Hey mama — if you’re listening to this with one earbud in while folding laundry, answering a client message, or chasing a toddler around the living room… then you are my kind of mama and this one is definitely for you.
I want to call it out —
You are doing everything.
You’re managing your business.
Keeping clients happy.
Scheduling dentist appointments.
Wiping noses.
Answering emails.
Picking up Goldfish off the floor… again.
And still somehow wondering why it feels like you’re always behind.
You’re giving 100% to everyone and yet — it still feels like nothing’s getting done.
And clearly… It’s not because you’re not working hard enough.
It’s not because you’re not organized or strategic or committed enough.
It’s because your business only works when you do.
And that, my friend, is exactly why it’s not working and why you feel like you’re ‘behind’ all the time.
What I’ve learned working with multi 6-7 figure content creators and coaches is that no matter how motivated you are — no one can sustain that pace forever.
Not without burning out. Not without starting to resent the thing you once loved.
And I get it — because I built that kind of business too. I loved the thriving virtual assistant business I had built.
At first, your thriving business feels like a win.
You're your own boss. You’re making money. You’re doing the thing. You’re setting your own hours…
But soon enough, that “dream business” that you own and run, starts to feel more like an actual job — one that can’t function without your constant attention, and yet somehow you’re low man on the totem pole…
and That’s exactly what happened to me.
I had a coming to Jesus moment with one of my dear clients, where I just wasn’t sure if I was going to continue in the industry. Not because I didn’t love it, but because I had built something so dependent on me — and when you also have a tiny human depending on you and all the things in mom life… it’s a lot and I was just in this place of something has to give and I’m just going to burn down my entire business.
Which in that moment, my hormones were definitely still all over the place and once I slapped myself around a little bit… I realized that my business wasn’t actually broken…
I just wasn’t taking my own advice. I had built a business that solely relied on ME to get the job done.
So in today’s episode, I want to walk you through the exact three shifts I made when I finally said: Enough. I refuse to sacrifice ANYTHING. I get to have a thriving business I love, AND be present in my home. I get to be that fun pinterest mom AND be that boss babe.
So this is where we stop being the system… and start building one.
One that gives you back your time, your peace, and your freedom — without sacrificing your income.
so Let’s dive in!
🎙️ Shift 1: Offload What You Know (You Are Not the SOP)
Alright, so let’s get into the first shift I made — and if you’re multitasking, come back to me for this part because it might just change the way you work forever.
Shift number one: Offload what you know.
I want to really drive this home…
You are not the Standard Operating Procedure.
You are not the system.
You are not your business’s brain.
But if you're anything like I was… you’re acting like it.
You’re the one who knows where every file is.
You’re the one who knows how the onboarding flow works.
You’re the one who remembers to follow up on invoices or resend the Zoom link five minutes before the call.
And it’s exhausting.
That mental load of just knowing everything?
Is adding to what’s draining you — not the actual work.
I’ll never forget this one day when I had a full calendar, we were running late for my sons baseball practice, and a client messaged me asking where the onboarding form was for a VIP day they booked.
I remember thinking,
“I know exactly where it is… but I don’t even have the capacity to copy and paste the dang link.”
That’s when it hit me:
I had built a business that lived entirely in my head.
And my head? Was full. Fried. Done.
So if that’s you right now, here’s what I want you to do:
Document three tasks you repeat every single week.
Just three. Start there.
Pretend you’re going to hand them off tomorrow — even if you’re not.
Create a Loom walking through your process.
Write it out in a Google Doc.
Jot bullet points in your Notes app.
It doesn’t need to be pretty. It just needs to exist somewhere outside of your brain.
Because here’s what happens when you do this:
You stop relying on your memory to run your business.
You start creating assets that future-you can use to scale.
And You finally get to stop repeating yourself — or worse, reinventing the wheel every single time.
More importantly?
🧠 Your brain deserves to be freed up for bigger things than remembering which version of the Canva graphic you’re actually going to use. right??
You have CEO-level ideas to execute.
You have systems to build.
You have a life to live.
So stop hoarding all the knowledge like a human hard drive — and start setting your business up to run without you needing to personally manage every click, file, and follow-up.
This one shift gave me my mental bandwidth back.
And once I had that?
Scaling didn’t feel so heavy anymore.
🎙️ Shift 2: Protect Your CEO Time (Your To-Do List Is Not a Business Strategy)
Alright — shift number two.
This one is a game changer, but it’s going to require you to break up with your to-do list. Just a little bit.
so here is something I want to help you reframe:
That to-do list of yours, is not a business strategy.
I know, I know.
You love your lists. You probably have a few of them… You feel accomplished when you check the boxes.
You feel like you’re doing something.
But let’s be real for a second…
It feels productive to be working — but if you’re not creating space to think?
You’re not leading a business. You’re just checking boxes.
You’re bouncing from task to task, responding to DMs, answering emails, tweaking graphics, maybe sending a contract or two… and somehow, nothing real is getting done.
You know what I mean? Like the actual stuff that moves your business forward? That scales your income? That gives you your time back?
Yeah. That stuff keeps getting bumped to “later”, or it’s not even on your radar because you’re too busy working IN your business that you’re not working ON your business.
So here’s the shift:
Protect your CEO time. Ruthlessly.
Create one CEO block every single week.
