AI Series Day 8 | 12 Days of AI. Stop Rewriting the Same Emails: Build Your AI Template Library (15 Minutes)
It's Tuesday morning. You open your inbox and see another new client who needs the welcome email. Woo hoo. You know, you've written this exact message 17 times. You dig through the sent email for 10 minutes trying to find the good version, and you finally give up and rewrite it from scratch. 15 minutes later, you hit send on an email you've already written several times before.
What if you never had to do that again?
Hey, hey, hey. Welcome to She's That founder, the show that helps ambitious women stop drowning in decisions start owning their CEO seat with a little AI magic. I'm Don Andrews, and this is day eight of the 12 days of ai, a female founders holiday business intervention series.
And today's topic, build your starter template library in one 15 minute session. Okay, friend. You're rewriting the same five emails probably every single week. Client, welcome messages, project kickoffs, feedback, emails, updates, follow-ups. Every time you write one, you're starting from zero or worse, you're excavating through your sent folder like an archeologist, helping to find the good version you wrote three months ago.
That is not email management. That is email chaos. And here's what changes today. I'm giving it to you in Steps girl.
Step one, name your frequent five. Okay, so these, this is examples from my own life. What five messages do you send constantly? Mine are a new client. Welcome, a project kickoff, a podcast guest response team feedback, a weekly update, and then just as a bonus, a meeting follow up. So yours might be different. All good, but take 60 seconds and write down what your most frequently reused emails are.
Step two, let AI draft all five of those right now. here's the prompt that actually works. Grab it, write it down.
“I'm a [your role serving] [your clients] and [client type]. I need five email templates I use weekly for each. Write in a warm or direct or professional tone. 100 to 150 words max one. A new client. Welcome. That sets up expectations And next steps. Two. A project kickoff that clarifies deliverables and timeline. Three, a team feedback email that acknowledges work and requests one specific change. Four. A weekly client update that summarizes progress and flags decisions needed. And number five, a meeting follow up, which recaps the discussion and assigns action items. Make each template personalizable with brackets for name, project, date, and any other areas that need filling in. Include a subject line for each then.”
Hit enter, two minutes of your thinking, and AI handles the first draft of all five.
Step three, making them sound like you. read each one, edit anything that feels robotic or formal when you're actually conversational, for instance, and add your specific process details and delete anything that's generic.
Now they're yours. How cool is that?
Step four, put them somewhere you'll actually use them. Don't put 'em in a lot of different places. Pick one spot that you go back to every time. So if you are getting ready to write that project kickoff email, where would you look for that template? Put it there.
So in Gmail you can save them as drafts and put a template label on them. You can put 'em in Notion and create a page called email templates. You can put 'em in your phone notes and create one note with all five in one place. I have a Google Doc that has email templates in it, but choose where you write emails the most and put them there because that's where they should live.
And then step five, stop starting from scratch. Next time you need one of those messages, open the template, copy it, add the personal details, hit send. You may have just saved yourself 12 minutes. if you're sending each of these five emails multiple times in the course of a week or even a month, add up those 12 minute windows.
You'll be saving those 12 minutes, not only in that moment, but again tomorrow and next week and next month. And that's not a productivity hack. That is buying back your time.
So here is your day eight action. Run this once today. Even if you only finish three templates, you've already eliminated time that you're wasting next week rewriting messages you've already written. This is the kind of system that doesn't just save time, it protects your strategic capacity from death by a thousand identical emails.
