Decode Your Inner Dialogue for Enhanced Focus

I know, when you're stuck in mega-tasking mode, it can feel impossible to have the space to shift into strategic mode. Many ops leaders don’t ever get out of mega-tasking mode until they’re forced out by burnout or some other crisis, rather than by their own choice. 

Embrace Selective Neglect to Increase Productivity

The solve for getting more out of your time isn’t about cramming more tasks into your day though. It's about embracing selective neglect. I get it—nobody's going to announce in a C-suite meeting, "And now, for the list of things that Operations doesn't have to do!" Usually, Operations catches everything left over between departments, right?

As the leader, you must name what to prioritize, and what can wait. Not every task needs your attention. The trick is training yourself to focus on high-impact tasks and letting the low-priority ones slide to make room for meaningful opportunities.

Every ‘No’ Paves the Way for Strategic Success

In sales, they say, “Every 'no' leads you closer to a yes." Let’s flip the script and apply that for operations. By setting clear boundaries and saying 'no' to things that don't fit into your bigger strategic picture, you create space for more meaningful opportunities. Think of it as clearing the clutter for the big wins.

Invest Your Energy Wisely with Strategic Energy Management

Saying 'no' strategically is, like most habits that make a real difference, simply a discipline. I have a client who sets aside a "Chaos Hour" daily to manage unexpected tasks. She corrals all the non-strategic tasks into one dedicated time. It took a while to find her stride with it, but now that structure keeps her day on track and gives her more control of her time.

Try this 3-step method to create breathing room for yourself:

  1. Identify Priorities: Start each day by listing the top three tasks that align with your goals – before you look at your email.
  2. Set Boundaries: Use a “Chaos Hour’ for unexpected tasks, with a timer to stay on point.
  3. Reflect and Adjust: End your day by noting what worked and adjust for tomorrow.

Pro Tip: Stepping back and prioritizing might feel strange at first, especially if you’ve gotten used to leaping into firefighting from minute one every day. It’s normal to feel a bit uneasy, but with practice, it will become more manageable. Be kind to yourself and know that you’re setting a foundation and building new muscles for better days.
