A thriving medspa doesn’t run on serums alone—it runs on systems, people, and smart financial choices. We sit down with Nicole, our head of accounting, to trace her path from a childhood spent around ledgers and purple pens to a CPA-earned career that now shapes every location, department, and decision we make. From the grind of studying four exam parts while working full time to the leap from a fitness franchise into aesthetics, her story shows how finance becomes a strategic engine for client experience and sustainable growth.

Nicole opens the hood on what medspa accounting really looks like: daily transaction checks, cost tracking, vendor management, payroll Fridays, and monthly close rhythms that keep the team on track. She also shares how being in-house expands the role—collaborating with leadership on pricing, promotions, service mix, and equipment investments—so dollars and data translate into better bookings and consistent care. If you’ve ever wondered how a new service goes from idea to launch, you’ll hear the decision-making behind the scenes and why clear numbers make it possible to scale without sacrificing results.

This conversation doubles as a career roadmap. Nicole explains why internships matter, how to choose between public and corporate paths, and how to build routines that carry you through big milestones like the CPA. She’s candid about the challenges of wearing many hats at a growing company and generous with tactics for staying organized—checklists, spreadsheet trackers, and crisp communication that prevent surprises. Along the way, we talk culture: an inclusive, energetic team that invites finance into creative conversations and keeps the whole operation focused on client outcomes.

If you’re a medspa owner, a clinician curious about the business side, or a numbers-nerd who loves skincare, you’ll leave with practical takeaways on systems, pricing, and cross-functional teamwork. Enjoy the story, learn the playbook, and see why the best client glow starts with strong financial health. Subscribe, share this episode with a colleague, and leave a review to tell us which part of Nicole’s journey helped you most.

Meet Nicole, Head Of Accounting

SPEAKER_00

So we have our new, um, yeah, we got a whole new studio for you guys. So we started at a little table with little clip-on mics, and now we've got this whole setup. So if you're listening to us, um go find us on YouTube and look at it. It's really cool. I'm really excited about this. So thank you guys for continuing to stick with us through our learning struggles of starting a podcast and getting some upgrades. And it's been exciting. So we're in our new studio. Today, I'm sitting down with someone whose impact is felt in every location, every department, and every decision that we make. Our head accountant, Nicole. She has been with Kator Medzpa for over three years. And in this time, she's become an essential part of our growth, our structure, and honestly, our sanity sometimes. In this episode, we're driving into Nicole's journey into the world of accounting, how she found her passion for numbers, and what ultimately led her to Kator Medzpa. We'll talk about her role behind the scenes, the challenges and the wins that she's experienced, the unique perspective she brings to the industry that's often seen from the clinical side, but thrives because of the work happening on the financial side. So, Nicole, welcome.

SPEAKER_01

Thank you for having me.

SPEAKER_00

Of course, you are my first guest in our new studio.

SPEAKER_01

It's so beautiful.

SPEAKER_00

Like our nice little fancy chairs, and I know.

SPEAKER_01

The teal and the purple. Yeah, because purple's my color.

Early Influences And Love Of Math

SPEAKER_00

See, we're top perfect. So perfect. Well, let's get started on your story. So, first just tell us who is Nicole and what led you towards finance and accounting.

SPEAKER_01

So I'm just a regular girl who loves to, you know, get dolled up occasionally. But uh, you know, from a finance side, people look at us as, you know, boring or, you know, maybe a little nerdy or uh just too much in the numbers. But you know, we're we're regular people too. So um I uh started uh being exposed to accounting when I was a kid. Um my mom is an accountant as well, and um I have memories of going to her office because I'm a little older. We didn't have internet and computers at home. So if I wanted to print something out or do work or internet, I go to the office with my mom and I go raid the pen cabinet for purple pens and and just look at um uh all the stuff in her filing cabinets with the supplies and stuff, just kind of nerdy stuff. Um, so I've just always been exposed. Um so as I've grown um in in school and everything, uh math was my my real the real deal. I was really nerdy. I was on the math team in high school, competitive math. Um I'm kind of proud of it.

SPEAKER_00

I'm proud of you because I am a person that's terrible at math. So to me, you're a genius.

