I’ve been there. And after more than 20 years of fitting bucket-list adventures around full-time work, and real-life responsibilities, I’ve learned that great travel doesn’t come from over-planning... it comes from smart planning.

In this episode, I’m sharing the exact five-step framework I use to plan my own trips... the same process that helps me find hidden gems, incredible food, and experiences that actually live up to the hype.

Each week I'll bring you inspiring stories, destination deep dives, and practical tips to help you plan smarter, travel deeper, and capture those unforgettable moments along the way. If you've ever stared at Instagram wondering how everyone else seems to be having these perfectly planned wildly photogenic trips and thought, why doesn't my travel look like that? You're going to love this episode. Today I'm sharing my exact five-step process for planning trips like a pro. This is how I go from vague travel daydreams to well-executed adventures that actually feel enjoyable, not rushed, not chaotic, and definitely not stressful. This isn't about rigid schedules or color-coded spreadsheets. It's about having a simple framework that helps you plan smarter, travel better, and actually enjoy the process. Even if you're juggling work, life, and limit it, and you'll leave. So if you want to feel confident planning your next trip, whether it's a weekend away or a full bucket list adventure, let's get into it. If you're anything like me, you're busy. And when you're busy, travel planning can feel really hard and overwhelming. Finding the time and the mental clarity to be able to plan an epic trip can be such a struggle. But I think I've got this process down pat. So step one in my five-step process is to get inspired. This is where you start daydreaming about your destination. You're essentially gathering inspo. And rather than doing all of the work, I like to let the algorithm do the work for me. So here's where to start. Pick your platform or platforms of choice. For me, that starts off with Instagram, where you can search hashtags, browse reels, follow travel influencers who have traveled to your desired destination. And if you don't actually know what that is yet, then following travel influencers is a really great way to get ideas for some epic destinations. Save photos, videos, and itineraries in a shared folder if you're traveling with someone else. My second favorite platform is Pinterest. You can create mood boards and explore other people's. And finally, TikTok. This is where you get to see epic destinations as well as behind the scenes content. Now, here's the cool part. After you've done a couple of searches around your destination, the algorithm is going to serve you more of that content because it recognizes that you have an interest in that destination. For example, I've been recently researching Namibia, and after I typed in Namibia one time, my feed was filled with content on traveling to Namibia, which is really cool. The algorithm is actually serving me up the content that I would naturally be looking for, making it so much easier for me to just save all the content that I love. So I will often try and start this process months out from actually booking my trip if I have the luxury of time. Now that you are truly inspired and have safe folders full of ideas, it's now time to seek out the practical information. This brings us to step two, which is research like a pro. The practical information you're looking for here includes things like weather and when is the best time to travel to your destination, currency, what visas you will need, the language that is spoken, and any vaccinations that you're going to need. This is also where you start to seek transportation, including flights to and from the destination, local on-the-ground transportation options, and also driving requirements if you're looking to get a hire car. You'll research accommodation, including hotels, motels, resorts, Airbnbs, hostels, houseboats, whatever suits your vibe. And in apps such as Expedia or Booking.com, once again you can create saved folders to save all of your favorite accommodation options. You'll be researching things to do, including the typical cliche touristy sites. Because we all want to see the famous landmarks, but let's also go beyond that. Research the hidden gems, the local favorites, the tours and the events that you might want to attend. And of course, food. What is the local cuisine? What are the local dishes that you might want to try? Where are the best places to eat? Where do the locals love to eat? And I really love TikTok, especially for foodie recommendations. Now, finding this information is easy. Finding trustworthy information is a little bit more challenging. My go-tos here are travel blogs. I have a couple of content creators that I know and I followed for years and I really trust, and they have a very similar travel style to me. So that is often where I will go first to see have they been to the destination that I'm looking to travel to. And don't forget ChatGPT. I actually really love ChatGPT for finding hidden local gems. For example, in Spain, in Madrid, I found out about local nuns that baked cookies that you could go and buy through this secret little window. You went, you put cash on this little turntable, and they returned you with cookies and your change. That is something that is so fun that I never would have learned about had I not asked ChatGPT. But with anything AI related, it's really important to fact-check and not take what it is giving you as gospel. You might also love a guidebook. Here I highly recommend bookmarking the tabs of all of your favorite blog posts so you can go back to them later. And that brings us to step three, mapping it out. So you know where you want to go, you've got all of the things that you want to do, you've got all of your practical information. The next step is to use Google Maps to create a custom travel map. You can save this list in Google Maps so it's really easy for you to come back to it later. But this is where you plot everything, all of the destinations that you want to see, all of