information,"},{"startTime":156.869,"endTime":161.07,"body":"including their degree, major concentrations, minors,"},{"startTime":161.149,"endTime":164.139,"body":"registration information and academic history."},{"startTime":164.199,"endTime":167.289,"body":"Providing a simple, straightforward method"},{"startTime":167.705,"endTime":170.865,"body":"for students, advisors and handful of solid third party vendors who"},{"startTime":221.309,"endTime":224.08,"body":"provide degree audit services and both of the major,"},{"startTime":224.089,"endTime":225.33,"body":"er, p providers."},{"startTime":225.339,"endTime":228.69,"body":"I Lucian and peoplesoft oracle, I guess,"},{"startTime":229.13,"endTime":231.85,"body":"deliver some version of a degree audit."},{"startTime":232.58,"endTime":237.389,"body":"I am only aware of a handful of homegrown degree audit systems."},{"startTime":237.559,"endTime":242.119,"body":"And one of those is just a modification of the er P delivered solution."},{"startTime":242.86,"endTime":245.94,"body":"The complexity of the audit engine that powers these"},{"startTime":245.949,"endTime":251.479,"body":"applications really puts them firmly in third party vendor territory"},{"startTime":252.179,"endTime":254.809,"body":"and complexity is a good word for degree audits."},{"startTime":254.82,"endTime":257.73,"body":"They're used by a number of different constituents"},{"startTime":257.98,"endTime":259.67,"body":"in a number of different ways."},{"startTime":259.82,"endTime":264.519,"body":"So it's very possible to be strong in one area but less so in another"},{"startTime":264.94,"endTime":267.559,"body":"students use the degree audit. Sure,"},{"startTime":267.929,"endTime":272.97,"body":"but they aren't the primary users of the degree audit at an institution"},{"startTime":273.179,"endTime":276.1,"body":"that would be academic advisors followed closely by"},{"startTime":276.109,"endTime":278.6,"body":"the degree clearance team in the registrar's office."},{"startTime":279.38,"endTime":284.339,"body":"You want to make sure that those two user groups know what they're doing in the system"},{"startTime":284.48,"endTime":286.619,"body":"and that their needs are met"},{"startTime":287.089,"endTime":290.88,"body":"the way I see it, the critical components are really as follows."},{"startTime":291.57,"endTime":294.709,"body":"A good degree audit will be comprehensive."},{"startTime":294.97,"endTime":299.95,"body":"It will include all of the requirements for a student's chosen course of study."},{"startTime":299.959,"endTime":304.029,"body":"Even those requirements that may not be course based."},{"startTime":304.76,"endTime":308.089,"body":"This is important because if a student is relying on"},{"startTime":308.1,"endTime":311.029,"body":"the degree audit to plan what classes to take,"},{"startTime":311.04,"endTime":312.279,"body":"to fulfill requirements"},{"startTime":312.45,"endTime":316.779,"body":"and they do everything in the audit and then oops surprise, there's more"},{"startTime":316.95,"endTime":319.809,"body":"that is just a bad scene all around."},{"startTime":320.6,"endTime":325.29,"body":"The worst case scenario with a degree audit is a false positive"},{"startTime":325.299,"endTime":329.98,"body":"showing that a student has completed everything when they actually haven't,"},{"startTime":330.589,"endTime":333.42,"body":"false negatives are easier to deal with."},{"startTime":333.519,"endTime":339.26,"body":"The false positives are harder to spot and their resolution is often more painful."},{"startTime":339.5,"endTime":344.299,"body":"So a comprehensive audit is the first step in avoiding false positives."},{"startTime":345.399,"endTime":347.579,"body":"A good degree audit will be accessible."},{"startTime":347.589,"endTime":352.54,"body":"It'll be designed for use on more than a computer screen. We've been in a connected world for a while. So"},{"startTime":374.109,"endTime":378.049,"body":"there are minimum standards of acceptability from students about"},{"startTime":378.16,"endTime":381.67,"body":"the modernness of the look and feel of an application."},{"startTime":382.01,"endTime":385.95,"body":"It needs to look like it was made in this century, if not decade"},{"startTime":386.149,"endTime":388.54,"body":"for students to really engage with it."},{"startTime":390.91,"endTime":394.89,"body":"A good degree audit has accurate and up to date student information."},{"startTime":394.899,"endTime":398.97,"body":"So it's connected in some way to the student information system."},{"startTime":398.98,"endTime":403.16,"body":"This seems like a pretty obvious one. But I think it's worth mentioning"},{"startTime":403.66,"endTime":406.95,"body":"most if not all of the degree audit applications"},{"startTime":406.959,"endTime":410.1,"body":"I've used have been updated via a nightly process."},{"startTime":410.69,"endTime":413.459,"body":"There are really only a handful of times in"},{"startTime":413.47,"endTime":415.97,"body":"the semester when the audits should be changing."