Three AI Shifts Changing Small Business

Now, before we jump in, I want every episode to include a quick breakdown of what's happening in AI, the stuff that actually matters for us entrepreneurs. Because the world of AI moves fast, like lightning fast. And part of staying relevant now is understanding the shifts before they fully hit mainstream. AI update number one is small business owners are gaining enterprise level power in the palm of their hands. This is one of the biggest shifts that I'm seeing. Historically, huge companies have had advantages because they had large teams stacked with project managers and analysts and assistants. They had copywriters, brand teams, marketers, operations support, all kinds of things that were really a huge advantage for them in the times past. And small business owners, we had ourselves, our grit, our determination, and maybe that small but mighty team that decided to run this race with us. But AI is changing that equation dramatically. A solo entrepreneur can now create content faster than ever before. We can automate our follow-ups, generate proposals automatically, summarize meetings with lightning speed, build automated workflows, and even analyze customer feedback to inform our next product decisions. We can create onboarding systems that actually take us out of being the bottleneck to onboard and train new members to our team. All of this we can do without needing to grow our team or invest thousands upon thousands of dollars. That's the advantage of AI. That's the current revolution that we are living in. AI update number two is the real AI divide is already happening. People think the AI divide will happen someday in the future. I think it's already happening right now. And it's not between young people or older people or technical people or non-technical people, but between business owners who learn leverage and business owners who continue operating manually. The gap is widening so quickly. And it's time for us to catch up and find our place in the world of AI. AI update number three is that AI is rewarding speed. Now this matters so much. The entrepreneurs that are using AI effectively are getting learnings faster because they're testing faster in the market. They're creating faster, they're getting faster feedback from the market. They're responding faster to inputs, to innovation, to ideas, even to their customers' needs. They're iterating faster and then producing better results the next time around. All of this acceleration and learning compounds in the business results that they are seeing day to day. The faster you learn, the faster you earn. The faster you can improve, the faster you grow. All of that creates momentum like we've never seen before.

Overwhelmed Operationally Not Tech Behind

Okay, now that we know what's happening, let's talk about the real issue. Most entrepreneurs are not actually behind technologically speaking. They're overwhelmed operationally. And there's a huge difference between the two. So let me ask you something. Honestly, how many tabs do you have open right now? How many unread emails? Half-finished ideas? Maybe notes on your phone? Things that you meant to follow up on, but you never did. Content drafts that you wrote, but never actually recorded or posted? Maybe there are even projects sitting in your brain, taking up valuable mental bandwidth and capacity. Yeah. A lot of entrepreneurs are drowning mentally right now. Not because we're lacking in ambition or drive, not even stamina, resilience, or clarity, but because the modern business requires one person to function like an entire department. If you're a small business owner, let's face it, you're expected to be the strategist, the marketer, the content creator, the customer service representative, the salesperson, the operations manager, the fulfillment department. And the list goes on. And somehow you're still supposed to be able to have a personal life? It's insane when you really think about it. And for years, small business owners just accepted exhaustion as normal. Now, here's my take. The entrepreneurs who struggle most in the AI era will not necessarily be the least intelligent or the least curious. They'll be the least adaptable. Because in this moment, it's not really about technology, it's about the willingness to rethink how the work gets done. That's the real shift that we're talking about. People think being behind means I don't know enough about AI. But being behind actually looks like you're still spending three hours writing emails manually. Being behind looks like you're creating every piece of content from scratch. It looks like you're forgetting follow-ups. You're drowning in repetitive admin. You're making decisions without thought partnerships from expert intelligence. You're constantly context switching every moment of every day and not having proper systems in place. It means being trapped in reactive mode as opposed to being freed up to be in CEO mode. That's where businesses start losing momentum. And again, it's not because of you as the owner lacking anything, it's because the operational load becomes unsustainable for a single person.

