The reason I thought this would be a good topic is I have several coaching clients that came from other training programs. So they felt very good and very strong clinically, but they just really felt like they were spinning, they were, you know, haphazardly working on things, they didn't know where to be putting their efforts. Basically, chaos was ruling their life. They didn't have defined business hours, they didn't have systems, they didn't have all of that stuff set up. So that's what I want to solve for you today in this down and dirty, we're getting down to brass tacks episode. All right, hello, friend, and welcome back to the episode. We are going to be talking about one of my favorite things, organization today, specifically um setting things up in your business. So if you are a therapist who is just finishing your training, boy, you are going to want to not multitask and you're gonna want to really tune in and take notes, probably. So the reason I thought this would be a good topic is I have several coaching clients that came from other training programs. So they felt very good and very strong clinically, but they just really felt like they were spinning, they were, you know, haphazardly working on things, they didn't know where to be putting their efforts. Basically, chaos was ruling their life. They didn't have defined business hours, they didn't have systems, they didn't have all of that stuff set up. So that's what I want to solve for you today in this down and dirty, we're getting down to brass tacks um episode, because this is gonna be really helpful. So the first thing I want to tell you, you have to know where you are in your business, a season of business. So if you're listening to this and you're just starting out, I'm pretty sure you're especially if you're still listening, you're probably in your setup season, okay? In the setup season, your job is not to be uh post, it is not just like, oh, I gotta go make a social media post. Okay. Your job in the setup season is to be building the foundation, okay? To get things set up so that you're done and you can move on to the next thing. That's going to really inform what your tasks are. So to stay on task with things that you need to set up first in your business, I am just going to dive into that. So um your name, okay. Things that you are going to set up if you're just starting out is you have to get a business name. So go out there, do some research. You have to go to your uh like Secretary of State, um, the U.S. Patent and Trademark Office, you know, make sure that you're not taking somebody else's name, but you got to name this baby, okay? So first you're gonna name the business, then you're going to decide on your business structure. So, yes, it is legal for you to just set up your practice as a like as a sole proprietor that you are just one and the same. Um, do your research, talk to your business advisor. Typically, people will set up an LLC, which again, you don't need somebody to do for you. You can do it on your own. I have set up several LLCs, and at most, I bet it takes half an hour. Um, but there is more legal protections with that LLC. Okay, so do your research, decide what you're gonna do. Next, you're going to get an EIN number. So that's your tax ID number, okay? Super easy. Takes a matter of maybe 15 minutes. Um, you should purchase a domain. Now, your website is does not have to happen immediately. You can help somebody tomorrow. You could get paid tomorrow and not have your website up. Yes, it is 2026, and I wholeheartedly believe that you do need to have a website. You want to get a website built so that it can be a tool for you, it can be a tool for your customers and your community. Um, and it's also important for the Google Wizards out there, you know, for search engine optimization, because people have to find you. But I will tell you this, you you don't have to have that website to help people and to get paid. The reason that in doing your business setup that you should buy your domain is so that you have it so that you can start working on the website and also so you own it. Because I I know several people who bought their business, bought their, or you know, had their business, named their business, did all their marketing stuff, yada yada, all that stuff, and then went to buy the domain. And guess what? Now the domain is like$15,000. And that's not a typo. You didn't hear me wrong. So you don't want that to happen. So if you're gonna name your business, um, you know, whatever, go buy the domain to go with it. So you have it, it's yours to have and to hold, okay? So next you're gonna get your insurance. A lot of people do this with their provider of their dental hygiene liability insurance, okay? Super simple, um, generally super simple. Some people have had to jump through a few hoops, but again, you got to get it. Okay. So you're gonna get insurance. So so far, let's just recap. Here's what you're doing to start your business. You're naming it. You're going to set up your LLC if you're going to do that. You're gonna get your tax ID number, you're going to purchase your domain and get insurance. Next, my friend, you're gonna open some business banking business, business banking accounts. And the reason that I say multiple is because I also encourage you to buy the book, profit first, and read it. And then from there, you're gonna know that you are gonna need um four business accounts, right? Income, operating, profit, taxes. Yes. So what you will learn from uh the profit first system, which of course I teach in my programs, and and I teach it specifically for