Mama Means Business: Life Systems & Business Growth for Mom Founders
Mama Means Business is the podcast for the mom who’s building something in the middle of the most demanding season of her life.
Here it’s all about honest conversations on marketing, content, strategy, systems, and the mindset it takes to grow a business when your kids need you, your family needs you, and you still need something that’s yours.
I’m Dana, a mom of Irish twins, a firefighter’s wife, and a pharmacist who walked away from a career that looked great on paper to build something that fit my life. I help mom entrepreneurs in service and coaching businesses build smarter strategies, better systems, and a business that works in their season, not against it.
Episodes are short enough for school pickup or valuable enough to come back to. Whether you’re just getting started or trying to scale without burning out, you’re in the right place.
You don’t have to figure this out alone. I got you.

Hey mama, I'm Dana. Welcome to the podcast for entrepreneur moms who are done being overwhelmed and are ready to thrive. This is where we skip the fluff and get straight to what works for moms in the business world. I went from feeling stuck and overwhelmed in my white coat to a CEO running a business I absolutely love. And now I help mom entrepreneur take the same. If you're gonna get the strategy, the mindset, and the straight up honesty nobody else is giving you. So if you're ready to stop surviving and start thriving as a mama CEO, you are so in the right place. Let's get into it. When I hear mom say, I do not have time to batch content because it takes hours. I'm like, what? Why does it take you hours? I think there's a couple of layers to this, but what I really want to go through today is exactly how you can do this entire content batching thought process in 15-minute chunks throughout the week in a way that doesn't stress you out and make you feel like you have to like put your kids in front of a screen for an hour. That's not the goal here. The goal is breaking it up into tangible aspects using AI where we can. I'm gonna give you so many prompts and getting it done. It's really it can feel so intimidating, but it's really not. I talk to a lot of people, especially when they're newer on Instagram, like they're newer to posting on Instagram. And they're like, what should I post next? How does this look? And like just post. Just post. No matter how far along in your business you are, you're gonna have situations where you're post flop, where they do really well. The only thing that you can do as an individual creator, as you as a creator, is to continue to post, take the data and use the data to figure out what to post the next week. So if you spend hours, days, weeks, whatever that looks like, trying to perfect a post, I'm gonna tell you it's probably gonna flop. I think that's just like the Instagram universe of the more time you spend on something, you're like, oh my god, this is perfect. This is exactly what everyone wants to see. Instagram's like, no, I'm gonna make you humble a little bit, and we're not gonna show it to very many people. So think about that. That the best thing to do is just to put it together, throw it together, post it, use the data to help you be better for the next time. Okay. So we're gonna go through this whole setup. But because we're using AI to help us with this setup, I need to show you how to set up your AI first. So I use Claude, that's my favorite. I feel like it's what has understood my tone the best. But you can't just type in a conversation or type in like a new question to it and have it give you the output that you need. That is when you sound like a bot and it sounds so inauthentic. We do not want that. We want to use AI in the right way. So, what you have to do is set up Claude to know you, to understand you, to know how you speak. Then you can use it to your advantage. So, let's go through what that looks like. I'm gonna walk you through this specifically in Claude, but there are several different types of AI engines that you can use to do something very similar. Some of the wording or specific areas of the platform that I talk about though might be a little bit different. Okay, so you're in Claude. You are not just gonna open up a chat or conversation. You're gonna create a new project. This project should be named your business or your Instagram page, however you want to name it, to make sure that it and you know what's in that project, what the goal is there, and what the tone is there. Before you ever ask it to do anything for you, you need to feed it information so it can start to learn you and who you are. So this is gonna look like you know, a screenshot of your Instagram page. If you have any long form content, so something like this: a YouTube, a podcast, newsletters, um what's it called? I'm blanking on the Substack. Substack. Substack post, blog posts, anything that you were writing in your tone in a long form fashion or speaking in your tone in a long form fashion, needs to go into this project. That way the system can start to learn to speak like you. If you don't have long form content, that's completely okay. Grab some snaps of both your content picture and your captions, send a whole bunch of those, at least five, into that. So it can start to generate what the thought process is. The only thing here though is that if you have been using AI to do this, that you don't want to use those captions because those captions sound like the AI. They don't sound like you. So go way back if you have to and grab captions that you wrote from scratch and feed those into the system. If you are a little bit further along in your business journey, you also want to throw in your SEO keywords here. Of course, these will change from time to time, but those foundational ones for your business, throw into this project brain, as I like to call it. That way it understands what words it should be using throughout, the on-screen text, the captions, and any other form of content you're creating. Okay, then I want you to give it this prompt. You are my content production assistant, right in my voice only. Here's what that means. I'm gonna put parentheses here just to give you some examples, but you're gonna change this up depending on what you talk like. So short punchy sentences, I want to use contractions, no m-dashes. I think everyone needs to do no M-dashes, no corporate or formal language, no hedging, and no filler phrases. Minimize words like, again, I'm gonna give you an example here, but this is what I do. Minimize words like actually the truth and honestly, lead with the problem or the result to create emotional resonance. My audience is mom entrepreneurs, and I use words like enter words that you use, like babe and love it naturally. When you write content for me, it should sound like I'm talking to a friend and not presenting at a conference. When in doubt, keep it simple. Okay, that's your prompt. Feed that to it. It may ask you a couple more questions. You can even prompt it to ask you questions. Let