SPEAKER_01

Yes, I go take math tests for fun. I love it. Um, and then you know, and I set those goals when I was um when I was in high school and like I'm gonna I'm gonna be an accountant, I'm gonna get my uh CPA license, and I thought, oh, I'm gonna start my own firm and and uh but you know paths take a different different uh twists and turns, but you know, yeah, I did, I did finish in my bachelor's, my master's in accounting and did the the CPA, and and so I did achieve all those goals and and that's what's led me here is you know my my nerdy little self, but still still a girly girl.

Earning The CPA While Working

SPEAKER_00

How long? So you have to do you said you did your bachelor's and then have to do like the CPA. How long is your CPA stuff?

SPEAKER_01

Uh yeah, so that's um it's a four-part test. And you can take all four parts at the same time or you can spread it out, and they have different like uh time limits for um from when you can take take and pass your first test to actually completing it. So um for me, while I was doing my master's degree, I was taking one part per quarter. So it took me a year um to to do the the CPA, but I was also working full time, I had just gotten married, I was doing the master's degree of like one or two classes per semester and then studying. So I always said like I woke up accounting, I ate lunch accounting, like I'd spend my lunch breaks in my car reading the book, and then a 10-15 minute nap. Um, and then you know, I'd fall asleep on the books and and just I'd go to the gym and I'd write uh watch the videos while on the treadmill to, you know, just I had apps on my phone with flashcards. It was it was an adventure. It was uh but you know, I got it done and you know it's it's open doors.

SPEAKER_00

Did you feel really confident going to eat into each one of your tests?

SPEAKER_01

I did. So, you know, a lot of companies they'll help with tuition reimbursement or things uh related to your career. So I did have a tuition reimbursement allowance, but it mostly handled uh my my degree in classes. So um the CPA test I was funding all by myself. And I for me, I said, you know what, I'm on the budget method, I can't uh afford a whole uh study program and everything. So I had to make sure that I overstudied.

SPEAKER_00

Sounds like it was worth it. It was so fresh Nicole, finished everything, got your CPA. What was your first job?

Rethinking Firm Ownership

SPEAKER_01

Um, so while I was in college, I did uh start an internship. So if I'm ever like talking to young professionals that are looking to go into the field, um, it's get an internship, even in any career, if you have the opportunity to get into um your field of choice and get your foot in the door, by all means, even with our girls here at uh the spa, you know, if you're looking into nursing, and we have a lot of young ladies who are their future path is nursing, you know, they're coming in here, they're being exposed to charting, medical terminology, um the the systems, talking with clients, cleaning up rooms. Um, so you know, get your foot in the door. So similarly, I started as an intern in an accounting department um with a local timeshare company here in Orlando. And you know, I was so thankful that my bosses weren't just having me file paperwork, that they weren't, you know, having me just check the mail, you know. So they actually trusted to uh teach us and let us do the things that are gonna be a part of our our daily care uh life and our in our career. So I did start as an intern in my junior year of college. And um that position lasted me um over 11 years. Uh so I kind of became a lifer and and I'm and very thankful because during that time we went through the Great Recession, and I was just thankful to have a career and and a job to go to while many of my peers may not have been so fortunate.

SPEAKER_00

So you mentioned when you first were going through school that you had, you know, thought you wanted to like own your own firm and have your own thing. Did one, did that ever happen? And two, if it didn't, what ever kind of changed your mind about that?

SPEAKER_01

Uh there was this one class in college. It was called taxation of flow-through entities. Um too much terminology, but I like it.

SPEAKER_00

Use it.

SPEAKER_01

Flow through entities are your partnerships, your S corporations, um, and your those, those kinds of the accounting and the legal related to it. I was like, oh, I never want to be a partnership. But guess what an accounting firm or a legal firm typically is? It's uh it's usually a partnership. So uh yeah, it was like the the thought of the the amount of work it goes into starting your own company and uh you know all of the administrative stuff. It's not just oh let me go do your books for you. Um there was there was a lot involved. I'm like, I think I need to go get my feet wet in other people's companies and and try that out first. And and I really loved the corporate accounting environment, so I just kind of stayed.

