And in this episode I'm gonna be showing you exactly how to set one up and why you might need one for yourself.

 So just to give you a little bit of backstory and a little bit of context on this, I think. We all get to a really interesting stage in business where the business is, you know, fuel our lifestyle.

It's giving us the opportunity to be able to like, you know, afford things like our car payments, our house, our mortgage, whatever that might look like for you. Then all of a sudden this business will shift and all of a sudden it becomes what I like to call a mission driven business. So. Where the business is no longer about you and no longer here to just serve only you.

It's now here to serve other people. You now are employing people. You're now serving a larger audience. You're starting to really take care of your clients. You're starting to make an impact and almost like a legacy. And so when we go from this lifestyle business and we shift more into a mission driven business, I will say that there is some interesting things that kind of happen along the way.

You start to realize that if you do not pour into your own cup. There's no way that you can serve people and for a really long time, like I know for myself, this really was very true for me, where at the very beginning of my business I was like, screw what I want, screw what I need, and like I'm just gonna give everybody everything.

And then I burnt out. I realize real quick that's not how I need to be operating. And so now my number one priority is always myself. And then everything else gets served because if I'm taken care of, then my team's taken care of. If I'm taken care of, then that means that I can handle my clients better.

It means I can handle my students better. It means I could show up properly for the podcast. It's whatever that might look like. In the same way for you as well, I know that you've probably felt at some point in your journey. Like you're not giving enough to yourself, or maybe you have kids and you feel like they're just sucking the life out of you.

Or right now it's summer. And I do know I have a lot of mom friends. I'm not a mom, but I do have a lot of mom friends who are saying right now, summer's really rough. It's the time where your kids are constantly around and as much as you love your kids and everything, sometimes, like you need your space and you need the things to pour into your own cup.

And so I just wanna tell you that I see you, I recognize you, I understand what you're going through. And I truly believe that when we give to ourselves, we can give more to others. So the reason I'm sharing that and giving you guys a little bit of context is because for so long I felt like the idea of having a personal assistant was like almost in my mind, like a thing I should be ashamed of.

And it's so crazy to me the way that I was thinking in that manner. And for so long I was thinking to myself. I'm cheating. I'm cheating in life, and that my friends are gonna judge me because I have a personal assistant, whatever that might look like. And I remember going through this the very first time I ever hired someone to help me personally because throughout both of my businesses and or both, all three of the businesses over a nine year period, I legitimately.

Would not get myself support. I always could never justify the reason why I couldn't get me support. And I'm sure if you're listening to this right now, you probably at some point, whether you've passed through this or you're currently experiencing this, it is very hard to justify actually the ROI on giving back to yourself, and I get that.

Because that has been me for so long, and I remember the turning point where I was like, you know what? I need someone to personally support me because if I'm sitting on the phone trying to call the DMV, trying to figure out license plates, if I'm trying to figure out my flight and calling and trying to get a refund because.

You know, I no longer have to go to this trip and now I've gotta wait on a phone. Like we all know what it's like if you're in the us the DMV is a pain in our ass. That is literally the thing that we would last ever wanna do in our daytime. And so these little tiny things were killing me at the time that I decided on bringing more of a personal assistant into my world was, it was actually like eight months into buying my first home, and I bought my house back in.

January of 2024. I'm like, what year is this? Back in January, 2024. And when I bought my property. I just remember like all the things I needed to do at the house because there were so many things, a lot of things I DIYed myself, but then there were some things like I wanted to knock down a wall and put in a new window.

Things that like I just wasn't willing to learn or willing to do. There's a lot of things I love DIYing around my house and if you're ever interested in like my DIY projects, I'm not home right now. I won't be back until January, 2026 'cause I'm currently on the road. As of right now, which kind of sparked the idea of this episode.

I feel like I'm getting a little distracted, but y'all are here for it. So if you're clearly still listening, then thank you for being here and listening to my TED Talk. But anyways. People don't even know I have a business on my personal Instagram and I'm cool with that because like it's just, they're just not my ideal audience, but they're people I absolutely love and I love those people who follow around. I'll link it in the show notes as well for my personal Instagram. Anyways, now that I got a little bit distracted there, I did want to share with you guys that when. I was deciding on getting a personal assistant. It was around the time that I had bought my property, and it was around the time I needed a lot of contractors and I was on the phone all the fricking time, the plumber, the contractors, like everybody.

