My recommendation for this, um, this episode and for this method you absolutely need to be using to do list for this. It's free. I do pay, it's like 35 bucks a year for the extra features. But it is so worth it and you can do it for free to do. This is the way to go. That's what I'm going to be talking about in this episode. Trello, Asana, things, three OmniFocus, all options. I'll always have a link there, but you will want a digital task manager. You will want a smart speaker. This is kind of the secret sauce at home is the smart speaker, so I absolutely recommend a Google home if you don't want to go the Google route. Amazon is the way I would go. The echos for sure. I, I know that y'all, Apple people love your little Apple ecosystem, but they are not killing it in this smart speaker realm. Siri is not killing it. Uh, as the, the digital assistant, Amazon and Google are better. Okay. Uh, go with one of them. So Google home, Amazon echo, get one of those. Get the little ones. You don't need to spend a ton of money on this. Get the little the dot or the home mini or whatever it's called, and just put those a couple of spots around. I have, I'm in a 900 square foot apartment and I have four or five, five of them or so. It's ridiculous. I have them everywhere. Um, so get those. And then you'll want, ideally you'll want connected car. You'll want Android auto or Apple CarPlay in your car if you can, if that's a thing that's available to you, this will make your life a lot easier. Otherwise, just make sure that your digital assistant on your smartphone is enabled to take voice commands. You can give those commands to it while you're driving because you can't have your hands on your phone. You're not supposed to. Don't let me catch you. Okay. Keep your hands off your phone while you're driving. Okay. So let's go through the method. Smartphone. You'll install, make sure that you've got the digital assistant, whatever that is on your phone. I'm on Android, so you'll, I have Google assistant already baked in. I have a pixel for XL. It means it's coming right out of the box. That's Google's thing. Um, then you'll want to install the digital task manager app on your phone. You're going to insult to do this and all the comments going forward are going to reference to do it. Okay. Um, you can't have a smart watch. I know that. That's my Google smartwatches. I will give Apple a point here, much better than Google than um, I said Google Android smartwatches suck. And apples are better. If Apple would just make around smartwatch, I would buy it. Really? I don't love Apple, but that's one thing that I would buy of their, so they just won't make it round. I can't, I can't, I'm not down with the white stupid STEMI. AirPods and the, the square watches. Nope. Make around one, I'll buy it anyway. Um, so you'll do, you'll get that installed. You'll have your Google homes or whatever set up and you'll have your connected car setup. So my thing is, I also have, this is the one other critical integration that is so important. I use a service called IFTTT, I. F. T. T. T. it stands for if this, then that it's a service which helps you connect for free, different other services together. For instance, you could connect your phone. I'm pretty sure you can do this. You can connect your phone's location and put a geo fence around your house. So anytime your phone enters or exits your house, you could say turn your lights on and off. Or you could turn your smart thermostat to a different temperature. Or you could log that in a spreadsheet for whatever reason. Or you could send an email or a text or a tweet or a Facebook post. If my phone enters X area, then do Y, you know, turn on the lights. Um, you could do that for all kinds of things, including giving customized commands to your digital assistant. So for me, I use my digital assistant any time I can't be using my hands, I type out my tasks. Anytime an idea comes into my head, I can type it out while I'm sitting at my computer. I can hand write it into my notebook and then that will ultimately get transferred to my, to my, um, task management to, to do this. But you need a single place to capture it all. So it all ends up in one spot. So the digital assistance where that comes in handy. So in IFTTT I F T, T, T I have set up a recipe is what they call it for. If I say, you know, when I call on my digital assistant, if I use the phrase, if I start my phrase with the word to do list, right, I say I give the wake up command and I'm not going to do it because my, my whole apartment will explode because I have so many of them. But I give my wakeup command, which is, Hey, um, uh, it's that like, or Alexa you'd call out. Um, I can say that one cause I don't have any of those, but I would say hanging, uh, uh, to do it and then I just give whatever else is there. I found this is the best method for getting the tasks in. So I could say, Hey, assistant to do a list, add milk or, yeah, I wouldn't even say to my shopping list, I could just say to do a list, uh, you know, milk and it would put milk on my, in my inbox introduced, right. So anytime I have an idea, I can give my wake up command, say the word to do it and say whatever else I want and it takes that phrase and sticks it on my task list. And it's just an unorganized list of tasks. It is not a, an organized thing. You have to have a disorganized junk drawer to throw everything in until you get a minute to actually spend putting the things away. If you don't do that, if you're not using the juncture idea, if you're trying to organize and capture at the same time, it will fall apart. Don't make that mistake. Don't think you have to have this massive