SPEAKER_00

Yeah, that made me think to ask that question because I remember going through aesthetician school and I'm like, oh yeah, I'm gonna get out of here and I'm gonna like work for myself. I'm gonna have my own little space. And then yeah, you start to realize like you don't just like go in and like do facials and do the work. There's so much that goes behind the scenes of owning your own. And I'm like, I'm a great employee. I will be employee for life and I'm okay with it. So it made me laugh when he said that because I was like, oh yeah, I feel like a lot of people going through school, you kind of have those same thoughts, and some people do it and they do, yeah, they do great. And some people, I'm like, you can handle all the craziness of it. I'll just come in and do my job.

SPEAKER_01

Know your passion. Exactly.

From Fitness To Medspa

SPEAKER_00

Yep. So, what were you doing right before you started at Couture? And how did you find Couture?

SPEAKER_01

Yeah, so um we might hear this a lot when uh you're around Couture, but I worked for Planet Fitness. So um our one of our founders, he was uh owner of Planet a Planet Fitness franchise here in the Southeast. And so I worked for him at Planet Fitness, and then um as I was progressing in that role, and he's like, Hey, you want to come join Couture? We're you know a med spa and we're growing and we're you know really looking to to bring our accounting functions in-house and and take it away from one of those lovely CPA firms. So um he wanted me to come head that department, and that's that's how I got into Couture is to to transition the accounting function over internal.

SPEAKER_00

So was there anything once you kind of first started working here and got your feet wet where you were like, This is I like this spot, this is a good spot for me. Were there any any of those feels for you?

SPEAKER_01

Oh, of course. I mean, the perks, the people, um, the excitement of trying to uh getting to build your own team. So, and and then also provide meaningful information to our our founders so that we can continue to grow um and provide great services and more locations for our clients. So it's it's been exciting and you know, just I've learned so much.

SPEAKER_00

What was your first impressions of Couture and when you started at a medspaw coming from more of a fitness side or uh so you know I think it's kind of cute.

First Impressions And Culture

SPEAKER_01

Um, I took a like three weeks off from between my other previous job in Couture, and it was right around my birthday, and I was actually sent my son to school and had took a Friday off, and my mom and I we went to Aquatica and for my birthday, and I got a phone call from Diane, one of our founders, and she's like, I have you set up for this, and blah blah blah blah blah. And um, if you've met her, you know she's high energy and just so positive, and you know, so I'm sitting in the pool with my my phone in the little plastic case, water protected, you know, getting my son, and she's talking about we're so excited to see you start tomorrow, blah blah blah. And I'm like, Yep, me too. Got my drink in my hand, too, you know. So my first impression was just it was Diane.

SPEAKER_00

Yeah, that's always a good first impression. It's like, okay, I got you set for this, this, and this. And you're like, let's go.

SPEAKER_01

She's ready to go. Let's do this.

A Day In Medspa Finance

SPEAKER_00

You're like, I will finish this drink, and then yes. So walk us through what the financial accounting side of a med spa actually looks like. What is, I don't know if I want to say a typical day looks like for you because I don't know if I think you have a typical day, but what does kind of your day look like?

SPEAKER_01

It's a little bit of everything. Just kind of see what's in the email, you know. Um I just have like taken over so much, you know, like it's no longer just accounting. It's, you know, it's HR, it's payroll, it's um doing the financials, paying the bills, it's uh, you know, seeing whatever else may be. Because I'm one of, you know, one of our founders, he likes to bring me in and talk marketing, talk emotions, talk um, you know, what new services, so get my opinion on things as, you know, um as a woman. So, you know, it's it's a little bit of everything, but a typical day in an accounting life is, you know, um checking our daily transactions, making sure we've got, you know, our sales entered, um, and then you know, continuing to build out, you know, the the costs of what it takes to to run a spa. So, or every other week it's running payroll to make sure our girls can um get their paychecks. I don't know about you, but I I love payday Fridays.

SPEAKER_00

Everyone appreciates Nickel.

SPEAKER_01

Send out my emails. We are getting paid this week.

SPEAKER_00

She does send out a reminder every time, and we all appreciate it. Please make sure you get payroll done. We're like, yes.