I was installing a brand new bathtub in my master bedroom. I did an open floor concept. I had this whole vision and everything, but I had to like contact all the guys and make sure we had all the parts and everything that we needed and it was so much work. And then on top of that, I have two different businesses and thankfully the team is taken care of.

And so that was the whole point of what I was trying to say is like the ROI is really was really hard for me to justify when hiring someone to support me. And for so long I've always been like, well, everybody needs to support my clients or my students or my team. And then it finally got to a point where it's wait, I deserve to also be taken care of as well.

And so it was a very big breaking, breaking point for me as far as like really needing and desiring to have someone to support me in this capacity. So the decision came around I would probably wanna say March of 2024. It was really when I went I'm doing it, I'm gonna hire an executive assistant.

Which if you guys dunno the difference, like an assistant is just someone who might be serving your clients, serving your students, assisting the team, and even assisting you in the business. More of an executive assistant would be someone who's like kind of. Personally assisting you, plus also assisting you in the business as well, but an executive assistant.

The reason why it says executive at the front of the title is typically because they're helping you at an executive level. So that means helping you manage maybe your inbox or whatever that might look like. So I hired someone as an executive assistant. I was very transparent that they were also going to be.

A personal assistant as well. This person was full-time because they were not only helping me, but also helping some parts in the business, but their number one priority was me because I didn't want to do what I've always done, which is just take my, this person and I don't get help again. Right? So that was in March of 2024, and so I ended up finding someone when I hired them.

Okay. And they were great on paper. They were super amazing. They're actually the reason why now I do paid test projects. So if you didn't catch that episode, I will link it in the show notes to check out the prior episode. Episode number seven, all about paid test projects. She was actually the determining factor of me actually starting to implement paid test projects.

Anyways everything was good on paper. She interviewed really well. It was great. However, the downfall of working with her was that she would only get things up to 75% and then just stop. Which like I'm a really great starter, but I'm not a good finisher. So it doesn't help when like me, as the owner has like an executive assistant who also is a great starter, but a terrible finisher.

And so we kind of learned that like along the way. And so there was a lot of like mishaps and things that had happened along the way. And this is something that you definitely want to. Be mindful of as you're hiring a personal or executive assistant. And so I guess this is like a two for one freaking episode right now 'cause you're literally getting me talking about a handbook pretty soon here.

And also me just giving you backend story about like how to hire a personal assistant. So. I love doing episodes. I'd love doing podcast episodes that allow me to just like free flow. So I hope this is not distracting and hope I'm pivoting in a way that makes sense for you. Anyways, so with hiring this personal assistant, I brought her on and in the process of bringing her on, I realized that we needed a resource, something that she can come back to.

Granted the downfall of this team member, and I loved her to death. There's a lot of things that she did really well. One of the, her downfalls, like I said, was that she got things up to 75%, but that included this Alyssa Lang handbook that I'm about to share with you guys in this handbook. I highly recommend that you create for yourself as well.

Her downfall was anytime I would give her information, she would really be like, oh no, I have really great memory. I can remember, I'm like. Girl coming from someone who literally could used to tell myself every day that I can remember everything, and I still lie to myself to this day, I will literally be like, oh yeah, I won't forget that.

I need that every day. 34 years of my life, I still do this. And you think I'd learn, right? I think we've all get into this, like we think we trust ourselves. And so now I've just let that go. Being like, you know what, it's, I can't, I don't, I'm not gonna remember it. I'm gonna write it down. So anyway, she would go based off memory and I had to keep having to remind her.

I need you to write this down, not just for you, but also for me. If one day you're not here, I need to know what are, what's my license plate for my forerunner? What is my VIN number? Whatever that might be. And so I was very adamant with her about this. So that's when we created what's called the Alyssa Handbook.

And this handbook is really just a personal handbook. There are a little bit of business things, but it's not where we store like business SOPs because that is wildly different. Remember, this person's working with me directly, so I wanted to share with you guys. What is this Alyssa handbook? How can you apply this for your own life?