The Visibility Response Capacity Gaps

So let's talk about three of the biggest gaps that AI is creating today. Gap number one is the visibility gap. Business owners using AI are publishing more consistently and more frequently across every platform. And that visibility compounds. Why? Because people do business with the people that they know, the people that they like, the people that they trust, and most importantly, the ones they remember. Your ability to show up consistently and frequently in every place where your ideal clients and customers are looking for you means that your growth as a business is going to be exponential because your visibility is exponential. That closes the content gap. Now, gap number two is the response gap. Let's face it, consumers expect fast responses. We live in an instant world. We live in an AI generation. People don't want to get information from you days after the initial conversation. And the businesses that are using AI-assisted systems are responding to inquiries and requests for proposals much faster. They're nurturing their leads much better. They're following up more consistently than ever before. And that process compounds to create the trust that also creates the desire to buy and to do business with you. Now, gap number three is the capacity gap. Now, this is a big one, and it's probably my favorite. Because AI allows entrepreneurs to increase their output without proportionally increasing exhaustion and burnout. Oh my goodness, how many of us want that? I'm guessing it's close to everyone. So you can literally supercharge your scalability, operate more sustainably, increase more profit to your business, and explode the quality of life that you're experiencing. That's one of the most exciting parts of AI, at least for me. It takes the limited capacity that we all have as human beings, and it completely raises that to a near infinite level so that we can create with more capacity than we ever did before.

A Founder Story Of Support

Now, I love stories. So let me tell you a quick one. I know a business owner who constantly felt like she was failing. Not because her business wasn't good or because her clients didn't like her. In fact, her clients loved her. It's that she couldn't keep up with everything. Every day felt like she was in reactive mode. Every day it felt like she was trapped in this reactive mode. And it was wearing her down mentally, physically, spiritually, emotionally, and it was impacting the bottom line of her business. She knew something had to shift, something had to change, but she really wasn't sure exactly how she was going to pull it off because, again, she was already feeling overwhelmed. One day she experienced this huge shift, though, in her business. And I could tell you, it was not because she hired this incredible new team or spent a bunch of money to bring in expensive consultants. It's because she learned how to use AI strategically in her business. She started using it to draft her content, help her with her onboarding emails for her clients. It took over her meeting summaries. It helped accelerate her proposal generation. AI became her brainstorming partner and even helped with scheduling meetings and running workflows that actually created leverage in her business so that she wasn't feeling so trapped and so constrained. And when we were talking, she said something that really stuck with me. She said for the first time I feel supported by my business instead of being consumed by it. Oh my goodness. Most of us got into entrepreneurship because we wanted freedom. We wanted opportunity without limitations. We wanted to chart our own path. But most of us along the way maybe started to feel trapped, even consumed by the very thing that we started. AI ushers in a transformation of founder freedom. That's what I call it. And not because we have to become AI experts, just because like we learn how to use AI to create breathing room that actually gives us the leverage that we need in our business. Okay. So let's do that.

The AI Opportunity List Framework

I want to introduce something that I call the AI opportunity list. This is where I think every entrepreneur should start when trying to think about how to incorporate AI into their business. Step one is called audit yesterday. And literally, this means look at your yesterday. What tasks did you do? And which one of those tasks were highly repetitive or overly administrative, maybe even mentally draining? Maybe it was something that took low levels of creativity or something that was extremely process-oriented. And it could be easily, you know, put into a repeatable process. Now, a couple of examples of what that might look like in your yesterday could be the emails that you drafted that have very common responses. It could be summarizing meeting notes that you're in or scheduling repetitive appointments or formatting documents, maybe even writing captions or organizing your thoughts. Perhaps it's the onboarding sequence that you have for new clients. When you create your audit of yesterday, this list is going to help inform what your tomorrow can actually look like when you apply AI to streamline it. Step two is identify what requires you versus what requires a system. Now, let me break this down because this one is huge. Some things are going to require you as the business owner. You're the entrepreneur, okay? You're the visionary. And in some cases, you're the heart and soul of your company, and you are irreplaceable. And there are things that no matter what level of innovation or AI comes down the pike, it's still going to need your judgment, your creativity, your relationship building, your strategy, and your leadership. Okay. Then, however, there are those things that just need to get done. Those are the things that just need some structure, repetition, consistency, and definitely quality. This is the category of things where AI thrives. And this is the category that's probably the most draining for you as the entrepreneur. AI plus you is actually a match made in heaven when you put each in their right lane. Step three is start with one workflow. Now let me say that again for all the people all the way in the back. Start with one workflow. Please do not try to automate your entire life overnight. It's incredibly overwhelming and is honestly simply not possible. It's also probably not even necessary. This is where I see people get overwhelmed. They stick their big toe in the waters of AI, then they start wading a little further, and before they know it, they've been sucked in by the undertow. We don't want overwhelm. We want freedom. So pick one thing. Maybe that thing is how you ideate your content. Maybe it's helping to deal with your overwhelming inbox and the emails that you have to manage day after day. Perhaps it's those meetings or proposals or your brainstorming sessions with your team. Whatever it is, there's something in your business that's highly repetitive, that takes up too much of your time, and is something that AI can take off your plate. Start there because momentum matters way more than trying to perfect every area of your business and life. Here's the truth AI is not replacing entrepreneurs, it's replacing unnecessary friction in your business. And the entrepreneurs who learn how to remove that friction from their business faster are going to see the greatest success accelerated in their business over the next few

