Every major shift in business always creates a gap. First, it was the internet when it became mainstream.
Some businesses adapted while others disappeared. The same thing happened with cell phones and smartphones. Then it was social media. And now it's artificial intelligence. History tells us something important. Technology doesn't reward the people who wait, it actually rewards the people who want to learn.
A few months ago, I had asked a room full of entrepreneurs and real estate agents one question How many of you guys are using AI? And almost every single hand went up. Then I asked the second question How many of you guys are actually redesigning your business right now because of AI? And almost every hand went down. That's when it hit me that AI divide isn't about people who use Chat GPT or Claude and people who don't. It's actually between people who use AI as like a hobby or a toy.
And people who use AI as an infrastructure. And one group is saving minutes while the other is building businesses that can actually scale without adding more chaos and sometimes even more people. And over the next five years, I truly believe this that the difference is going to become so impossible to ignore. So I want to dive in. Welcome back to the Play Bigger podcast. I am Raquel Quinet, and this podcast is for entrepreneurs and Real Estate agents who want to build better businesses, create more freedom, and of course play bigger in business and in life. And every week, you know that I share practical strategies, frameworks, lessons to help you really think like a CEO, leverage AI, build better systems that actually scale, and create a business that supports the life you actually want to live. And today we're talking about something that I believe will define.
The next decade of entrepreneurships and its artificial intelligence, but probably not in the way you were expecting. Because this episode isn't about prompts, it's not about the latest AI tools. And it's definitely not about replacing people. It's about building better businesses. And every major shift in business always creates a gap. First, it was the internet when it became mainstream.
Some businesses adapted while others disappeared. The same thing happened with cell phones and smartphones. Then it was social media. And now it's artificial intelligence. History tells us something important. Technology doesn't reward the people who wait, it actually rewards the people who want to learn. And today I actually see three kinds of business owners or entrepreneurs.
The first ignore AI because it's just so overwhelming. And I totally get it because man, have I spent thousands on tokens? I have downloaded probably every skill it feels like, tools tested. And it is overwhelming until you kind of figure it out. But again, it's thousands of hours, thousands of hours of learning all these different things from different people, from people inside my industry to people outside of the industry and to
Tech geeks, right? And the second ones are the ones that experiment with AI here and there. They write social media posts, they write captions, they maybe sometimes can edit They sometimes can create images with some of the chat GPTs and clods, and maybe they can summarize a meeting and even use the button of drafting an email. And the third group.
Ask a completely different question. Instead of asking, How can AI help me write this faster? They ask, How should my business operate differently because AI exists? That's the group that's building the future. And every month, you all know that people fly into Scottsdale to come work with me and my team. Many arrive expecting to learn prompts and instead were spending time mapping workflows, actually building systems and installing systems that apply to their business and then creating different processes or dashboards so that it gets simplified so that they can stay productive in what they do best. Because here's the truth nobody needs another list of prompts. Matter of fact, I have thousands of prompts that I can give you today.
So if you just want to DM me prompts, but we actually teach people how to structure outcomes now instead of prompts. So what they need is a business that doesn't rely on them for every single decision. And that's where you kind of be the bottleneck, right? and that's why I don't think AI is a software conversation. I think truly it's a CEO decision and conversation. You see, most people think AI is just another productivity tool or it's like a cool tool use. I think AI is a new operating system for businesses.
And if you're running a company, you're running a business the same way you did three years ago, you're competing against businesses that are operating on a completely different level. Whenever we work with entrepreneurs or real estate agents, we don't start with AI. We actually start with the business, the infrastructure, the diagnose, right? Here's the framework. Step one is eliminate. Before you automate anything, you've got to ask yourself what shouldn't exist in my business anymore? Every unnecessary meeting, every duplicate report, and trust me, we have lots of them.
Every manual process, every task that no longer creates value, that needs to be eliminated or removed first because AI should never automate waste. And then step two is I want you to simplify. Now ask, like, can this process be easier? Can we reduce the number of tools? And I truly believe that in the next few years, we are going to get rid of a lot of our tech stack because we're gonna have an operational.
AI brain that kind of oversees a lot of different things, and you won't need to put in information here and put in information here and retype and put information. We do a lot of double triple entry, especially in my niche, in my industry. And so can we reduce unnecessary steps? Because here's the deal: complexity, and I've said this for many years, slows down growth. Simple systems scale and so step number three is systematize. Now that we've documented everything, how do you onboard a client? How do you follow up with leads? How do you prepare for appointments? How do you create content? If it only exists in your head, it is in a system. You become the bottleneck and it's dependency.
