This is the show for mom entrepreneurs who are building profitable, sustainable businesses without sacrificing every spare minute of their life to do it. And today we're gonna be getting into something I honestly could talk about for three hours, but I'll keep it contained, I promise. We're talking about my actual real-life AI-powered weekly CEO workflow. Not a theoretical workflow, not a here's what you should do workflow, but my own workflow. The one that I use every single week to run my business in about 20 hours, keep my content going, serve my clients, and still have the brain capacity left over at the end of the day. And here's the thing I want you to hear before we even get started. AI doesn't replace your genius, it protects your time. And I'm gonna say that again because I really need it to land. AI does not replace your genius, it just protects your time. So if so if you've been afraid that using AI means that you're somehow cheating, or that your content isn't gonna sound like you, or that you're gonna become one of those people who pumps out robotic soulless content, then I want you to let that go. That's not what we're doing here. What we are doing is using AI as a strategic business tool, the same way that you'd use a VA, a system, or a framework, except it's available at 10 p.m. when your toddler finally goes to sleep and you have exactly an hour to get something done before you call it a night. Okay, let's get into it. So before I walk you through my actual workflow, I want to give you a little bit of context on why I built it because I think it'll help you understand the decisions that I made. So a few years ago, I was doing what I see a lot of mom entrepreneurs doing. I was just reacting. Every week felt like I was starting from scratch, and I'd sit down to write content and spend 45 minutes just staring at a blank screen. I'd go to plan my podcast and realize I had zero idea what direction I wanted to go. I'd end a client call with notes scattered everywhere and no clear next step. I was working in my business constantly and barely ever working on it. And here's the kicker: I wasn't even working more hours. I just wasn't being strategic with the hours that I had. So when I started building my AI-powered workflow, my goal wasn't to do more. It was to do the right things faster so that I could actually get off my laptop and be present for my life. And the result is that I've gotten back five to seven hours every single week, not by doing less work, but by doing the same work in a fraction of the time because I have a thinking partner in my pocket. And that thinking partner is Claude. And I'm gonna be walking you through exactly how I use it today. So let's get into it. So, first up, let me give you the container because the AI workflow only works if your week has some structure around it. If every day is just a free-for-all, no tool is gonna save you. So my week is built around three types of days. The first type of day is a CEO day. And this is my high-level thinking, planning, and decision making day. This is where I look at the big picture, what's working, what's not, what needs my attention, what's coming up in the business, etc. CEO day is not about execution, it is about direction. Then we have number two, which is content batching day. So this is a day that I create. So podcast planning, episode outlines, email drafts, social media content, all of it happens in one focus block so that I'm not constantly switching context throughout the week. Then we have number three, which is client day. So this is a day where I have my calls with my clients, I work on all client delivery, check-ins, client communication, etc. Everything client facing lives here. Now, Claude shows up in all three of these days, but it shows up differently in each one. And that is what I want to walk you through right now. So CEO Day is probably where most people wouldn't think to use AI, but honestly, it's where it's changed my business the most. Here's the thing about CEO Day: it requires clear thinking. And clear thinking is really hard when you're a mom who's been up since 6 a.m., has already handled three emotional meltdowns, and is trying to remember what quarter it even is. So here's what I do. So I open up Claude and I do what I call a CEO brain dump. So I literally just talk to it like I'm talking to a strategic partner. I'll say something like, here's where the business is right now, here's what I'm feeling really stuck on, here's what's coming up in the next 30 days, help me get clear on my top three priorities. And Claude helps me think. It asks me the right questions and it reflects back what I said in a way that helps me see the gaps. It helps me stop spinning and start deciding. I also use CEO Day to do my weekly review. So I'll paste in my task list or my notes from the previous week and ask Claude to help me identify what got done, what carried over, and what I should actually let go of. I know this sounds so simple, but it has been revolutionary for me because instead of spending 90 minutes in my own head trying to figure out what's important, I spend about 20 minutes in a conversation and I waff away with clarity. That is CEO thinking, and Claude is my thinking partner for it. Okay, so content batching day. And this is where most people picture AI being useful. And yes, it absolutely is, but I want to show you how I use it because it's not what you might think. So I don't ask Claude to write my content for me. I use it to build the infrastructure for my content so that my creativity can actually flow. So here's what that looks like in practice. So the first step is podcast planning. So I come to my batching day with a general topic or direction. Sometimes it's tied to a launch, sometimes it's something my audience has been asking about. And I'll tell Claude the topic, who my listener is, what I want them to walk away with, and what offer, if any, that this episode