Welcome back to the show. This podcast is for entrepreneurs who want to play bigger in business and in life. Today, we’re diving into a topic every high-producing agent wrestles with at some point in their journey: the illusion of “I’ll just do it myself.”
And you might be thinking you're saving time. You might be thinking that it's faster, it's cheaper Raquel or it's safer. But here's the truth—doing it all yourself is quietly costing you. It could be costing you up to six figures a year or more.
In this episode, I talk about why doing every single task yourself is sabotaging your growth, what smart delegation looks like without building a massive team, and the tools and automations that can give you back 10+ hours of your week.
Let’s start with this: “I can do it faster myself.” I’ve heard this so many times, and honestly, it's one of the most expensive sentences in business. I get it—you’re efficient, you care deeply about your clients, and you want things done right. But behind the scenes, you’re answering every text, scheduling every showing, managing every file, creating every post, solving every problem. And while that may feel productive, it’s actually exhausting and keeps you stuck in a cycle of busy work instead of building something that grows without you.
If your income depends on you doing everything, then you don’t own a business—you own a high-stress job. And sometimes, you realize you’ve built something you’re handcuffed to.
Now, I’m not saying you need to hire a team of 10 or run a payroll the size of a brokerage. I think in this industry, we're often told, “Go big or go home,” but that’s not always the answer. Bigger isn't always better. Real leverage isn't about more people—it’s about better systems.
So ask yourself: what am I doing today that someone else could do 80% as well as I can? That’s your delegation list. It could include listing coordination, uploading to the MLS, client gifting, transaction follow-up, email responses, text messages, or social media scheduling. I'm not saying give away your voice, but things like prepping your marketing plans—these are tasks that don’t need to be on your plate.
You don’t need full-time staff to make this happen. At one point, we had 13 people on the support team, but now we run multiple companies and collaborations with just a full-time remote executive assistant, a part-time marketing person, and a project-based editor.
One great VA or automated tool can give you more time than you think. The goal isn’t perfection—it’s progress. We get results because we have solid systems in place, not because I’m doing every task myself. And when we have big projects or events, we’ve built a team that’s willing to pull together and get it done to keep the vision alive.
Let me share a few simple tools that give us back 10+ hours a week without hiring more people. First, Calendly—or any booking system—saves you from the constant back and forth of scheduling. If a conversation in Slack goes back and forth more than four times, we pick up the phone. It saves so much energy.
Next is Follow Up Boss or your CRM of choice. Preload your follow-ups, nurture your leads, track conversations. You can even use AI to tell you who to call next.
Then there’s Canva—we couldn’t live without it. Recently, Canva had a glitch, and I realized just how much of our marketing lives there. Stop designing from scratch. Batch your content. Own your branding.
Then you have Zapier, which helps connect all the platforms so they talk to each other and automate repetitive tasks. In the next quarter, we’re even planning to simplify further by streamlining our tools.
And of course—ChatGPT. I use it more than Google at this point. We integrate AI into so many parts of our business to save time and increase creativity.
If you’re doing everything manually right now, this is your wake-up call. Start building systems to save time in the future. Automation doesn’t replace relationships—it supports them. It frees you up to focus on what actually grows your business: building trust, closing deals, and having a life outside of work.
You weren’t meant to do it all. Even our top-producing clients who earn over a million a year without a large team have leverage on their side—and they're incredibly profitable. It can be done.