},{"startTime":416.299,"endTime":419.23,"body":"But having at least an overnight update process"},{"startTime":419.239,"endTime":421.679,"body":"is about the minimum standard to aim for."},{"startTime":422.26,"endTime":424.85,"body":"And there are technical ways to reduce the burden of"},{"startTime":424.859,"endTime":428.079,"body":"that overnight push too like creating a hash file,"},{"startTime":428.089,"endTime":428.989,"body":"for example,"},{"startTime":429.16,"endTime":432.69,"body":"which students are added to only if something about the"},{"startTime":432.7,"endTime":436.98,"body":"students data has changed in the student information system that day"},{"startTime":437.82,"endTime":440.369,"body":"in the middle of this semester. That might not be anyone"},{"startTime":440.579,"endTime":443.7,"body":"during registration or as grades are being submitted."},{"startTime":444.019,"endTime":446.899,"body":"That'll be a lot more people having audits refreshed,"},{"startTime":449.049,"endTime":453.799,"body":"a good degree audit has a robust exception handling capability."},{"startTime":454.25,"endTime":458.51,"body":"I say this all the time in my job, we work at a university."},{"startTime":458.519,"endTime":461.5,"body":"It has universe right there in the name,"},{"startTime":461.82,"endTime":464.589,"body":"there are infinite possibilities."},{"startTime":465.2,"endTime":469.85,"body":"100% of students will never adhere 100%"},{"startTime":470.049,"endTime":475.95,"body":"to 100% of the requirements as published in the catalog. That is just a fact,"},{"startTime":476.5,"endTime":481.26,"body":"obviously, it's important to account for as many nuances in the requirements,"},{"startTime":481.269,"endTime":482.6,"body":"coding as possible."},{"startTime":483.029,"endTime":485.269,"body":"But there will always be a need to"},{"startTime":485.279,"endTime":489.019,"body":"process an exception against a requirement to demonstrate that"},{"startTime":489.029,"endTime":490.92,"body":"the requirement is met and to make sure that"},{"startTime":490.929,"endTime":494.48,"body":"the appropriate class or classes or non course requirements"},{"startTime":494.6,"endTime":496.88,"body":"are reflected in the audit"},{"startTime":498.1,"endTime":502.519,"body":"and a good degree audit has an easy to use interface for configurations,"},{"startTime":502.529,"endTime":505.66,"body":"requirements, coding, versioning of requirements"},{"startTime":505.769,"endTime":509.079,"body":"and processing of substitutions, exceptions and waivers."},{"startTime":509.64,"endTime":513.0,"body":"So since I've mentioned the requirements a couple of times, just now,"},{"startTime":513.01,"endTime":515.01,"body":"let's shift gears for a minute to"},{"startTime":515.21,"endTime":517.979,"body":"talk about how something becomes a requirement"},{"startTime":518.09,"endTime":520.719,"body":"and how it gets coded into the degree audit."},{"startTime":521.869,"endTime":523.95,"body":"In order to talk about the degree audit,"},{"startTime":523.96,"endTime":527.21,"body":"you have to understand curriculum development and the catalog"},{"startTime":527.88,"endTime":532.34,"body":"in higher education, the faculty are responsible for the curriculum."},{"startTime":532.65,"endTime":535.349,"body":"So whether it's a new requirement for a major,"},{"startTime":535.369,"endTime":541.08,"body":"a change to an existing requirement or a complete revision to a program of study"},{"startTime":541.45,"endTime":544.95,"body":"degree requirements begin with the faculty."},{"startTime":545.909,"endTime":549.75,"body":"When a faculty member has an idea for a revision to a program,"},{"startTime":549.789,"endTime":554.14,"body":"there are several steps involved and several levels of interrogation involved."},{"startTime":554.27,"endTime":557.08,"body":"These are the lenses through which the idea has to"},{"startTime":557.09,"endTime":560.38,"body":"be viewed before making it to be an actual requirement."},{"startTime":560.83,"endTime":564.78,"body":"This process is like the schoolhouse rock. I'm just a Bill Song."},{"startTime":565.39,"endTime":568.59,"body":"I'll include a link to that in the show notes just for fun."},{"startTime":569.77,"endTime":570.359,"body":"OK,"},{"startTime":570.479,"endTime":575.349,"body":"accrediting bodies exist to make sure that institutions are operating at certain"},{"startTime":575.359,"endTime":580.39,"body":"standards and these can be state regional or discipline specific bodies."},{"startTime":580.88,"endTime":584.19,"body":"Does this idea for a curricular revision"},{"startTime":584.369,"endTime":588.309,"body":"align with accreditation standards and expectations?"},{"startTime":588.53,"endTime":590.549,"body":"That's a basic level analysis."