is warming up for. Then I ask Claude to give me an episode outline. So the main segments, the talking points, the examples I might hit, and a suggested intro hook. In about five minutes, I have that skeleton outline. And then I go in and I make it mine. I add my stories, I adjust the language, and I change whatever doesn't feel right. But I'm not starting from scratch anymore, and that is everything to me. The second step is show notes and episode descriptions. So after I've recorded, I use Claude to draft my show notes and episode description. So I give it the transcript that I use and I tell it the tone, the audience, and any keywords that I want to hit on. From there, it produces a draft. I edit that draft and then I'm done. So what used to take me 45 minutes to an hour takes me about 15 minutes or less. Then we have email drafts. So I batch my emails on content day two. I'll tell Claude the purpose of the email, the story or the angle I want to lead with, and the call to action. And it gives me a draft and my voice because at this point, Claude knows my voice really well. And then from there I go in and tighten it up a little bit. The key thing I want you to hear here is that Claude is doing the heavy lifting of getting words on the page. I'm still the one with the ideas, the stories, and the strategy. Claude just removes a friction of the blank page. And then we have client day. So client day is the most underrated place to use AI. And I think a lot of people sleep on this. So here is where Claude shows up for me on client days. So before I have a call, I'll paste in any relevant context, maybe some intake form answers, previous notes, what we've worked together on, and then I'll ask Claude to help me put together a quick prep sheet. What are the key things I need to know going into the call? What questions should I be asking? Et cetera. This keeps me focused and strategic instead of scrambling. Then after calls, I'll paste in my transcript from the call. And because I typically record my calls, I'll paste in my raw notes or my transcript and I'll ask Claude to help me turn them into a clean summary action items and any follow-up I need to send. Instead of spending 20 minutes writing a recap email, I only end up spending about five minutes. And then client communication in general. If I need to handle something sensitive, like a boundary conversation, a scope creep situation, or a check-in that needs to hit the right tone, I'll use Claude to help me draft it. Obviously, I still review and edit everything, but having a solid draft to work from means that I'm not agonizing over every single word. Client day used to wipe me out because it felt like I was giving and giving and giving with nothing left over for the operational side. Now I walk out of client day with everything documented, all my follow-ups drafted, and my brain is still somewhat intact. Okay, so I want to take a second and get real with you before we wrap up. I know there's a lot of noise out there about AI. Some of it says AI is gonna take over everything. Some of it says AI content is fake and gross and no one should ever use it. And there's also a lot in the middle that's just confusing. So here's my actual take. AI is a tool, and like any tool, the results that you get depend entirely on how you use it. If you hand Claude a vague prompt and paste whatever comes out directly into your newsletter, yeah, it's gonna sound a bit robotic. But if you show up to Claude the same way you'd show up to a really smart collaborator with context, with your actual thoughts, with your specific audience in mind, then it becomes genuinely powerful. The WOMPs I see struggling with AI are usually doing one of two things. Either they're not using it at all because they're scared of what it means for their authenticity, or they're using it as a crutch and wondering why everything sounds the same. The sweet spot, which is where my personal workflow lives, is using AI to protect your genius, not replace it. Your story, your voice, and your strategy are all still yours. Claude just helps you stop wasting time on the parts that don't require your genius so that you have more capacity for the parts that do. And as a mom running a business in 20-ish hours a week, that is not optional. That is a whole game. Okay, so let me give you a little Cliff Notes version of my AI-powered CEO workflow so that you can write this down. So CEO day, morning brain dump with Claude, where I'm sharing the current state of the business, what's stuck, and my top priorities. And then I use it to a weekly review. So paste my task list that I got done and get help identifying what matters and what to release. And then I also use it for decision support. So I use it as a sounding board when I'm at a crossroads. Then we have content batching day. So I outline a podcast episode from a topic, audience outcome prompts. I use it for show notes and episode description from my transcripts, and I use it for email drafts from purpose, story, and call to action props, as well as batch everything in one focus session so I don't have to worry about context switching. And then lastly, client day. I do pre-call prep sheet. I make a pre-call prep sheet from intake forms and pass notes for before my call. And then post-call, I use it for summary and action items from the transcript. And then I also use it for any client communication drafts for anything sensitive or time consuming. So I don't forget anything and it sounds very polished. That is it. That is the whole workflow. It's not complicated. It doesn't require a tech background. It just requires you show up with intention and actually use the tool. So here's what I want to leave you with today. You don't need more hours, you need better systems for the hours that you already have. And AI specifically, an AI, specifically a workflow like the one that I just walked you through, is one of the fastest ways to get there.