SPEAKER_01

I do try to add a fun little greeting.

SPEAKER_00

You do always, I do always appreciate that. Whether there's something fun coming up or it's not just like, hey, do your payroll. She always adds a little something fun.

SPEAKER_01

We let's knock it out of the park, girl.

Perks, Marketing, And Impact

SPEAKER_00

She keeps us, she keeps us smiling when we do our payroll. I do love that. What would you say is the most fun or fulfilling part of your job?

SPEAKER_01

Um fun part of my job. Um going to the spa. Yes. I love it. The perks. I love it when we hire a new provider because then I get to go let them try out things on my face. Um, I really uh I love accounting, but I love that the founders do let me, you know, share my opinion and you know, get to do things other than accounting. So, you know, whether it's going over there and talking about marketing and um looking, researching new services. I know Lindsay, you've asked us, you know, hey, if you see anything out about new like aesthetician type things or things related to facials or um new technologies with red light, for example, you know, like, hey, let me know about it and let's research it and you know, just that openness um to be able to impact what we offer to our to our clients. Um so I think that's you know, fun for me. Even though I've I didn't go into marketing, it that's always been just an interesting topic. And not just here, even even other companies, um, you know, with that that timeshare company, they would always have uh new departments come in and share with the accounting team what they do. And marketing has been uh one of those areas where I just found it fascinating when our VP would come in and tell us what they're doing and how they're you know learning about uh the client members or the people um and how they're analyzing the data and even creating uh ways to appeal to uh generate more sales.

SPEAKER_00

So on the flip side of that, what are some of the challenges that you face?

SPEAKER_01

Uh for me it had been just learning so many new things coming from the corporate environment, you're very niche. You know, you've got your one role, you're I would I don't want to say segregated, but you know, you don't get your hands in everything. Here um, you know, we're more small, medium-sized, and I have a lot more responsibilities to get to do a wide array of things uh that I just never did before. So to me that's it's exciting, but also challenging because I'm having to learn, um, go in a bunch of different directions, uh, speak to more people, um, do more research. And so yeah, so that's that's been the the challenge. But that that leads to growth.

Organization, Excel, And Systems

SPEAKER_00

How do you stay so organized with all the deadlines and dates and things being due? How do you how do you keep that all together?

SPEAKER_01

Checklist, checklist, spreadsheets.

SPEAKER_00

Um Do you use Excel a lot?

SPEAKER_01

I do.

SPEAKER_00

See, another thing I'm not great at.

SPEAKER_01

Um, I don't know if it's a funny story, nerdy maybe perhaps, but you know, as a kid, yeah, I said my mom was an accountant. Um, you know, I would like to do my homework on Excel. And my mom, like my mom was like doing college classes while I was in high school as well. And um, she's like, I wrote my paper in Excel. I was like, that's not what Excel is used for. She's like, but I don't know how to use Word. So yeah, we were we were weird like that. I just I would write lists, I would just make lists of other things, I'd, you know, print them out and do my little check marks, and yeah, yeah.

SPEAKER_00

I love that so much. I had to do like one thing on Excel, and I think I had to ask 20 questions. How do I do this? How do I make this do this? And they're like, Oh, you can just like auto-populate this and do I'm very impressive. I'm very impressed by you.

SPEAKER_01

Very useful.

SPEAKER_00

So, how would you describe the culture at Kator from your perspective in finance?

SPEAKER_01

Very um, we're inclusive, we're fun, we are bright, you know, we're just we're trying to change change the industry, you know. Um, that's always been, you know, I guess our motto allow access uh to our services. And but the culture, you know, we're always doing something. There's always something going on in the spa. There's um, you know, even though we're an accounting and you know, kind of out of sight, out of mind, you know, like, ah, Nicole, come bring your team. Um my team, they're they're gentlemen, so they don't always come wanna need or want to come into the spa.

SPEAKER_00

Um We do love when they show up though.

SPEAKER_01

Yeah, it's so awkward. I'll send an email. I'm like, hey guys, do you want any, you know, service fillers? You know, come on in. I'm like, go see, go see Lindsay and her team for her facial. I mean, you may not want your lips filled, but men can enjoy these services too. Yes, yes. So, you know, I'd encourage them. You sent me a thing about getting the sweatshirts the other day. I was like, all right, guys, you want a shirt? Um, and yeah, one of them, he's like, Yes.