the uh the food places, the accommodation, the activities, plot it all out onto a map. Then I group them together in categories like attractions, restaurants, accommodation. You also have the opportunity to add notes for each of your pins. This could include ticket prices, opening hours, and any other information that you found. Mapping everything out allows you to take a look at the big picture. See where activities and items have been grouped together, and this is where your itinerary naturally formulates. You can get a much better sense of where to start and end your trip, where to go first and where to go next. It helps you decide how much time to spend in each area based on how many pins you have and also areas to avoid because once you look at the map, they just don't make sense anymore. When you're actually on ground in your destination, it's really important to download offline Google Maps so you have access to all of your pins. And your saved map is also shareable as well. So you can share this map with anyone that you are traveling with and also give them access to contribute with their own pins. This allows you to share the travel planning process. Now we're up to step four, which is build your itinerary. Now, as I mentioned, once your map is laid out, the itinerary will start to form itself. But start off with the big rocks, the essential bucket list items, and then fill in the gaps in between. It's really important to check the travel distances between destinations, to check opening days and times, because it's really unfortunate to go to a destination on a Tuesday only to find that they don't open on a Tuesday. Trust me on this one. Be realistic and allow yourself buffer time because you might want to spend longer in destinations. You might hit peak hour traffic, you might wake up feeling unwell one day. So building in buffers around a realistic itinerary will help take your trip from tourist to traveler. What I love about this process and having it all mapped out in Google Maps, for me personally, it allows me to not overplan each destination. I find that overplaning takes not only the freedom and flexibility out of it, but sometimes it kind of takes the fun out of it too. So I want to allow opportunities for spontaneous moments so that if I'm chatting with a local who's told me about this secret local spot a few hours away, I actually have the time and freedom to go and do it. Or if they've invited me to something, I have the time to do it. Now we move to step five, the most important one, and this is booking it all in. This is the fun part, and we are finally making this trip official. This starts out with flights. Use platforms like Google Flights or Sky Scanner to search the best deals, the best days a week to travel, and to find the cheapest options. I love using these two platforms for research, but then when it comes to actually booking my trip, I always try and do this with the airlines directly if I can, because it gives you a lot more freedom and flexibility around your bookings, especially if something is to go wrong. It means that you can change your flights directly with the flight provider rather than having to go through a third party. Next is accommodation. I prefer to consolidate all of my bookings into one platform where possible, whether that be Airbnb, Booking.com or Expedia. This allows me to keep my research and my preferences, all of my saved items in one place, and then all of my bookings in one place. And if you choose your favorite platform and you book most of your accommodation there, there are often bonuses like loyalty discounts that you might have access to by booking multiple times through the same platform. And I've saved so much money on accommodation or had extra perks using this exact method. And finally, the extras. Don't forget to book any tours or activities that are likely to book out. I recently learned this lesson traveling to Spain where I didn't realize how far in advance you would have to book certain things. Like traveling to Granada in the south of Spain, trying to get tickets to the Alumbra around six weeks out was nearly impossible, but we got lucky. This is where you need to be a smart traveler and find a balance between allowing yourself freedom and flexibility by not over planning your trip, but also making sure that these key bucket list items are booked in well in advance so that you don't miss out. You don't want to travel all the way to a destination to miss out on the number one reason that you traveled to that destination because you forgot to book it in advance. Now in extras, we're also here looking at travel insurance, which is highly recommended. Not only will it give you peace of mind, but it'll help you if you get sick or injured in another country or you lose your baggage or you experience theft or anything really, travel insurance is a necessity. Consider your on-ground transportation, your high car, and even restaurant bookings if you're going somewhere that is incredibly popular and hard to get a table. The final step here is organizing all of your confirmations. Screenshot everything, save backups, add everything to your calendar using the correct time zone so that you don't forget anything, lose anything, or miss out on anything. Because you never know when your phone gets stolen or goes for a little bit of a swim. Always have backups. Share those backups with someone at home just in case, and make sure that anyone you were traveling with also has a copy of the key documentation. So that is my simple five-step process and the one that I use when I plan my travels. Because travel planning can be so overwhelming, especially when you're time poor. By following this process, planning gives you confidence rather than restriction. Planning means that you have less FOMO and more intention. And at the end of the day, preparation done well means you actually have more freedom on the ground. So if there's one thing I want you to take away from this episode, is that travel planning doesn't have to feel overwhelming. When you break it into simple stages, it becomes exciting and honestly kind of empowering.