Even if you don't have a personal assistant or executive assistant? This could be so resourceful for you as an individual. I was literally on a team meeting with my team last week and my operations manager, she does this thing where she does 15 minutes of teaching a new thing each week. It could be about efficiency, it could be about, you know, personal care.

It could be about a lot of different things. So anyways, one of the things that we had brought up. It was about being a little bit more efficient with like life and not just like in business, but like in life. Like how can we be more efficient to be able to support ourselves? And one of my tips that I gave to the team was creating a handbook.

And it's funny 'cause my actual assistant was there at the team meeting and she was like, it's so funny because I'm always referring to your Alyssa handbook, but yet I don't have one for myself and she's got kids. So like I can only imagine that. Like she probably needs it more than I do. And so anyways, they were like.

Building out their own now. So it's really cool to see the team actually like utilizing the same sort of concept. So let's talk about what is this handbook? So this handbook is essentially, if, for me it's virtual, I would not probably do a printed out version unless you have a personal assistant that's more in person, but most people are more digital nowadays, and plus we have more access on our phones.

So this is a resource that allows any team member or even ever, even yourself. Like I said, it's usually my personal assistant or executive assistant. No other team member has access to this. That literally lists out important information and important things that I might need or she might need in order to help me make things happen.

As far as, you know, booking my travel, what are my travel preferences? What rows do I like to sit in? Do I like to fly first? Or economy, like whatever that might look like. It could be things about my dog. It's a lot of different resources. It's a lot of great information for her to be able to execute with me.

And then also, if I ever need to, I could step in. So when I. Had let go of that first assistant, the first EXE executive assistant that I had ever hired. For me personally, when I had let her go, I had to go back and refer to my own handbook that we were actively building, so that way I can make sure to take care of everything, right.

So as I've hired this newer person, she's incredible. She freaking crushes it and she's. Always someone who completes everything a hundred percent, and she's amazing and she's way ahead of me, which has been really nice. She can go into this handbook that we started creating and now she's just making it better.

She's organizing it better, whatever that might look like. So hopefully that makes sense. So the first thing, the most important part is to pick a platform that you're gonna be housing this handbook. So we use Notion, I'm obsessed with notion.

I will link my affiliate link below. The notion has been in my world since 2021 and it's just made the most sense because it's just so much more you can embed things in it. It's just way easier if you prefer more simple alternative, you can do things like Google Doc, especially if you're not like notion savvy.

'cause notion is a bit of a learning curve. If you want to learn more about notion and you're like obsessed with notion, or maybe you wanna be obsessed with notion, you heard so many things about it. I actually will link a client below. Her name is Diana Luzer. She owns a company called Flow State.

I know that she's in a rebrand as of this moment, but she's one of our clients here at Magnetic Profits and she's wicked smart. She's actually a notion expert. I've actually had her twice in one of my group programs for my other brand workflow Queen, and I will drop her information below if you're ever interested in learning about notion and learning all the things.

She's amazing and she's just super smart. So. I built up my notion years ago and it's been like so freaking helpful for me. But she's a person that I recommend 'cause I don't teach notion and like I don't build out notions. We teach it at my Workflow Queen brand, but only in the context of like our template.

But we don't teach how to like, build out your own notion. It just wasn't the path that we decided to go with anyways. So I'll drop her information below for you guys. So. Make it cloud-based and make it easily accessible on your phone. This is why I actually prefer an notion is because I can actually have the app on my phone and so can my assistant as well.

So this is a really important piece for me. 'cause there's a lot of times when I'm somewhere that I need to be able to access this handbook and I need to be able to pull up information. This literally happened to me, not even joking. I was driving recently out to Arizona because I'm on this like really long trip.

I've been out in Arizona since May with my travel trailer, just me and my dog. And we're taking off to go through to Oregon and Washington and hopefully Canada and Alaska, which is exciting. But I'm just gonna a bunch of different states until January, 2026. Anyways my license plate fell off the back of my travel trailer, so I've been like driving around this travel trailer without a license plate.

And granted, I have my license plate on my four runner. Yeah, but however, obviously I don't wanna get pulled over and so I pulled up my handbook the other day 'cause I had to call AAA and I literally gave them, I like pulled up the handbook and I have a whole section for my travel trailer information, my VIN number, everything you can possibly think of.

