What if the reason AI isn't working in your business has nothing to do with the tools you're using?

In this solo episode, Kristen Poborsky cuts through the noise around AI and gets honest about what it can and can't do. If your systems are already broken, plugging AI in won't fix them—it'll just speed up the chaos. And that's exactly why a tool-first approach keeps leaving founders with more dashboards, more confusion, and somehow less time.

Kristen walks you through the middle layer of your business where AI does its best work: task routing, content creation, client follow-ups, student support, and workflow management inside tools like Notion, ClickUp, and Asana. She shares how she uses Claude to delegate tasks to her own team in five minutes flat—and the real client story of a burned-out founder whose team finally started moving without her.

This isn't about full automation. It's about strategic delegation to systems that don't get tired, don't forget, and don't quit.

Drop the word AI Flow in the comments or DMs and Kristen will send you the AI Systems Map—showing you exactly where to plug AI in and where to step back.

I hate to break it to you, but ai, it's not magic. It won't fix a broken offer, a misaligned team, or a messy leadership. But here's the good news, when used right, it can rebuild the backend of your business and free up hours with without adding in more headcount. So today I'm gonna break down exactly what AI can't fix. And what it absolutely can fix inside your business. I'm Kristin Paborsky, and I help owners and founders rebuild their execution systems using AI so that their teams can move faster without waiting on her, on them. And I'm not here to overhype it. I'm here to show you what AI can actually do when you plug it into the right places. So I bet right now you're probably hearing a lot of noise. AI will replace your team. You can use it to automate your entire business. This is the dawn of a billion dollar business run by 10 people. This tool, will you done it? Do it all for you. But the truth of it is none of those things matter if your systems are broken because AI. Honestly, it's not a strategy, it's an accelerator. It scales what already exists and which is why so many founders these days are automating chaos because the stuff in the background isn't working. So plugging AI into that broken system, it's just gonna give you faster breakdowns, and that's why the tool first approach usually fails. You'll end up with more dashboards, more notifications, more confusions, and ironically, more time inside your business trying to figure out what's going on, what AI can fix for you and brilliantly is the middle layer of your business. Task routing, content creation and approval. Client follow-ups, helping your students get unstuck and move forward in your courses. Voice logic, all kinds of things. Anything that's repeatable. Tagable, triggerable. That's where AI can become a game changer inside your business. So let me show you how we use AI with our clients. One way is that we start with execution logic. We teach ai your voice, your offers, your preferences so it can finish your work. Without needing your final say, this is what runs an agent. That creates your content, writes your script, does your social media, creates your webinars, even your course materials. Once it knows that it's going to do a lot better job in any agent that we create inside your business. It's actually better than handing that off to your copywriter or your assistant because an AI can remember more and you only need to train it once and show it a few good examples. And it is easily can replicate what you want over and over again. And the better, best thing is. Not gonna ask you for time off. It's not gonna quit and leave tomorrow, nor is it going to take sick days. Okay, number two, workflow management. We embed AI into tools like Notion or clickup or any kinds of tools that you use, wanna use to assign, tag, follow up, and route without the founder input. Input, use, even use Claude to help me delegate tasks with my team in Asana. All I have to do is record whatever the process is, hand it off to my assistant. It knows exactly how to structure everything, how to write it. Then once I take a look at it and I say, I'm ready, it will go in and assign it to the person on my team in Asana. Done five minutes. I'm no longer the bottleneck in my business. Client delivery, oh, it's so good at that. It handles onboarding updates, check-ins, so your clients feel supported without you being in the inbox. It also does a really good job of helping your students move forward and implement in your course, and when you have that, you have happy students. And that means more students and you can sell your course even more confidently. And what that looks like are chatbots trained on your course materials, your homework, they're here to assist your students in completing and implementing what you are teaching. Pretty fabulous, right? So it isn't about full automation, it's about looking into your business and thinking about the strategic delegation to the systems that don't get tired or forget. And those are just three or four places that I shared with you. But let me share a story here. Okay? I had one, client who came in feeling burned out using too many AI tools, nothing worked, everything broke. We rebuilt their systems, the ones that needed to first. Then we layered AI into the content delivery and ops within. A couple months projects started moving forward without her input. Clients and students, they were supported 24 7 without her even having to be there answering their questions. Her team, they actually used the tools instead of avoiding them, they now had a team of assistance at their disposal so that they could do better work faster. Keep the quality that their founder wanted because now this system was working for them and AI had something smart to plug in. All of this helped them scale their business. So if you're ready to stop chasing those tools and start building smart real systems, drop the word AI flow and I will send you the AI systems map. It shows exactly where you should be plugging in ai. Where you need to step out of your business.