},{"startTime":591.77,"endTime":595.469,"body":"The curriculum proposal is usually benchmarked which is the"},{"startTime":595.479,"endTime":600.28,"body":"process of comparing requirements of like programs at other institutions"},{"startTime":600.51,"endTime":607.219,"body":"to see if what's being proposed is way out of bounds or if it's super common,"},{"startTime":607.89,"endTime":612.609,"body":"a requirement being super rare, doesn't necessarily disqualify it."},{"startTime":612.679,"endTime":617.75,"body":"Institutions can and do make innovative choices in their curriculum."},{"startTime":619.299,"endTime":621.76,"body":"Another lens would be how does the idea"},{"startTime":621.77,"endTime":624.9,"body":"support the learning objectives of the program?"},{"startTime":624.909,"endTime":628.719,"body":"And further does the idea align with the strategic plan"},{"startTime":628.729,"endTime":631.69,"body":"of the department of the college and the institution?"},{"startTime":632.0,"endTime":637.359,"body":"And maybe most importantly, are there resources available to implement the idea?"},{"startTime":638.44,"endTime":640.869,"body":"Let's say this idea for a revision makes it all"},{"startTime":640.88,"endTime":644.71,"body":"the way through all of that interrogation with flying colors."},{"startTime":645.09,"endTime":649.28,"body":"A curriculum proposal is then submitted through the curriculum management system"},{"startTime":649.289,"endTime":653.429,"body":"usually but not always administered by the office of the university Registrar"},{"startTime":653.96,"endTime":657.83,"body":"where it will be reviewed by a number of committees."},{"startTime":658.299,"endTime":660.82,"body":"I'm speaking generally here as it's likely that"},{"startTime":660.83,"endTime":664.059,"body":"the proposal was initiated in the system and then"},{"startTime":664.21,"endTime":666.94,"body":"the interrogation through those various lenses began."},{"startTime":667.179,"endTime":669.59,"body":"And I'm certain that there are other models of"},{"startTime":669.599,"endTime":672.64,"body":"curricular governance than what I'm about to describe."},{"startTime":672.909,"endTime":675.77,"body":"But in my experience at five different institutions,"},{"startTime":675.909,"endTime":680.4,"body":"this is a reasonable summary of the process to imagine."},{"startTime":681.989,"endTime":686.14,"body":"OK. So at the committee review stage of our curricular revision,"},{"startTime":686.58,"endTime":690.619,"body":"the first committee is usually within the department where the idea originated to"},{"startTime":690.63,"endTime":692.57,"body":"make sure that all the previously"},{"startTime":692.58,"endTime":695.75,"body":"identified lenses have been thoughtfully reviewed."},{"startTime":696.039,"endTime":697.789,"body":"And next might be the school or"},{"startTime":697.799,"endTime":700.929,"body":"college level curriculum committee where other faculty"},{"startTime":700.94,"endTime":703.309,"body":"from different disciplines within the school or"},{"startTime":703.32,"endTime":706.64,"body":"college review and assess the proposal,"},{"startTime":707.119,"endTime":710.65,"body":"not all departments have their own curriculum committee."},{"startTime":710.719,"endTime":715.57,"body":"And so the college level review might be the proposal's first stop."},{"startTime":716.989,"endTime":717.989,"body":"Finally,"},{"startTime":718.0,"endTime":721.53,"body":"a university level committee is where faculty important it might be for the"},{"startTime":804.099,"endTime":808.359,"body":"registrar's office staff to be involved with the curriculum review process."},{"startTime":808.369,"endTime":809.169,"body":"In some way,"},{"startTime":810.309,"endTime":814.78,"body":"we bring a particular viewpoint and institutional knowledge to"},{"startTime":814.789,"endTime":817.929,"body":"bear to be able to guide what's feasible,"},{"startTime":817.94,"endTime":820.719,"body":"what can or can't be enforced by the system"},{"startTime":820.859,"endTime":823.919,"body":"and whether something will make sense to students,"},{"startTime":824.84,"endTime":827.34,"body":"those things aren't always on the I think it's worth it."},{"startTime":871.409,"endTime":875.65,"body":"The catalog is the foundation of the degree audit."},{"startTime":876.849,"endTime":882.82,"body":"The catalog serves as a contract of sorts between students and the institution."},{"startTime":883.03,"endTime":887.14,"body":"Sometimes it's called a bulletin of Information or a university catalog."},{"startTime":887.58,"endTime":892.4,"body":"Whatever the title of this particular publication at your institution is,"},{"startTime":892.409,"endTime":894.76,"body":"this is the purpose it serves."},{"startTime":895.599,"endTime":900.46,"body":"The catalog is published once every year, usually in the late spring or early summer"},{"startTime":900.78,"endTime":904.88,"body":"so that it can be available for students who are considering attending"},{"startTime":905.0,"endTime":908.02,"body":"will be attending orientation over the summer
