Mastering Time Management for CEOs

"Welcome back to CEO Insights! I’m Dr. LaShonda Bracey, and today we’re diving into one of the biggest challenges every CEO faces—time management.

As business leaders, we juggle endless tasks, decisions, and responsibilities. But how do you stay productive without burning out? In this episode, I’ll break down the proven strategies that help high-performing CEOs take control of their time, delegate effectively, and focus on what truly moves the needle. Let’s dive in!"

The CEO Time Trap – Why Productivity Feels Impossible

"Ever feel like there’s never enough time in the day? You’re not alone. CEOs constantly balance big-picture strategy with day-to-day operations, and without a plan, it’s easy to get overwhelmed.

The biggest time management mistakes I see CEOs make include:
❌ Saying yes to everything instead of focusing on priorities.
Micromanaging instead of delegating effectively.
Wasting time on low-impact tasks that don’t drive revenue or growth.

The key to reclaiming your time? Being intentional about how you spend every hour. Let’s talk about how to do that."

The Time Management Framework for CEOs

"To manage time like a top CEO, follow this 5-step framework:

1️. Set CEO-Level Priorities – Identify your top 3 revenue-generating or high-impact tasks each day.
2️. Use the 80/20 Rule – 80% of results come from 20% of efforts. Focus on the tasks that drive results.
3️. Batch & Block Time – Schedule focused work sessions for strategy, meetings, and execution.
4️. Master Delegation – Assign tasks to your team or assistant so you’re not stuck in the weeds.
5️. Eliminate Time Wasters – Cut out unnecessary meetings, distractions, and repetitive tasks.

If you apply just ONE of these steps, you’ll instantly feel more in control of your time."

How to Delegate Like a CEO

"One of the biggest shifts you need to make as a CEO is learning how to delegate effectively. The truth is, if you’re doing everything yourself, you’re holding your business back.

Here’s my Delegation Formula:

Step 1: List tasks only YOU can do (vision, strategy, partnerships). Keep those.
Step 2: Identify repetitive or admin tasks (emails, scheduling, invoicing). Delegate these!
Step 3: Assign responsibilities with clear expectations and deadlines.
Step 4: Trust your team and focus on the bigger picture.

💡 Pro Tip: If you don’t have a team yet, start small—outsource tasks like social media management, bookkeeping, or admin work so you can stay focused on growing your business."

My Personal Time Management Routine

"As a CEO, my days used to be all over the place. I felt like I was working around the clock but not making real progress. That changed when I developed a structured CEO time routine:

🌅 Morning (5 AM - 8 AM) – No meetings! I focus on strategy, planning, and personal growth, meditation.
📅 Work Blocks (9 AM - 4 PM) – Deep work, meetings, and decision-making.
🌙 Evening (5 PM & Beyond) – Wind down, review the day, and unplug from work.

Now, I get more done in 6 hours than I used to in 12! The secret? Being intentional with my time."

Time is your most valuable resource as a CEO. If you don’t take control of your schedule, someone else will.

Start applying these strategies today:
 ✅ Set clear CEO priorities.
✅ Delegate tasks that don’t require your expertise.
✅ Protect your time with structured work blocks.