And here's what I want to say a pile of prompts is not a business system if you gotta constantly manually do it. It's just organized information. Systems create consistency and prompts simply support the systems. Now, don't get me wrong, we do give prompts and we actually have a board and a command center that has prompts and it's used for your foundation.
So when you're starting out, you don't necessarily know how to prompt it. You don't necessarily know how to what makes a really good prompt. So we've got that down for you. But it's not the end for where you want to go if you're running your business through AI. So the next step is going to be automate. Now I want you to bring all of that that we just did and bring AI into the process. This is where it becomes fun. This is where AI becomes so powerful.
So imagine your meeting notes automatically becoming action items. Imagine every listing appointment generating follow-up emails. Imagine your content being repurposed into multiple things like blogs, newsletters, social posts, and YouTube descriptions. Imagine your CRM automatically suggesting personalized follow-up based on previous conversation. This is where it comes.
Really amazing because AI truly can create leverage for you. Not because it replaces you, but because it removes repetitive work, all that redundancy or things that you're trying to remember, it just takes care of it. And step number five is scale. Once your systems are documented and AI supports those systems, and trust me, one of the things that I get as an entrepreneur, the questions that I get, or as a real estate agent, is like Raquel, what if I don't have everything documented? You're in luck because I can interview you and we can build something right off, even if you've never had an SOP. I just think growth becomes so much easier.
So instead of hiring simply because you're overwhelmed, you hire strategically. And instead of adding complexity, you increase capacity. And there's a huge difference. I always tell people, you know, there comes a point in your career, especially if you're in the real estate industry, when you start to scale your transactions, you actually end up having to hire more.
And so when we get into teams that run multiple seven eight-figure businesses, like it becomes very complex. And the only time that we end up hiring more people is because of the workload and the trends, especially in the transaction coordination role. And it's interesting because once you get into the hundreds of transactions, sometimes you actually hire people to actually oversee people to make sure they're doing your job. That changes the game with AI. And this is why I think if you build smart, you're gonna be way ahead of the game.
So here's some of the mistakes that I actually see when it comes to AI. Mistake number one is using AI only for marketing. I think most entrepreneurs ask AI to write their Instagram caption or their YouTube caption. Meanwhile, they're still manually doing onboarding, they're manually scheduling, they're manually doing operations, follow-up, reporting, content organization. Marketing is just a very small piece of the business.
And yes, it's important but mistake number two is buying more software instead of fixing the workflow. And I am guilty of that. We are still in the process of eliminating so much software right now because we've learned that sometimes AI can actually replace it. Technology doesn't solve broken systems, it only magnifies them. And let's face it, some of the software that you guys are using, you don't even use all of it.
You use bits and pieces of the software. So you're not really getting your bang for your buck. So think about it. Ask yourself, what am I really using when it comes to CRM? I can tell you that most of the people that use like CRMs like follow-up boss or lofty, they don't even boomtown, you name it, Brivity. They don't use all of it. They use portions of it.
And so mistake number three is thinking that AI replaces relationships. And this is a big one because it doesn't. People still want trusted advisors, people still want connection, people still want leadership. AI handles the repetitive work. You handle the human work. And that's the future.
So obviously, we always want you to build better before you automate. So don't ask, what can AI do, Raquel? I want you to start asking, what kind of business am I trying to build? Then use AI to help you build that business. And here's my play bigger challenge, because you know I love to give you guys some challenges every time we drop an episode. So this week is don't download another AI tool. Instead choose one process, just one. maybe it's lead follow-up, maybe it's appointment preparation, maybe it's content creation, maybe it's even client onboarding.
I want you to write down every step or even brain dump it. Then ask which of these steps could be eliminated, which could be simplified, which could become a repeatable system, and then only then ask AI where it belongs. We just went through this exercise for our transaction coordinator, and we realized that was 178 tasks. We have now built a dashboard, we have built an AI dashboard, chatbot assistant, transaction coordinator assistant, and its been a game changer. And I cannot wait to share it with all of our clients and all the people that are going to be inside of our AI program. Because here's the thing is entrepreneurs and real estate agents who win won't be the ones that use the most AI tools. It will be the ones with the best system.
So the AI divide isn't about technology. I'll tell you, it's about leadership and making decisions today. The businesses that thrive won't necessarily be the biggest, they'll be the most intentional. And the ones that eliminate complexity. So build repeatable systems, empower the people, and use AI where it can create the greatest leverage.