system, just get it all into to do is make a complete mess out of it and then designate some time to go through it on a regular basis. That's how you trust your system. You've got to stay on top of that, otherwise it will completely fall apart. So that's the kind of the method. So I, you know, I can go through my list of the way I capture at, in all these different places. At home I'm using my phone, I'm using my digital assistant and I'm using my smart speakers because that way, like when I'm in the shower, I can call out to my Google assistant and that will, that's a way I can remember it. Um, when I'm driving, same deal, I can use my connected car or you could use your phone as long as it's taking voice commands the gym, same deal. I can use my watch, I can use the voice assistant, I can stop and type on my phone. Um, that's kinda the secret here. You can use those things and get everything into that one place to be sorted through later. Now I have one more strategy to share with you before I wrap up the episode, and that is when you first set this up, you have to sit down and do a brain dump, right? You need to get everything out of your head that you can possibly think of in the system. So with[inaudible], I would do it there. I would just sit at a computer with a keyboard. I wouldn't try to do this on my phone. I would sit at a computer with a keyboard and I would just start clacking away, all the stuff, and just every time you hit enter or return into Dewesse, it generates a new task. And just do that. Get as much out of your head as you possibly can. Go away for 10 minutes, come back and start doing it again, right? Keep getting this stuff out of your head. And then if you're all away for those 10 minutes and stuff comes up, use the smart speaker, use the phone, write it down, and then transfer it in. Whatever you gotta do, get everything in there and that will free your mind. And then you just have to do that on a recurring basis and surprise, your stress will disappear and you're welcome. Uh, no for real. That that's what works. I'm, I'm, I'm telling you, you close the open loops in your mind, at least getting them out tells your mind, Oh, I've already thought of this. It's safe here. I will get to it later and it can close that open loop. So I hope that this helps you declutter your mind, reduce that stress, and move forward with getting more organized, focused work done. So as I've mentioned a couple of times, I have this freebie for you. It's the, I called it the capture action plan worksheet, the cap. Um, this is a worksheet I developed for my course, but I'm going to give it away for free to anyone listening in the audience. You can go to easier caste.com/downloads and you can grab it there. That's ultimately where all of my easier insider stuff will go. You can join that list. Um, in this, it gives you all the tools to consider. I give you links to all this different stuff. All of my preferred tools are highlighted in here, so you can see them. And then it gives you a section for capture recipes and it tells you, okay, you're going to, in this location, you get the opportunity to fill it out. And it says at home, this is how I'm going to remember, this is how I'm going to track whatever ideas are in my mind. And it gives you space for all this stuff. So it's just a way to give you some concrete. I'm like, you're planning ahead. Uh, I want to add this one other thing. There's a study and I keep thinking it's from the book called the sweet spot by Christine Carter, but she references this study in that book. I'm pretty sure if somebody else knows for sure, you can look it up and let me know. But, uh, Christine Carter is the author of that book and she references this study whereby people, hip replacement patients have to move their hips in order to heal faster. And that's like the last thing that they want to do. And so the doctors did an experiment or the physical therapists or whoever it was, did an experiment where they had a control group and then they had another subset that planned out what they would do when the situation got tough, right? So when they started to feel pain, they had already planned out a really concrete idea in their mind about what they would do when that happened. And they found that the success rate of those people who had planned, uh, who healed and who heal faster went way, way up. It was way better for those people who had had a plan up in place first. That's why I have the capture action plan. Uh, this, that's why I have this worksheet is because I want you to plan out each of the areas, especially if you identify any, if you do identify any incidentally that I don't have on this list, for sure shoot them to me in an email or drop them in the show notes and as a comment, because I would love to update this and include any that I've forgotten because there's lots of places to track and I may have missed them, so absolutely send those to me if you've got them. But the, the idea here is that you will be more successful if you have a plan in place upfront at keeping the ideas from gumming your mind back up and from keeping the ideas from getting lost. And that's where all the stress comes from. So if you have that plan in place, that's what this worksheet is designed to help you to do. So you definitely will want to pick that up. There's going to be a lot because I've done a lot, I'm not sure if I'm going to put every single one cause some of them make no sense now. It can't really hurt. I guess I can put them in like the archives so you can even get all my old ones. But yeah, you can see them all in one place and I think that's pretty cool. So definitely give this a shot.