SPEAKER_00

Yeah, email me. Oh good. So on those, but we'll get those soon.

SPEAKER_01

You know, I gotta rep. I'm not I'm not wearing mine mine today. I was like trying to be all Christmassy, but yeah.

SPEAKER_00

I love the Christmas, so we're good. Holiday season.

SPEAKER_01

Yes, and my my reindeer earrings.

Life Outside Work And Theme Parks

SPEAKER_00

Very cute. So when you're not managing the financial side of Kator, what do you love to do in your spare time?

SPEAKER_01

Well, I kind of alluded to I have a young son, he's almost nine. Um, so our evenings are spent with his activities, and I've got him in karate and soccer, and he's doing cross-country now. So he's quite active, and um, so my life revolves around him, but he's getting taller now. So we're exploring my other passion is uh theme parks. So um like you can you can almost get on the big rides.

SPEAKER_00

So is he excited to be able to get on the big rides?

SPEAKER_01

Uh it's been it's been a hit and miss, it's been a journey. So now that we've got him into the water parks, I think he's felt that adrenaline rush. And um, I I think I can get him on the Hulk now. So I'm I'm I'm hopeful.

SPEAKER_00

The Hulk was my very first roller coaster I ever rode on, and I was terrified. But it was so much fun, and I love them now.

SPEAKER_01

And you know, and you know which one is your first one because um, you know, mine was Montoo at Bush Gardens when I was 12, and I've been hooked ever since. And uh, so yeah, when I moved out here for college, I was like, I'm now leaving. Oh, I've got Disney, I've got universal, I've got you know, all these things I'm probably not supposed to name, but you know, I've got all the attractions and I can I can go. So I've taken a little hiatus with having my son, and now that he's tall enough, can't wait to get back.

SPEAKER_00

Nice. Didn't you guys go? Did you do zip lining or something not that long ago?

SPEAKER_01

Yes, we did.

SPEAKER_00

How was that?

SPEAKER_01

That was fun.

SPEAKER_00

Yeah, he enjoyed he enjoyed that.

SPEAKER_01

He did, he barely made the requirements because you got to be able to reach up to five foot eleven inches in order to get on the junior courses, and he he was like stretched. I'm like, you know, wear your uh, you know, your hair puffy and and tall shoes or something, you know, pull a wedge in there. Yeah, yeah, so that you can make the height limit. So, but he was he was like his mama and he was stubborn, he's like, I can do it myself, and um, he didn't want my help, and he led the way, and yeah, I was so proud of him doing the zipline and the the ropes, and he wasn't afraid of heights, and he was just you know going ahead of me.

SPEAKER_00

Nice, I like it. So if you had a completely free day with no responsibilities, how would you spend it?

SPEAKER_01

Ooh well, I would sleep in one first got a sleep bed ever since having those that that child, you're like, man, early, early, why? Um sleep in a little bit and then I'd probably go shopping.

SPEAKER_00

That sounds like a great day.

SPEAKER_01

Little retail therapy.

SPEAKER_00

I'll go with you.

SPEAKER_01

Let's go. Oh, wait, was was there did you say I had unlimited funds or just no responsibilities?

SPEAKER_00

I said no responsibilities, but let's go unlimited funds too. What else are we doing?

SPEAKER_01

Go to the mall.

SPEAKER_00

Yeah, love a good retail therapy. I love it. It makes everything better.

unknown

Yeah, yeah.

SPEAKER_00

And then like a nice dinner at the end. Yeah. That way you don't have to cook either. And like an order, yeah. I'm all for it. We'll do that together.

SPEAKER_01

Yes.

SPEAKER_00

What is something that always brings you joy or helps you unwind after a long day?

SPEAKER_01

Oh my goodness. The activities are just so yeah, it's it's it's it's all go, you know. You get home, you do the activity. So my unwinding doesn't normally happen till like 10 o'clock at night. And you know, I hate to say it, it might be doom scrolling or there's nothing wrong with that.