And so it's really helpful. So. Pick your platform. Number two, you're gonna choose your cr, your categories. So like I said, even if you have an assistant or not, this is really great for you. So a couple of things that I have, I keep it really simple. If I'm sure you could chat GBT, this I actually did right before this.

'cause I was like, I'm curious what chat GBT would say to create for categories because I'm wondering if we're missing anything. And then it gave me so many things. I dunno if you guys ever tell JBT something and then it just like spits out 50 million things and you're like Whoa whoa. This is way too much information.

That's kind of what happened. So. I was like, wait, I actually love my structure. So what am I doing? So here's the categories that I have in my handbook. Personal home travel, business operations. I'll explain that one in a minute. Emergency protocols, dog info, and contacts directory. So these are the categories I have.

I keep it short, sweet, to the point. So in the personal area though, there are like subcategories within this area. So personal identification information, address information, you know, packaging and mailing info. Health and wellness, health insurance, automotive, food preferences, things like that. So for runner car, like all of this stuff.

So I have a lot of different things listed inside personal as far as home, that's more like home cleaning and maintenance information. So I believe that's what's in here is I'm looking at it actually right now, my pest control company information. So. What, how long is their plan? When do they come what do they need access to in the home?

Stuff like that. Water filtering information, the house cleaner. How we pay the house cleaner, what account we pay them from. It's got everything that they need. The house bills, owner's, insurance, anything like that. So my whole mortgage company. And the travel area, that's more like Airbnb preferences, hotel preferences airport parking instructions flight preferences and information, airline miles, account info, travel process, travel trailer info.

I don't know why my travel trailer's there. I think because it says travel trailer, but it's actually in the personal area business operation. So I kind of wanna explain this category here. This is not. Where I am putting SOPs or instructions on how to operate the whole entire business, this is only parts of the business that are only for my eyes and no one else on the team.

So that might be some legal matters. This could be things like how to schedule appointments on my calendar, how to manage my email things like that. Because there's a lot of times where. Our team already has SOPs and structure for, you know, how to operate the business, how to schedule calls, do all these things.

But that's for everybody on the team. This is for me in particular. So that was really helpful to have this business area where my, my team member can actually come in and see that actual scheduling stuff. So next would be emergency protocols. This is really important. Someone needs to know what to do.

And I actually have my best friend, Brooke Swan. And Serena, actually Serena, she. Both have access to this particular piece of information that I'm gonna give to you guys because my number one fear is that something happens to me and then. No one can get ahold of me and no one can get access to client's accounts or whatever they need to.

And so I do have a will in place. I highly recommend that if you guys don't have a will that you, I really recommend that you do. I have a will in place and I also have a succession plan in place for just in case something happens to me. So AKA, if this happens to me, do this. So my assistant would know that if I am unreachable for seven days.

And she has not heard from me and nothing has happened. She knows exactly who to reach out to, which is actually Serena and Brooke both, mostly because I have two different companies. Both of my best friends would actually. Either one of 'em would be operating either one of the companies Serena would actually operate my workflow queen company.

That's actually what we've agreed on. It's actually in my will. And if something were to happen to me, she would actually run that company because she also runs a company that's very similar to that brand. That's why I chose her to do that. Brooke would actually run my firm, and that's mostly because she also runs a firm very similar to me.

And so she would be the one to take over the firm. And so. My assistant would know to call them immediately, and then it also lists my dad's contacts. That way they would call him. There usually wouldn't be a reason why my assistant would know first if something happened to me and not my dad. But let's just say that in that case that was the situation.

We need to have these emergency protocols in place and these things ready to go. So where can they, what's the master password? For last pass, whatever that might look like. And so that's where all the important information is. The next category was dog info. So I do not have kids, guys, and I have zero plans to ever have children.

I love moms out there, and I love what you do. It's just not in the cards for me. It's just not something I've ever wanted, and I really genuinely enjoy not having a child. But for those of you who do, you're gonna replace dog info with children in info. So this could be things like their primary doctor, this could be like their routines sitter preferences, stuff like that.

