Welcome to Get Your Shift Together. In this episode, we complete the Optimise milestone of the Efficiency & Profit Framework by addressing the final, crucial piece of the puzzle: Confidence.
We’ve built structure to solve the problem of dependence, and we’ve built stability to stop the business from wobbling. But often, even after these improvements are made, business owners still feel a lingering uncertainty. You might have better systems and cleaner finances, but that small voice still asks, "Are we actually doing well, or are we just busy?"
This episode explores why this uncertainty is completely normal. Confidence doesn't automatically appear just because you've made improvements. Real confidence comes from understanding the new rhythm of your business. We'll discuss how to shift from constantly wondering if something is wrong to recognizing what "normal" actually looks like, so you can stop second-guessing your decisions and start leading with genuine authority.
In this episode, you’ll learn:
- Why the final strategy inside the "Optimise" milestone is Creating Confidence.
- The difference between "motivational confidence" and the real confidence that comes from understanding your operations.
- The danger of waiting for perfection: Confidence doesn't come from eliminating busy months or unexpected costs; it comes from recognising them.
- How to find your business's "new normal" by identifying operational rhythms, cash flow patterns, and the numbers that actually matter.
Key Takeaways:
Improvement Doesn't Equal Instant Confidence: Just because you've built better structure and stability doesn't mean you'll immediately feel confident. You have to take the time to learn how your newly improved business actually behaves.
Confidence is Understanding Your "New Normal": When systems and processes change, the rhythm of the business changes. Confidence comes when you can look at a situation and calmly say, "This is a normal month," rather than constantly wondering if something is wrong.
Uncertainty Slows Down Growth: If you don't truly understand how your business is operating, you will hesitate to invest, delay hiring, and hold back on opportunities. You end up reacting to the business instead of driving it.

Welcome to Get Your Shift Together. The Profit and Growth Business Podcast. I'm Nicola J. Barnett, your Profit and Growth Business Advisor. I help businesses scale that design so you can gain more capacity with less stress, less cost, and less dependency on you as the owner. We're now inside the optimized milestone of the efficiency and profit framework. We've looked at analyze, which solved one problem, operating in the dark. But Optimize builds the foundations of a business that can sustain growth. And up to this point in the Optimised Milestone, we've talked about two things. Firstly was creating structure in the business. Getting things organized, the operation doesn't rely on everything living in your head. Then we moved into creating stability, making sure the business stops wobbling every time a payment is late, a supplier changes something, or a busy month suddenly turns quiet. There's a third step that many business owners don't realise they need. And that is confidence. Not motivational confidence, but real confidence. The kind that comes from understanding how your business actually runs now we've made the changes. Because even after improvements start happening, many owners still feel uncertain. You might have better systems. You might have tidied up the finances. And you might have clearer processes. But something still sits in the background. That small voice asking questions like, how often do the numbers just make no sense? Can we make the pay run this month or not? Are we actually doing well? Or are we just busy? Should we hire a new team member or do we actually need one yet? And those questions don't come from incompetence. They come from not understanding how the new improved business actually behaves yet. And that's completely normal. Most business owners assume that confidence should come naturally. They think if the business is improving, surely I should feel confident by now. But the reality is something different. Confidence doesn't come from improvement alone. It comes from understanding the business once those improvements are in place. Because when systems change, it makes us feel unsure. But when reporting improves, it makes us feel much better. And when processes are adjusted, they take time to bed in. So the business is starting to operate differently. And until you understand that new rhythm, it can still feel uncertain. But here's something important. No business will ever be perfect. There will always be busy months. There will always be quieter periods, unexpected costs, opportunities that appear out of no work. Confidence does not come from eliminating those things. Confidence comes from recognizing them when they appear. But it's the moment when you start thinking, this is a normal month. Or, well that looks unusual. I should investigate that. Instead of constantly wondering whether something is wrong. When business owners don't yet have that understanding, decision making becomes slower because you hesitate. You pause before investing in something new. You delay hiring and you hold back on opportunities. Not because you don't want the growth, but because the business still feels slightly unpredictable. So instead of working alongside the business, you're still reacting to it. Creating confidence is about learning how your improved business now operates, understanding the patterns, understanding the signals, understanding what normal actually looks like. Because once the business is structured and stable, something powerful happens. You begin to see the operational rhythm. You start noticing how cash tends to move through the business now. When the pressure points appear, and even before they appear, what a healthy month actually looks like. What's the normal now? Which numbers actually matter most and which ones should you be looking at? Which ones are just simply noise and you don't need to know on a day-to-day basis. So confidence appears when the business stops surprising you. And when that happens, the feeling of running the business changes as well. So instead of wondering whether things are okay, you just know instead of checking the bank balance constantly, you understand what the numbers are telling you. Instead of second guessing decisions, you can move forward knowing the business is supporting them. You stop feeling like you're chasing the business and start feeling like you're running it properly. So this is the final step in the optimized milestone. Firstly, we created the structure, so the business stops depending entirely on you. Then we created stability, so the operation stops wobbling, and you build some solid foundations. And finally we create the confidence. So you understand the business well enough to lead it properly. Because when structure, stability, and understanding come together, the business stops feeling unpredictable, and you stop feeling like you're constantly figuring things out as you go. That completes the optimized milestone of the efficiency and profit framework. Next time we move into the third milestone, achieve. Because once a business is structured, stable, and understood, the focus shifts from improving the operation to directing where the business is going next. And that's where the real growth begins. See ya down.