SPEAKER_00

We all do it.

SPEAKER_01

Um, I like to watch a couture podcast. Yes, yes, see what's up with my coworkers to get to know them a little bit better. Uh catch a Lindsay on TikTok.

SPEAKER_00

I'm trying out there. My my four views.

SPEAKER_01

Go check her out. All my skincare. She's my friend on TikTok.

SPEAKER_00

So, what is some advice you would give to someone who wants to get into accounting?

Rapid Fire And Closing CTA

SPEAKER_01

Oh, yes. If you want to get into accounting, you know, start with the internship. Make your plan. You know, a lot of people like they'll get into college and they won't have a plan. Yeah, and and then you you end up in college for for so long. Um, not to say that you have to have everything figured out when you start, but you know, uh the recruiters, they'll get you. You know, I've attended a seminar or two where they're just trying to get you into um a CPA big four accounting firm or a local accounting firm. And, you know, if that's not your cup of tea, know it and and follow, you know, what you want. You know, um, I went straight into corporate accounting as opposed to going into a CPA firm, but I knew that I wasn't necessarily interested in audit or taxes. Um the audit field also, you know, that involves a lot of traveling, um, a lot of long hours. Maybe that's your thing. Maybe you are trying to build that kind of experience, but kind of know what you what is your goals in life. And for me, I knew that I wanted uh to feel comfortable where I could knew that I could go do my job, do it well, come home with my family. And you know, that wouldn't mean that I wanted to travel a lot. I wanted to for me it was I wanted to be there for my family, especially as a a woman uh in a profession, uh wanting to have it all. Um you just you know, really know what you want. And and I think that goes for for any career, you know, as as women go and try to decide what they want to do, you know. Um for me, I also wanted to get some of those career milestones done before I started a family. So I'm one of those that uh started ha later in life. Um, but I was able to focus on my education, my certifications, uh, the foundations of my career before I threw in um having the family. So that when I did have my family, I could really enjoy the all of the stages, you know, the infant years, watching them uh learn to walk and you know, um the Christmases and being able to uh buy all the things, you know, the things you don't need, you know, from a bounty charged swing to to play pens. And you know, I'm like, I never used that swing. But you know, but but feeling comfortable to be able to do it, you know, that I wasn't, you know, stressed about you know, this test and you know uh completing this homework assignment so that I was able to focus on those things. Um so yeah, you know, I think that's my my advice is is always know what you want and and make you know create those goals and and find the path to it and and ask for help if you need it.

SPEAKER_00

All right, so we're gonna end on a little fun. We're gonna do a little rapid fire question.

SPEAKER_01

Oh boy.

SPEAKER_00

All right, what's your go-to coffee order?

SPEAKER_01

Oh, uh if it's Christmas time, peppermint mocha. Um, regular mocha, iced or hot, depending on the summer. Um PSLs were my my uh gateway because I used to never drink coffee. Um, but yeah, peppermint mocha.

SPEAKER_00

I actually have not had a peppermint mocha. I'm gonna need to go try one now.

SPEAKER_01

With an extra shot of espresso. Always, you know.

SPEAKER_00

Who doesn't need that?

SPEAKER_01

We're addicted to caffeine.

SPEAKER_00

Morning person or night owl?

SPEAKER_01

Night owl.

SPEAKER_00

First thing you do when you wake up.

SPEAKER_01

Um go back to sleep. Favorite smell? Mmm, gardenious.

SPEAKER_00

Dream vacation spot.

SPEAKER_01

I actually got to do it. Uh Hawaii.

SPEAKER_00

Nice!

SPEAKER_01

Yeah, very cool.

SPEAKER_00

Most people haven't got to do their dream vacation spot. Oh, I love it.

SPEAKER_01

And I I did it like super, you know. I I did a couple nights in in Honolulu and then did a week-long cruise that island hopped. So I love cruising and this mixed Hawaii and cruising.

SPEAKER_00

So perfect, yeah. Song that instantly puts you in a good mood.

SPEAKER_01

Anything by Kelsey Ballerini. She's my girl.

SPEAKER_00

Favorite part of your job?

SPEAKER_01