So for me, for my dog, I have one for vet contact, feeding routines, sitter preferences, his food preferences. I literally have like links to all the, like his favorite snacks, everything that he needs. And then the last category is a context directory. So this is really for like. All the major contacts that are more for my life, they're not about the business.

So for example, my car wash guy, like I have a guy who like literally is so obsessed with my four runner and I love my four runner 'cause I take it off roading all the time. I, you know, it's just my favorite thing. Anyways, my car guy, he's just so great. I love him. Every single time he washes my car, he'll come up to me and he's got this like little, looks like a little gun, but it's not a gun and it like counts the paint like depth or something.

I don't even know exactly what it does. I just know that every time he washes my car, he puts this like little gun thing to the side of my fore runner and it'll essentially read how like deep. The actual paint is, so AKA how much is the paint wearing off is what he's trying to like gauge. Anyways, every single time that I, he washes my car, he comes up to me and he is like, Alyssa, I tell you this every single time I see you stop off-roading.

'cause your paint is like going to eventually come off your four runner. And I always tell him the same answer every single time. I'm like, look. That is what I bought this car for. I literally bought this car so I could destroy it in the woods and have a really great time. I take really good care of my four runner, if you guys have ever seen it, like it's a beautiful four runner.

It's just really funny that he just is so obsessed with it. But that's something that is important for my assistant to know. She knows how obsessed I am with him. Unfortunately, he's in Glendora, which I'm really far from there. So in the meantime, I have to like. Settled for car washing companies that are not him, which makes me sad.

But anyways, that's a really good example. Like it'll have like my pest control company that we use at my, for my house. My house cleaners. So for example, my house cleaners are on pause right now since I'm not gonna be back until January, 2026. And so when we want to bring them back up in January, we will contact them and she has their information.

So it has like a bunch of really important contacts. So it could be my best friend, my dad, whatever that might look like with information. To what is, who is this person to me? Why is it important? And any special instructions that they might need in contacting them. So those are like the high level categories and I really hope that helped you there.

I know I'm getting a little bit distracted here, but I really wanted to keep this episode very free flowing and really show you guys like kind of the thoughts and the things that go into creating something like this. The big thing here is delegating the actual build out if you can. So if you do have an assistant.

I would highly recommend that you help them build it out. Like I said, my first assistant did start a little bit of it. I did have to help her with the foundation. And once we kind of got like a really good, like category system, then we started to build out information. And so if you do have an assistant, my recommendation, especially if they're not like ahead of the game, like this was my first personal assistant that I hired I constantly had to remind her to do something.

So like for example, it would be like. I dunno. We were booking travel and she would message me and be like, you know, hey, what's your preference? You prefer to fly business, economy or first class? And I would give her the answer. So my answer for that is always first class in the United States. And then business class when I'm going to Europe.

And so when I gave her that information, she would never put it anywhere. She would always go based off memory. So then I used to have to tell her all the time don't forget to put in the Alyssa handbook. Don't forget to put in the Alyssa handbook. And so if you have a team member like that, sometimes they'll get it after a while, but.

It just wasn't working for her. Like she just never put it in the handbooks. That was kind of frustrating. So I will say that you just wanna make sure you have the right team. A k she's not with me anymore. So there's a reason for that. There was a lot of different reasons, but that was a main one is we need this stuff documented.

Right. So anyways the assistant supported me with getting some things documented. My new assistant. Her name's Sam and she's incredible. She actually fills this out and she actually reorganizes it and makes it better. So like she's ahead of the game before I even have to ask. So it just depends on the type of team member.

You don't need to fill this all out at once. So as you are starting to organize this notion and or whatever, you're gonna do this in a Google Doc or however you're gonna showcase information for yourself or this personal assistant, you don't need to do it all at one time. So every time I'm doing something.

That it feels like I would probably refer back to that or it needs to be outsourced to someone. I usually will go to the handbook. So I'll give you a great example of that travel trailer stuff. So this was actually filled out originally by me. Over a year and a half ago. And the reason why I filled this out was because I was camping at a camping site more than 30 days.

