Stop Letting Your Calendar Run Your Life | Design Your Week Like a CEO
I used to think that being busy meant I was making progress. My days were packed with meetings, emails, phone calls, and endless to-do lists. I was constantly moving—but I wasn't actually building the business or life I wanted.
Everything changed when I stopped asking, "What do I need to get done today?" and started asking, "What would the CEO of the business I'm building prioritize this week?"
In this episode, I'm sharing one of the biggest mindset shifts that transformed how I lead my business. Your calendar isn't just where you schedule appointments—it's a reflection of your priorities, your leadership, and ultimately, your future.
If you've ever felt overwhelmed, constantly reactive, or like there's never enough time, this conversation will help you stop chasing productivity and start designing your week with intention.
Things I Cover:
- Why being busy doesn't always mean you're making progress
- The hidden reason your calendar reveals your true priorities
- The difference between reacting to your schedule and leading it
- The five questions I ask every week to stay focused on growth
- How to schedule revenue-generating activities first
- Why CEO Time is one of the most valuable appointments you'll ever make
- The importance of protecting your health, family, and personal life before filling your calendar
- The biggest calendar mistakes entrepreneurs make (and how to avoid them)
- Why eliminating tasks is often more powerful than becoming more productive
- A simple weekly habit that will completely change how you plan your business and your life
Your future isn't created by your to-do list—it's built one calendar block at a time. If you want more freedom, more growth, and more impact, it starts with intentionally designing your week instead of letting it design you.

Grow Your Real Estate Business with Real Brokerage
I wasn't leading my calendar. My calendar was leading me. And that's the trap that so many entrepreneurs and real estate agents fall into. We confuse movement with momentum. We confuse activity with achievement and we wear busy like a badge of honor. But busy doesn't build businesses. Leadership does. And so busy isn't a badge of honor. It's often a sign your systems are somewhat broken.
If I wanted to know what you truly value, I wouldn't even ask you. I'd actually ask to see your calendar because your calendar, believe it or not, tells the truth. Not your goals, not your vision board, not your to-do list. It's your calendar. And every entrepreneur tells me the same thing. my family is a priority. My health matters. I want to grow my business.
I want more freedom and I believe them. But then when I look at their calendar, there's no workout, there's no thinking time, there's no CEO time, there's no date night, there's no family dinner, there's no strategic planning, there's just back-to-back meetings or things to do, constant interruptions and a to-do list that like never seems to end. That's when I realized something years ago is that your calendar isn't where you manage your time. It's actually where you build your business and your life. So I wanna dive in.
Welcome back to the Play Bigger Podcast. I'm Raquel Quinet, and this podcast is for entrepreneurs and real estate agents who want to build better businesses, create more freedom, and play bigger in business and in life. And every week we share practical strategies, leadership lessons, systems, frameworks to help you stop reacting to your business and start leading with intention. And today's episode is one of the most practical and one of the most important I have ever recorded because whether you're building a business,
Growing a real estate team or leading an organization, your calendar is quietly shaping the results you get every day. There was a time in my career where I felt productive, but I wasn't making progress. I was busy from morning until night, from emails to phone calls to client meetings to showing homes to team questions to problems, more meetings. And at the end of the day, you know it, I was exhausted. But if someone had asked me, what did you actually build today?
I don't know what I would have answered. I wasn't leading my calendar. My calendar was leading me. And that's the trap that so many entrepreneurs and real estate agents fall into. We confuse movement with momentum. We confuse activity with achievement. and we wear busy like a badge of honor. But busy doesn't build businesses. Leadership does. And so busy isn't a badge of honor. It's often a sign your systems are somewhat broken. So one Sunday afternoon I sat down to plan my week and you all know that I use a sheet called Separation Sundays. And if you want it, go into my bio. We'll also link it here in our show notes.
And instead of asking, what do I have to do? I asked a different question. What does the CEO of the business I'm trying to build need to prioritize this week? That one question changed everything because CEOs don't just fill in calendars, they actually design them. So I want you to protect before you produce because most people just kind of open their calendar and let everyone else decide for them how they're going to spend their week. And CEOs do the opposite.
They decide first what matters and then they protect it. Everything else gets scheduled around those priorities. So whenever I feel overwhelmed or whenever I feel reactive, whenever my business starts feeling heavier than it should, I always come back to these five questions.
Number one, revenue. Where on my calendar am I creating revenue? And this is always one that gets me. Not just checking emails, not organizing files, not reacting, actually creating revenue. That means sales calls client meetings, marketing, networking, content, business development. And if revenue isn't on your calendar, don't be surprised when it isn't in your bank account. Because if revenue isn't scheduled, neither is growth.
And so number two is leadership. Where am I leading instead of reacting? That means thinking time, planning time, one-on-ones, team developments, reviewing KPIs or data, casting the vision. Leadership isn't something you squeeze in. It just belongs on your calendar and it's given.
And number three is growth. Am I learning, reading, investing in myself, attending masterminds, building relationships, because every week should include some dedicated time to becoming a leader because your business rarely outgrows you. And here's the caveat. I know so many entrepreneurs that keep investing in masterminds, keep doing all these classes, but you've got to also implement, like execute is the fastest path to growth.
And number four is life. This is where so many entrepreneurs lose. They schedule work, then hope life fits around it. They flip that, they schedule the meetings that matter most, your workouts, your marriage, your kids' games, your vacation, your recovery. Because what's the point in building a really, really big business if your calendar has no room to enjoy it? Freedom doesn't happen when your business grows. Freedom happens when your calendar reflects your priority
and number five, eliminate. Finally ask yourself: What should never be on my calendar? Every unnecessary meeting, every task someone else can do or someone else can own, every obligation that no longer aligns with your vision, and every yes that should have been a no. The fastest way to create time isn't better productivity. It's actually elimination.
So the three biggest mistakes that I see when it comes to this is
- Number one is planning your week on Monday. And I've talked about this on previous podcasts. By then, your week is already reacting. Win the week before it starts.
- Mistake number two is scheduling everybody else's priorities before your own.
- And number three is believing you will just find time. Guess what? You won't. You've got to create it. And so show me your calendar. I will actually show you your future. And so this week I want you to open your calendar.
Don't change anything yet and really truly look at it. Honestly, if a stranger looked at your schedule, would they know your priorities? Would they see a CEO or would they actually see someone constantly reacting? Then choose one recurring block to protect every week. Maybe it's your CEO time, maybe it's business development, maybe it's date night, maybe it's your workout, maybe it's your child's game. I want you to put that on your calendar first, then build everything else around it.
See, your calendar isn't just a scheduling tool. It is a leadership tool. it's a decision-making tool. It's a reflection of your values. And ultimately, it's your business plan in disguise. Yes, I said it. It's your business plan in disguise.
The entrepreneurs who build remarkable businesses don't simply just manage their calendar or protect their time better.
They intentionally design lives and businesses that reflect what matters most because every yes is also a no and every hour is an investment and every week is building something whether you realize it or not. The question is, are you building the business and life you actually want? I want to thank you for hanging out with me on a very quick episode of the Play Bigger podcast.
If this episode challenged the way you think about time, share it with a friend and who's maybe tired of feeling busy, but ready to start thinking and leading like a CEO. And if you're ready to take control of your week, download our Separation Sunday planner in the show notes or on my bio and IG and start designing your calendar with intention. And until next time, I want you to build better, Play Bigger in business and in life, my friend.