me know what else you need to know to be able to articulate and sound like me based on the information I've given you. Okay, now let's talk about your workflow. Let's actually jump into what this looks like to content batch. Okay, so I'm gonna split this workflow into four different 15-minute sections. If you get this set up and you do it right, it will literally take you 15 minutes. It might take you a few times as you get used to it, but that's all it's gonna take. I do honestly 90% of this in the car when I do my content. So don't feel like you have to sit down at a desk for 15 minutes to get any of this done. This is meant to be able to work and flow with you. All right, let's jump into what this looks like in terms of workflow. Again, 15 minutes, four times throughout your weeks, you're done. Okay, first is the ideation. That will happen honestly throughout the week. That's the best way to do it. You're gonna get ideas as you're driving, as you're walking your kids, whatever you're doing, have somewhere in your phone or something that you always have on you where you take notes. Drop the ideas in there. That way you have something to go back to because you will never remember. You will always think, oh, I'm remember that later. That's a really good idea. And then you won't. So drop them in those notes. Now, when you sit down for this first session, you are going to either screenshot or copy and paste over all of those notes into Claude. It does not have to be perfect, it does not have to be organized, it's not have to be complete thoughts. It can literally be fragmented thoughts. Just drop it in there and you're gonna give it this prompt. Here's my raw content brain dump from this week. Some are full ideas, some are just fragments. Pull out distinct content concepts and list each one with a one-line summary of what the post would be about. Do not add any ideas that aren't already here and do not rewrite my voice. Just organize what I've given you. Okay, after you do this, it's going to organize your thoughts and give you a clean list of topics, and you can go through and highlight the ones that you feel align best with that week. Okay, now you're gonna take your final list back to Claude for session two. So in session two, you're gonna start off with this prompt. I need this amount of posts for this week. Using the content ideas above, assign each one a format using this split. 50% talking head, 15% B-roll, 35% carousel. And for each post, give me content type, content text caption, and SEO keywords. Use these format rules, you can read them here, and then it will spit you out a draft of what your content will look like for that week. This is where you want to actually put some time into reading every single one and reading it out loud. As you're reading it out loud, if you are moving out around words or you're messing things up, you want to reset those specific topics and those content ideas to make it sound more like you. So go through, read it out loud, edit as you go. Okay, now we're quickly on to section three. This is when you're filming. This is maybe the hardest section, but again, 15 minutes and you're done. You already have all your ideas, you already have all everything you need to film. Now you just need to sit down and do it. You're gonna have bullet points for your talking heads. You do not want to script these out top to bottom because that just sounds extremely inauthentic. So talk off the bullet points. You're gonna have your on-screen text ready to go, you're gonna have already ideas for what you want your visuals to look like in terms of your B-roll, and then all your carousel text will be there because that's laid out into this prompt. Especially the first few times you go through utilizing these prompts, you are going to want to give it feedback. Go through, edit it, make it sound more like you, and dump it back into the system saying, I edit it, remember these edits and use them moving forward. And it will start to catch on to what you you want, what you need in terms of output. Okay, now setting four 15 minutes. If you are a good editor, I mean this really should not take that much time, depending on how many posts you are actually going through and editing, but go through and edit them. Use your edits app, use Cap Cut, whatever you use to edit on your phone. I prefer to do this all on my phone because I edit sometimes while I'm on the couch or while we're watching a movie. So I need it to be portable, but those apps work just fine to be able to edit. There's also different types of apps that you can use to make carousels really easy. I'm gonna leave one of my favorite ones in the caption here. Um, and then also you can use Canva. Um, although if you are using Canva on your phone, it can get really difficult. So if you're a computer user, use Canva. If you're an iPhone user for carousels, check out the link that I have posted below. And that is literally it. Those are your 15-minute small chunks throughout the week that are a full batching experience, but it doesn't feel like you're sitting down for half a day getting it all done because, well, you're not, because it's optimized. This is why this doesn't sound like AI, though, and why when you're rushed and just trying to spit out an idea and a film concept all at the same time, it does not sound like you, and people can tell it's AI. Here it's about the setup. You took that time to throw your long-form content, your old captions, anything that you've written before, your messaging and tone for your business into this project for it to start to get to learn you. And then, like I said, as you go through and you edit, every time that you edit and feed that back into the system, it's going to learn even more and catch on even quicker. You know, I love a good organization tool. So I'm leaving a free content planner in the caption. This kind of goes through and basically what I told you to feed to Claude. So, like your SEO keywords, your on-screen text, your caption text are all laid out here and it's for a full month. So you can go through and make new tabs for each month, but all of your information is here. I did mention earlier in the video, too, that people just don't know what to post sometimes. So once you've started to go through and actually implement this, there's also a section in here for what your reach and your metrics looked like. So this makes it really easy to go back and say, I have no idea what to post. My brain is just not outputting any ideas this week. Go find your ones that did the best. Do something similar to that. This has all that information in there. You could even just upload this Excel sheet into Claude and it will do it for you. Make it even easier. Okay, I always like to say that if you are building, building around women who get it, who understand it, who are doing the same thing, is the quickest way to get there. You are who you surround yourself with. So if you are lacking that community, take a peek at Collective. I'm putting info for that in the caption, and we will see you next week.