Lean Businesses Plus A Key Warning

years. So let me tell you what I think is happening right now. We are living in the era of lean businesses. That means one-person companies that are capable of dominating AI-assisted creators that are going to captivate attention like never before, AI-supported service providers that are going to completely take over local markets, and tiny teams supercharged with AI that are capable of massive output and innovation. And honestly, this is great news for entrepreneurs because historically, scale required you to take on a lot of necessary. But here's warming. AI will not save a disorganized business. It actually amplifies what already exists in your business. If your systems are chaotic, AI implementation in an undisciplined way will amplify the chaos. But if your thinking is clear and your focus is laser sharp, AI becomes a force multiplier. That distinction is so important as you think about where to point your focus for AI implementation.

ChatGPT As A Strategic Partner

Now, each week I like to spotlight an AI tool of the week. And today's tool is ChatGPT. Now, some of you all are thinking, okay, groundbreaking. We've all heard of ChatGPT. But here's what most entrepreneurs are missing. The real power of ChatGPT is not asking random one-off questions. It's training it to think like you. Most people end up using ChatGPT like a vending machine. They type one question, they get one answer. Maybe they ask one more question and they get another answer, then they're out. But the entrepreneur that's getting the biggest results, they're using it like a strategist, like a strategic partner, sometimes as a project manager or a workflow architect. And honestly, sometimes like their second brain. So let me talk to you about something really powerful. Instead of opening ChatGPT and saying, write me an Instagram caption, you can try doing this instead. First, upload your website copy. Or if you have offer details, put that in there. Maybe add some customer testimonials or enter anything that will help ChatGPT understand your brand voice. Maybe you've got examples of past content that performed really well, or sales pages that contain really important product information or FAQs. Perhaps you want to take some tidbits from your discovery calls so that it will understand how you explain your business and handle objections. You can then say something like, learn my business, learn my audience, learn my voice. I want you to help me create content, emails, offers, and workflows that sound like me. When you do that, the things that you will get back are going to be so dramatically different and they're going to be tailored to your business. You won't get generic outputs that everyone else using ChatGBT is getting because AI will start opening and operating with the context that you've given it about your business, your brand, and your voice. And it's that context that actually makes AI more powerful, more useful, and more relevant for you as a business owner. Here's another thing that people don't realize. Chat GPT actually remembers the conversation inside of a project or thread, meaning the more context that you give it, the smarter and more personalized the outputs become over time. So instead of constantly starting over, you build an ongoing working relationship with it. That's when it starts feeling less like a chat bot and more like a real business support system. And honestly, one of my favorite uses right now is using Chat GPT for mental unloading. When your brain is overwhelmed, you can open ChatGPT and literally brain dump. You put your ideas in there, your tasks, your unfinished thoughts, your business problems, your messy thinking, all of it. And then ask, help me organize this, prioritize this, help me find patterns, help me turn this into a plan. And that alone can save entrepreneurs hours of mental fatigue every single week. And that's really the point of this whole episode. AI is not just about productivity, it's about reducing friction in your business. Because a lot of business owners, again, they're drowning in mental overload. And when that is lightened and the friction is gone, that's when you see your innovation and productivity increase. And the things that you've been wanting to bring to the market stops feeling like pushing a boulder uphill and starts feeling like you're tobogganing downhill. Tools like ChatGPT can help create breathing room again. And isn't that what we really want from our AI?
