I'm Amber, licensed therapist, clinical supervisor, and business owner. This is the podcast where we talk about everything grad school didn't teach you about launching, managing, and growing your private practice successfully. And before we dive in today, I want to acknowledge something. It's been a minute. I took a step back from the podcast over the past few months, and honestly, it wasn't some big strategic pause or perfectly planned break. Life just got full. Work got demanding, and I hit a point where I had to make a choice about what I had capacity for and what I didn't. And instead of forcing myself to keep showing up halfway, I stepped back. But here's the important part. I'm not coming back trying to do more. I'm coming back doing this differently, more intentional, more sustainable, and honestly, more aligned with the kind of practice and life I actually want to build. So if you've ever felt like you've had to pull back, reset, or step away from something for a while, you're not behind. Sometimes stepping back is exactly what allows you to come back stronger and clearer. And today's episode is actually a perfect place to restart. Today, I want to talk about something that almost every therapist experiences, but doesn't always have language for. Why your practice can feel messy, scattered, or overwhelming, even when you technically did everything right. And here's the question I want you to sit with as you listen. Is your practice actually chaotic, or is it just missing structure in the right places? I remember a phase in my own practice where on paper everything looked good. I had clients, I had systems, kind of, I had income coming in, but day to day it felt like I was constantly reacting. I'd forget to send paperwork, I'd feel behind on notes. My schedule felt full but disorganized. Money was coming in, but I didn't feel like I was in control of it. And I kept thinking, what am I doing wrong? I did all the steps. But that's the trap. Because no one tells you that doing the steps is not the same thing as building a functional practice. Here's what I've learned and what I see with almost every therapist I work with. Your practice doesn't feel chaotic because you failed. It feels chaotic because of three hidden gaps. One, the hidden gaps, the stuff no one taught you. Grad school didn't teach you how to build workflows or create repeatable systems or manage the back end of a business. So what most people do is piece things together. You have a scheduler, but no structure around it. You have an EHR, but no consistent documentation rhythm. You have income, but no clear financial system. So everything technically exists, but nothing is actually working together. Two, lack of systems versus lack of clarity. This is where people get it wrong. They think, I just need better systems. But a lot of the time, you don't actually have a systems problem, you have a clarity problem. Because systems only work when they're built around clear decisions, like who you want to work with, how many clients you actually want, what your schedule should look like, what your priorities are. If those things aren't clear, your systems will always feel messy. You'll overbook yourself, you'll undercharge, you'll constantly tweak things that never quite click. 3. Early stage overwhelm is normal but fixable. There's also something I want to normalize here. That early stage feeling of I'm doing everything and nothing feels stable, that's not a sign you're doing it wrong. It's a sign you've outgrown the just get it going phase, but haven't fully stepped into the run it like a business phase yet. And that middle space, it's uncomfortable. Because you're no longer guessing, but you're also not fully structured yet. So instead of asking, why does this feel so chaotic? I want you to start asking, where are my gaps? Is it your systems? Is it your clarity? Or is it just the natural growing phase? Because once you can identify that, everything starts to feel a lot more fixable. So try this this week. I want you to do something really simple this week. Take 15 to 20 minutes and do a mini audit of your practice. Ask yourself, where do I feel the most disorganized? What tasks feel repetitive but inconsistent? Where am I making decisions over and over again? That's where your gaps are. And that's where your next level is.
