So now is a time to clean up all the chaos, maybe clear up some gaps, simplify what's not working and build systems that make success sustainable.

Welcome to The Raquel Show. This show is for entrepreneurs who want to play bigger in business and in life. Now I want to ask you a simple question. If you stop working today, would your business keep running? And if your answer is maybe not really, guess what? This episode is for you because today we're going to be diving into three systems. Every single agent needs to lock in before the end of the year. No fluff. No overwhelm, just the simple systems and essentials to help you generate leads, stop money leaks and build a business that doesn't necessarily rely on your hustle. So I want to dive right into it. I love, don't get me wrong. I love a big bold vision, but vision without systems. That's just stress dressed up in hope.

And as we wrap up this year, I can't even believe I'm saying that, that it's almost the end of the year. I want you to look at your business through your CEO eyes, not as an agent chasing the next deal or the next commission, but as a true business owner building freedom, how you end this year will determine actually how you start 2026. So now is the time to clean up all the chaos.

Maybe clear up some gaps, simplify what's not working and build systems that make success sustainable. You ready? Let's go. So number one is your CRM and database. And this is your foundation. And let's be honest, most agents, their CRM is a digital junk drawer. They don't always log into it and you can do a lot of deals, but there comes a point where there is a ceiling.

Random leads, duplicate contacts, no categories, no follow-up sound familiar? Let's fix it. So ask yourself, is my CRM segmented by type or is it in categories? Is it tagged? Do I know who is a past client, a referral, an investor, a prospect or somebody in the industry? Do I have automations that are set up?

For at least some type of follow-up plan. And I'm not talking about all automations and automating everything. I'm talking about the mix of efficiency with automation and the true conversations that you get to touch base with your clients because your CRM isn't just a contact list. It's a revenue pipeline. So here's what we need to lock in. Clean out and segment your SOI, your warm leads, your cold leads, your referrals, your VIP or what?

Some of you guys have with CRMs is your smart lists. I want you to create go to texts or email campaigns for each group. I just had a coaching client do all of this. She linked her flow desk with her follow-up boss system and she just went through updating all of her templates. And I want you to set personal touch reminders for their birthdays or home anniversary, or just even relationship deposits is what I call it for you to actually

Either send them a voice memo or send them a video message, something that's personal and that's a touch that like sets up that connection even further. And if your CRM sucks and you're not using it or it's too complicated, well guess what? Switch now. And you don't have to wait till January. And here's the one system that can generate thousands in commissions if it's done right.

You don't need more people. You need a better way to manage the ones you already have. And if it's too overwhelming for you to go through your CRM, start with the letter A's then the next day, start with the letter B's and go through all the letters of the alphabet so that you could just chunk it down. The next system that you want to dial in, especially now before the end of the year is your lead generation. I want to talk about leads. Now it's not the most sexiest topics.

But it's absolutely critical because without leads, you cannot generate revenue. And here's what I see. Most agents do not have a lead gen problem. They actually have a lead gen systems problem. So here's some of the questions you want to ask yourself. Where are the best leads coming from right now in my business? What systems do I have behind that source? So if you're getting DMs, from Instagram. If you are getting leads from Tik Tok or Facebook, what is your system for follow up after that? That's very different. If you were getting a Zillow lead or that's very different. If you were getting a website lead or an online lead or a personal referral, what is your system for that? I would look at your top lead sources and go, do I have a system for that? No more chasing these shiny new objects and strategies. 

And I know there's an AI tools, but guess what? You also have to learn the AI tool and make sure it works correctly with the type of business you have. And at the end of the day, we want to be able to touch base with our clients and build relationship at scale. So pick two lead sources you want to double down on in Q1, whether it's referrals, Instagram, open houses, YouTube ads, whatever it is, then you build a weekly rhythm around them. 

Example, Mondays, I'm going to DM 10 leads from Instagram. On Wednesdays, I'm going to repost a client win or somebody I helped. Maybe on Fridays, you invite two new people to a call or to lunch. Keep it simple. Keep it so that it's repeatable. You don't need more content. You just need more consistency because remember random effort here and there equals random results want strategic systems.

That equal scalable success. And then the last but not least is a follow up and financials. know financials are not the most sexiest topics, but it is becomes very, very sexy when you make a lot of money and money works for you. So I want to talk about those two things that agents avoid the most follow up and finance, starting with follow up. You have already earned the leads. Now it's your job to nurture and convert them. And that requires a system. So what do you need to lock in?

Maybe a follow-up system for every new lead, add an automation and simple reminders to be hands off, maybe three follow-up scripts or value text messages. And I think one that's tried and true is if you do handwritten notes, something more personal, it's like you're mixing old with the new, or like I said, a voice memo, a video message, a mini dashboard of who you actually followed up with.

What they said and the next steps, or you really utilize your CRM. The fortune is always in the follow up and we've heard that over and over and 90 % of agents. I'll tell you today, even the top people that I coach, they leave about 90 % of money because they forget to do this one thing. They don't have a conversion mechanism. This one might sting a little, okay?

But it's so necessary. You cannot scale what you do not track. So before your year end, I want you to get clear on your finances, every expense, what stays, what goes every income stream, what's working, the average commission, average costs per client, your top referral source, collect all that data. And then I also want you to figure out your Q1 budget plan it now. 

So in January, it's not a panic, especially if you're taking some time off at the end of the year. You don't want to have lots of different expenses if you didn't cultivate and produce the income. So know your numbers. Data gives us feedback. It's not a guessing game. Those are your options. So I want to bring it all together. These systems don't need to be pretty. They just need to exist.

Let's recap three things you need to lock in before the year ends.

  • Number one is your CRM and your database, organize, segmented, tagged, whatever you want to call it and make sure it's working for you. Not just existing in chaos. 
  • Number two is lead generation. I want you to dial in your top three sources with a weekly rhythm behind it. 
  • And three is follow up and financials, intentional follow up plans for your business.


And financial clarity so that you can scale smarter. My friend, you don't rise to the level of your ambition. You rise to the level of your systems. And if you want freedom, if you want scale and even just some sanity in 2026, the work actually starts right now. So here's my challenge for you all this week. As you know, I love to give you challenge is pick one of these three systems. I want you to audit it, clean it up before the month ends.

Don't wait for January energy. Don't wait for the perfect moment. Just decide to run your business like the six or seven figure CEO that you are becoming.