Mayo. Um, but the the whole thought process behind that book is that you allocate money out of every dollar for your business expenses, your paycheck for yourself, your operate, uh, that was your business expenses, um, profit, and also for taxes. So basically, you take one dollar, I get a dollar in my company, I only get about 40 cents on that because the rest of the money gets allocated somewhere else. So that keeps you from having a tax bill and not having money to pay it. I write checks for thousands and thousands of dollars and I always have it in an account. So that's why I say multiple business accounts, because I do preach and teach, and I also practice um the profit first system. Okay. And of course, in my programs, I also have a uh the my own money, which is my whole financial system, my whole um money dashboard, all of that stuff, which you get. Um but if you are just starting out, get the book, open the accounts, you'll get what I mean. Okay. If you know, you know. Um, you're going to next set up Stripe. So Stripe is your third-party payment processor. So when somebody pays me, I'm not directly receiving their credit card information. Okay, it goes to a third-party system. Yes, they're gonna keep some of your money, they're gonna charge you a fee, but then they're gonna deposit it in your bank account. So you have to set up a Stripe account to connect those two. Again, super easy. I just did it over the weekend, probably took me 10 minutes. Okay. You do have to have your business name, you do have to have your tax ID number, okay? Um, and then you're going to work on on, I have written down here basic brand identity. So this is your brand voice. This is just really kind of getting things dialed in with your business. I'm not talking about logo or colors or visual appeal, that kind of stuff. Um, I'm just talking about um the the the rest of like how you speak, um, who you're writing to, when you're writing to somebody, who's your customer, what what's your niche, that kind of stuff. Next, business hours, okay? This is one of the first things that I want you to determine. Yes, I know you don't have a ton of clients right now, but I encourage you to go listen to recent episodes that talk about butt-in-chair business hours. Um, this is where you build your business. Yes, you're not gonna have clients in there, but that's where you're gonna put them, and that's where you need to be doing business. So, for example, on Wednesdays, I see clients 10 to 6. On Fridays, like 10:30 to 3:30 or something. So I know that Wednesdays, 10 to 6, my butt is in this chair. I'm working. I'm not out having a Mai Thai with my husband on the patio. I'm not out hiking, I'm not I'm in the chair working. That's where I want you to define those hours because you can't build your business in the scraps of your day. So go listen to those other episodes. Um then the last thing that I want to touch on here is in this organization scheme is to also keep everything organized. Okay. Your uh wherever you're keeping your files. For me, that's Google Drive. I um was not very organized from the very beginning, and I haphazardly labeled things, and I had things all over the place. Now, of course, I teach a very organized structure. But if you were just starting out and you are listening to this podcast, I just encourage you to know, take the time to organize your Google structure, your folders, your um departments, and label how you or pay attention to how you label documents because that's really important too. So you should be able, from everything that I just said, you should be able to make yourself a list of homework items that you need to work on. Okay. When I onboard a coaching client, the first thing that we go through is okay, I can't move you into the next season until I know that you are that your setup season is done. And those skills or those things need to be done for you to move on into the next one. So here you can make a list. This is your homework, business name, LLC. Okay, get that set up if that's what you're gonna do. Get your tax ID number by your domain. Um, one thing I do want to tell you about without getting too far down a rabbit hole, when you go shopping for your domain, I want you to be prepared to buy it because interesting things happen and the universe is sometimes pretty tricky. But what often happens is somebody will go look up their domain and they'll say, Oh yeah, it's available. And then, interestingly enough, when they go to buy it later on, then it is owned by like somebody like GoDaddy or whatever, and now you have to pay to buy that from that person. I do know somebody, a dentist who had to pay$12,000 to get her domain. So I always tell my humans when you go browsing for domains, have your credit card ready and buy by anyone that you think that you would want to use, but because worst case scenario, if you don't want it, then you can just let it lapse a year later. Okay. So you're gonna buy your domain, you're gonna get insurance, you're gonna read the profit for first book and set up your bank accounts. You're gonna set up Sprite, Sprite, Stripe. Um, you're gonna think about your brand voice. Like what do you want that to be? And if you have questions about that, just Google it. There's lots of resources out there on how to set up your brand voice. Set your business hours, my friend. So important. And then um organize, keep your Google organized. Um, that is it. That is down and dirty checklist. Here you go. That's a great um, those are the first things that you need to do when starting your business. Though, so go do it, go do your homework, my friend.