And sometimes if you're camping over more than 30 days they will request that you fill out like a more of a comprehensive form that pretty much gives them all the information, like your VIN number, your license plate number in your class, the trailer type, like whatever. And so because I was doing that at that time, I was like, oh, I can just put this in the Alyssa handbook and I never have to do this ever again.

And so this actually happened to me recently about a month ago because I've been out in point of Rocks campground here in Prescott, which. By the time this airs, I'm literally leaving, so you can't come after me. Find me. So if anybody's being weird and creepy but anyways, so at Point of Rock Campground, they do require after the 30 days of me being here to submit this, and I messaged my assistant as soon as I got the email and or when I got the email, I commented on it and I was like, Hey, can you do a favor and fill this out?

You can find it in the Alyssa Handbook. And she fills it out. I've never had to do it again. Right. And so that's when I fill these things out is I'm usually doing it or I'm usually having my assistant doing it. When I'm giving information. So this happened the other day as well. I was messaging with my assistant and giving her, 'cause she's a little bit newer with me.

And I was giving her more context and information about scheduling because my last assistant never filled it out. And I realized that and I pretty much just messaged her. 'cause like I have two different brands, guys. I also have a personal life. And so with that being said. The way that we schedule things on the calendar is really important that we put it in the right brand depending on who we're inviting into it.

And then also, like there's different color coding systems, so it's like a whole thing. So one day I like voice outed her and I brain dumped a bunch of information. I'm literally looking at it right now. She even put down like the last day it was updated, who updated it, and I'm just like, God, I love this girl so much.

She's so great. But anyway, she put in like my, like Mondays, no external calls. Like it says Fridays, no external calls. Saturday and Sunday do not ever schedule. Like she literally put this stuff down because I verbalized all this to her. And so as things are coming up, we're just filling these things out.

And so my recommendation is don't put the pressure on, like feeling like you need to sit here and just fill it out. My travel one is constantly being built out like. Literally constantly. And I love the travel area mostly because there's a lot of times where I just don't wanna have to repeat myself.

So for example, Alyssa prefers flying United Airlines. Like it literally says that Alyssa typically has miles to use towards flights to make sure to prioritize that first. Here's the account number. Things like. I prefer flying as early as possible. Anywhere from 6:00 AM to 10:00 AM PST preferred, no red eye flights and actually explained why.

So I get really bad restless legs and I cannot do red eye flights or nighttime flights. I will be miserable. So like I had to make sure to put that information. I always say Lays layovers are preferred if the flight is longer than eight hours. So if I'm ever flying to, like Europe, for example, from California and then I put first class in the US business class or first class when flying international.

I always like the front row seat, which always allows for more leg room, and I usually like the seat that I'm sitting at where I can look literally directly at the flight attendant. So usually row one. And it's usually seat D 'cause I'm in the aisle. So like these little tiny things I know they're so stupid and you're just like, what is happening right now?

I wanted to share with you the depth at which we put inside of this handbook. And I never have to do this again. Like I never have to book my flight because all they have to do is read through this information and if they book it incorrectly, then they're gonna need to go get a refund because I'm I just, there's certain preferences and certain things that I need and want and that I deserve to have because I've worked really hard for it.

Right? So I wanted to kind of share that with you, and I hope that wasn't too distracted there. So let's talk about the last piece, how I use this consistently. So, like I said, it could be things like even when I'm booking travel, or I'm outsourcing it, making appointments setting up recurring deliveries.

I have a really complicated home delivery system. I'm on, I live on a non access road. That's where my house is in Lake Arrowhead. I live on a non-access road, which means that they do not deliver mail. They do not plow. When it's snowing, it's a whole thing. So we're like literally just on our own out there.

And because of that, they don't deliver any mail. So like I legitimately will not get mail at my house. So I had to explain that. And then most of the time some mail doesn't come to the PO box, then you have to ship it to my best friend's house down the mountain, an hour away. Like it's a whole thing. So that's complicated.

And so I needed to make sure to be able to communicate without having to repeat that every single time. And so I do recommend that you create this thing. You might not look at it every single day, but you definitely will look at it at least once a week and have someone else referring to it. And like I said, you do not have to have a personal assistant.

This can be directly for you. It could be about your school kids' preferences. And if you have anything that you've created for yourself on some sort of a handbook.
