Hi friends.
Today I am so excited to share my favorite way of supporting my clients, and that is by protecting their priorities.
As founders, it is so easy to get caught up in the whirlwind of meetings, calls, and urgent requests. And without clear boundaries, your time will never truly belong to you.
So in this episode, we're talking about:
- Why protecting your priorities are essential for your success.
- How a great assistant can enforce or reinforce boundaries that create space for what truly matters
- Real world examples of boundaries that have transformed the way my clients operate.
If you're ready to reclaim your time and focus, let's dive in.
So tell me, are you protecting your priorities?
Many of us think we are, but if we asked our immediate family, close friends, and even team members, they may paint a very different picture.
If we take a look at the last 30 days of your life...
- Did you find yourself double booked?
- Rushing from one meeting to the next?
- Spending hours on tasks that don't align with your bigger goals?
I hate to say it. But you and I both know this is a sign your priorities are being pushed to the back burner.
If you don't protect your time, no one else will. One of the most powerful yet unspoken benefits of having a great assistant is their ability to act as your boundary enforcer. They're the ones who can say "no" on your behalf or challenge you when you're about to compromise the priorities you've already set in place.
Here are some examples of boundaries we've helped clients put in place and happily enforce for them.
- No meetings before 11 a.m. For one client, mornings are reserved for deep strategic work, the kind of work that drives their business forward. By eliminating early meetings, they start each day with focus and clarity. This also allowed us the ability to schedule him time with his children when school events came up like Donuts With Dad.
- Another boundary, no meetings on Mondays and Fridays. This boundary creates space for one client to plan and decompress. Mondays are for setting the tone of the week and Fridays are for... Mondays are for setting the tone of the week, and Fridays are for reflection and wrap up and heading out early to enjoy their family.
- The next boundary, no meetings on Wednesday. A midweek no meeting day gives another client the flexibility to focus on high priority tasks without interruptions. This also makes it much easier for his assistant when booking medical and wellness visits on his behalf.
- And the last boundary, no meetings after 4 p.m. For another client, this ensures their evenings are reserved for family and personal time. This client held that boundary very firmly. There were no exceptions. If someone had to meet with him, then he would have us added at the end of his day at 8.30 PM. So this was after he had time with his family to eat dinner and to, find out about their day without distractions. Now imagine the impression this will put on the person requesting the meeting. They now subconsciously recognize that this client's priority is his family. And if he's meeting with you at 8.30 in the evening, it better be important.
These boundaries aren't just about being rigid. They're also about being intentional. And once they're in place, they create a chain reaction of benefits, including more focus, less stress, and better work-life harmony.
Here at Scale Smart, Stay Grounded when we call you out, we always provide solutions that you can put into practice immediately.
So are you ready for my unsolicited advice?
Of course you are!
Tip one, identify your true priorities. What matters most to you, both professionally and personally? Is it time for strategic planning? Mental space so that you can innovate? Or maybe it's being present for family dinners?
But I want you to be brutally honest with yourself. Your priorities will probably look different from another founder's or someone else in your leadership team. So I want you to really think long and hard about what is most important to you.
After you've identified that, I want you to set clear boundaries. Once you've identified your priorities, setting boundaries to protect them is going to be
imperative. Don't be afraid to say no to requests that don't align with your goals. Remember, every yes to something unimportant is a no to what truly matters.
If it's hard for you to say no when put on the spot, I want you to take a page out of one of my favorite surgeon's books. When supporting him, sometimes we would have instrumentation reps or they were sales reps, and they would try to catch him in between cases outside of the OR in order to strike up conversation, get their product in front of him, and book a time to meet for lunch or for dinner. And so he would just politely say, "just reach out to Amber so she can set it up". However, when they reached out to me, I knew how I was supposed to handle each request. Most of them were met with a soft no.
However, this kept the lines of communication open between the sales rep and the surgeon so that if needed in the future, there could be a possible collaboration.
All right, moving on to tip three, delegate enforcement. This is where a trusted assistant comes in. Their role isn't just to manage your calendar, but to protect your time and you are going to need to empower them to push back on scheduling requests and ensure your boundaries are respected.
One boundary I encourage all clients to adopt is a slow Monday following a return trip out of the country. Sleeping all night on a flight does not count as real rest. So I strongly encourage my clients that I support to gift themselves time to readjust into their time zone so that they can show up as their best selves on Tuesday to engage with team members, stakeholders, and community leaders.
Here's what I want you to take away from today's episode. Boundaries are the ultimate tool for protecting your priorities. They're not about being inflexible.
They're about creating the space you need to thrive, and if you have the right support, like a skilled assistant, you don't have to enforce these boundaries alone.
Together, the two of you can build a structure that aligns with your goals and values, and in turn, this will allow you to Scale Smart and Stay Grounded.
If today's episode inspired you, I'd love to hear what boundaries you're considering or what you've already put in place.
Let's continue the conversation by sending me a DM on LinkedIn, booking a discovery call, or sending a message through my website.
I'll be sure to drop all links in the show notes.
Do you know a fellow founder who needs help reclaiming their time? I would love it if you shared this episode with them.
Thanks for joining me for another episode of Scale Smart, Stay Grounded. Until next time, remember, scaling your business doesn't have to mean sacrificing your sanity.
You've got this.
And more importantly, I'm here to help.