Now, Let me be clear…
This is not your overflow time.
This is not when you finally catch up on Canva or clear your inbox.
This is not when you scramble to write a caption or schedule content.
This is your non-negotiable, sacred space to work on your business — not in it.
Here’s what goes inside your CEO block:
📌 Reviewing your offers — Are they scalable? Do they actually support your long-term vision, or are you stuck in a service hamster wheel?
📌 Looking at your automations — What can be simplified, streamlined, or scheduled?
📌 Making real decisions — Strategic moves that create space, income, and ease. Not just putting out fires.
It’s a set time (90 minutes if possible) of big picture energy — every single week.
And here’s my favorite tip:
Set a recurring calendar event. Name it something powerful.
Not like ‘business review’…
Something powerful like “CEO Hour” or “Momentum Meeting” or “Profit Power Hour” — whatever gets you in the zone.
Then — and this is important —
show up for it like it’s a paid coaching call.
No flaking. No rescheduling. No “I’ll just squeeze it in later.” or this came up, I’m just going to bump this down…
Because if you don’t take your business seriously, no one else will.
For instance, one of my best friends who lives across the country — she’s calling right now.
I put podcast prep on my calendar. I would LOVE to pick up the phone, I’m sure she has something juicy for me… but I made this appointment with myself, while the baby is napping. I know this is the window that will make the rest of my week a breeeeeeze and damn near on autopilot.
So now back to when I started treating that weekly CEO time like a meeting with the future version of myself…
Things shifted fast.
I stopped being reactive.
I stopped spinning my wheels.
And I started making decisions that actually built the business I wanted… not just the one that kept me busy.
So here’s what I want you to do… this is your action step…
Clear the clutter. Block the time. Show up like the boss you are.
You don’t scale from your inbox.
You scale from your strategy.
And that will start in your CEO block.
🎙️ Shift 3: Build a Self-Sustaining Client Journey
If your business can’t survive without you, it’s not a business—it’s a bottleneck.
Okay, deep breath — because that one might sting a little.
If you got sick…
If your kid came down with the flu…
If you had to take a full week off and unplug — no laptop, no email, no DMs…
Could a brand new lead find you, buy from you, and actually get what they paid for… without you lifting a finger?
If the answer is no —
Then what you’ve built isn’t a business.
It’s a bottleneck.
Spoiler Alert… you’re the bottleneck.
Now listen — I say this with love. Because I was the bottleneck.
And realizing that was equal parts humbling and empowering.
Because when everything depends on you —
Your business can’t breathe unless you do the breathing.
So here’s the third shift:
You have to build a client journey that runs without you.
And I’m going to break it down into a simple 3-part automation flow that you can start setting up today — Now before you glaze over or tune me out… if tech stresses you out, or you haven’t even attempted to go there because it seems scary and just ‘I would’t even know where to start’
I’ve created a free plug and play funnel for your offers, as well as a free manychat flow to connect your social media to your lead magnet/offer/funnel — whatever you want to direct them to. SO DON’T SLEEP ON THIS ADVICE! And then inside of the show notes, I have those resources linked for you… OK… here’s how to create this client journey:
📌 Step 1: Lead Capture
You need a way for new leads to find you and raise their hand — without you personally starting the conversation.
This could look like:
- A ManyChat automation, for instance in your Instagram DMs (someone comments a KEYWORD, and boom — they get the next step).
- You could create An intake form on your website that auto-captures their info and routes it somewhere smart.
- or a simple freebie opt-in that brings people into your world 24/7.
Bottom line — You’re creating a doorway so people can walk in without needing you to unlock the door every time. Ok? That’s the purpose.
📌 Step 2: Nurture Sequence
Now, Once they’re in your world — your emails do the heavy lifting.
You don’t need to be constantly “on” to build trust.
Here’s where your email automation comes in:
- You Welcome them.
- Then you Tell them what you do — and why it matters.
- And then, Show them their next best step.
Think of this like your digital handshake — but make it a warm hug and a coffee date all in one.
It’s not cold.
It’s curated.
And it keeps working, even when you’re not.
📌 Step 3: Delivery & Follow-Up
ok, Last step: make sure the delivery of your offers doesn’t depend on your availability.
That might mean:
- Auto-sending digital products through your backend (whatever platform you use).
- Using Calendly or TidyCal to auto-schedule client calls.
- Setting up reminder emails or SMS to follow up — so you’re not playing inbox ping-pong at 11PM.
The goal here is simple:
If someone says yes to your offer, they should be able to:
- Pay.
- Get what they paid for.
- Feel supported.
- All without you manually stepping in.
Now — I know automation can sound cold.
But what we’re really doing here is creating warmth without burnout.
Automation isn’t about replacing connection.
It’s about making sure connection still happens… even when you’re off the grid, at a baseball game, or deep in bedtime routine.
This system doesn’t just serve you — it serves your clients better, too.
They don’t have to wait for a reply.
They don’t get lost in the shuffle.
They move, they buy, they get support.
And you get to breathe.
Because your business isn’t hanging on your availability anymore.
So if you’re sitting there thinking,
“Ugh, this is what I need, but I don’t even know where to start…”
Start with that one question:
If I disappeared for a week… would the right people still find me, buy from me, and get what they need?
If not — let’s fix that, using this 3 part system.
