Hey there, project pros! Welcome back to PMP in a Snap, the podcast where we break down project management concepts so you can actually use them in real life—without the headache. I’m your host, Kaye B., and today, we’re diving into one of the most critical aspects of project management: Time Management—or as the PMBOK calls it, Project Schedule Management.

Now, if you’ve ever felt like time is slipping through your fingers in a project—deadlines creeping up, tasks piling up, and somehow there’s never enough time—then trust me, you’re not alone. But don’t worry, today we’re going to talk about how to take control of your project schedule like a pro.

Let’s start with a quick refresher.

What is Project Schedule Management?

Time is money, right? Well, in project management, time is everything. Project Schedule Management is about ensuring that the project is completed on time by planning, scheduling, monitoring, and controlling time-related aspects of the project.

According to the PMBOK Guide, this process includes six key steps:

  1. Plan Schedule Management – Defines how the project schedule will be developed and controlled.

  2. Define Activities – Identifies the specific tasks needed to complete the project deliverables.

  3. Sequence Activities – Determines the logical order of tasks and their dependencies.

  4. Estimate Activity Durations – Figures out how long each task will take.

  5. Develop Schedule – Combines all activities, dependencies, and durations to create a timeline.

  6. Control Schedule – Monitors the schedule and makes adjustments as needed.

Alright, let’s break these down in detail and talk about how you can actually use them in real-world projects and the pump exam.

1. Plan Schedule Management

This is where we set the rules of the game. The Plan Schedule Management process defines:

  • How we will create the schedule

  • How we will track and manage it

  • What tools and techniques we’ll use

2. Define Activities

Here, we break down the scope into individual tasks. Think of this as creating your project’s to-do list.

3. Sequence Activities

Now that we know what needs to be done, we figure out the order of tasks. Some tasks must be completed before others can start, while some can happen in parallel.

4. Estimate Activity Durations

Now it’s time to figure out how long each task will take. But let’s be real—this is where things get tricky because estimations are part science, part guesswork, and part hope.

5. Develop Schedule

Now we put all the pieces together—activities, durations, dependencies—and build a real project schedule.

6. Control Schedule

Finally, we track progress and make adjustments to keep the project on time.

Final Thoughts & Quick Recap

Alright, let’s sum this up:

  1. Plan Schedule Management – Define how scheduling will be handled.

  2. Define Activities – Break down the work into tasks.

  3. Sequence Activities – Figure out task dependencies.

  4. Estimate Activity Durations – Predict how long each task will take.

  5. Develop Schedule – Build the project timeline.

  6. Control Schedule – Monitor, track, and adjust as needed.

Managing time isn’t just about tracking deadlines—it’s about keeping your project under control. A well-managed schedule reduces stress, improves efficiency, and makes you look like a rockstar project manager.

That’s a wrap for today’s episode of PMP in a Snap! Until next time, keep your schedules tight, your meetings short, and remember—time management is project management! See you in the next episode!
