So, you know you should host a CE event for your dental referral sources, but you're not sure where to start. Well, if this is you, this episode's for you. Hi, this is Michelle with the Dental Referral Marketing Podcast, and today we're going to discuss growing your dental specialty practice by hosting a CE referral event using these three core steps for success. These are things I've proven on the field by leading, planning, and executing over a hundred dental specialty referral events, and I'm excited to dive into this for you today. Let's begin. So, in today's episode, we're going to be going over the industry data that discusses the referral sources and their responses following a successful CE event. We're going to discuss the proven timeline roadmap to successfully plan and execute your CE event. And then lastly, we're going to talk about the key items to include in your event to maximize results. You're not going to want to miss this. Things that I have learned by doing it the wrong way and the right way over the past 35 years in my experience in the dental industry. So, point number one, the industry data on the referral sources, the responses following the successful CE event. Recently, Wharton Research completed the referral pattern survey report for the American Association of Endodonists. This report was posted in March of 2026. I'll link that in the show notes below. But in this report, it state that 90% of referrals are coming from a specialty provider. From that, those 90% of referrals know, like, and trust those referral sources. And that's determined based on experience that they have had from the general dentists that were cited in this report to the endodontist through CE events. This report is massive. I printed it out and was surprised by the length of it, but extremely helpful data that you can use and apply for your own specialty practice. We know that the industry data proves that having a successful CE event will grow our referral sources. And this is something I've seen in my own experience. I have planned and hosted over a hundred CE events for dental specialty practices. And I have tracked the data firsthand to see the response that you receive from referral sources, meaning the reason why you're doing this is to increase your new patients coming into the practice. And if you're a specialist listening to this podcast, you understand the delicate nature of what I like to coin relationship marketing. That is connecting with your dental referral sources so that they know, like, and trust you and think of you as top of mind when they're looking to continue care for their patient for any type of dental specialty needs that are outside of the scope of their general dentist practice typically. We also see referrals coming from medical providers. This is something with integrated care, definitely something I'm passionate about. But that's, I think, is going to take a little bit more time to continue to move that needle in our industry. But bar none, the top amount of referral sources for dental specialists, that's oral surgeons, endodontists, peridonists, prostodontists, pediatric orthodontists, those come from general dentists. And general dentists will refer out not only based on the patient saying, Hey, I want to go to someone who's in my network, but they're going to refer out to someone who is going to expand on their level of care. For them to send a patient to another doctor, they are saying, Hey, I'm putting my name behind this and my reputation behind this. And I am trusting that this specialist is going to take care of my patient in a way, in a fashion, and a manner that exceeds or is equal to their current dental practice. So this is a very important decision the general dentists have. And so they're not going to just send you typically to just anybody. They're going to want to send to a provider that they know one, they're going to get the communication back in a timely manner. They're not going to have production that could be back on their books. So for instance, a periodontist who has received a referral for an extraction bone graft implant, that patient holds production back for the general dentist by having either the abutment, if the general dentist prefers to do their own permanent abutment, but definitely that crown, that full restoration following the implant. That production is sitting in your practice as a specialist waiting to come back to be on the general dentist schedule. So of course, their top of mind is one, how are you going to take care of my patient? And are you going to get this patient back to me in a timely manner because they have bills to pay and staff to take care of and so on? So they're not going to typically just send those referrals out to anyone. And the best way to build those referral source relationships is through CE events. Now, this is something that takes time. It takes time to plan these types of events. It takes money. Now it doesn't have to be your money, though. This is something that I have done both ways. I've done it with an allocated marketing budget for the practice, but I've also done it through leveraging sponsor relationships that align with the topic of the event and what you're looking to do to transition to point number two, proven timeline roadmap to successfully plan and execute your CE event. You're going to want to start planning this out at least, oh my goodness, please, at least six months before. If you've done CE events before and you're a pro at this, you could probably get it done in about 90 days. That's also if you have a PRC, a practice relationship coordinator, or someone on your team that is already in the rhythm of going out marketing, such as your outreach marketing, doing events, and so on. But if you do not currently have those systems in place, I would encourage you to please start planning this out at least six months before. And you're gonna think, well, my goodness, that seems like so far away. But let's go over these different steps. And you may agree with me as well when we finish. There's a lot of pieces that need to fall in place. Don't let this stop you from planning this because it's extremely profitable for your practice if you do this successfully. From that, there's a couple of steps. Number one, as I mentioned in my last episode, three steps to a successful 12-month dental referral marketing calendar. You can check that out on all the major podcast platforms or on my website as well, referralconduit.com. You're gonna want to identify existing holidays. You're gonna want to reverse engineer your year and look at what are some of the things that are gonna conflict with your event. I've learned this one the hard way. So please learn from me. Go through and of course the obvious, the existing holidays, summer vacation. You're also gonna want to look at school calendars for not only your practice in your area, but the local areas and different schools that may have spring breaks, Christmas breaks, that type of thing, because even if the offices are open, the doctors and the teams that are working in the office typically have kids at home that they had to rush home to afterwards because they are not in school currently. So that's one I would recommend to stay away from. You also want to identify local events in your area. Is there some type of a huge festival that you're maybe you're in a smaller town that everyone attends and you do not want to like a crawfish festival or I don't know, I'm just pulling that one out of my hat, which I literally am wearing a hat today. You want to look at any important events that are in your area. You wouldn't want to plan your event on Super Bowl night, which is a Sunday, you wouldn't want to do that anyways, but you know what I mean. The other thing you'll want to look at, are there any major dental conventions that are going on in the area and the time that you're looking at hosting your event? You'll want to stay away from that because even if your referral sources or potential new referral sources want to attend your event, they may already be committed to going to the dental convention with their team. The next thing that you're gonna want to look at is the dates that your doctors, your leadership are available. I would encourage you Thursday nights and Friday mornings are the best that I have seen for having dental CE events. If you do it on a Thursday evening, it's nice. You can typically catch them before they're heading home, and it's very well attended for those types of events. You would not want to make it go too late though. I would say those will be about two CE credits, CE being continuing education. You would want to make sure that you have that available for your attendees and don't go past like 8.30. I would start those events probably about 5.30, 6 p.m., maybe 5.30 registration, 6 p.m. that you actually start with your speaker and make sure you end it at 8. And then that allows 8 to 8.30 if you do things such as raffles, if you have questions afterwards to have a little bit of networking, and which I would encourage, which is one of the main purposes of having this event. So that would be Thursday nights are optimal. Friday mornings, if you do a Friday morning event, that may be a little harder for attendance unless you have a well-built referral source relationships. If you do a Friday morning, you're gonna want to offer a lot more CEs. Don't do just two CE credits because if they're gonna come out on their day off, typically most offices will be off on Fridays. You want to make sure it's enough to get them out of bed on Friday morning because they may RSVP and then hit that alarm clock and keep snoozing. So make sure there's enough meat on the bone for them to want to get up and come on out. The third thing you're gonna look at then is what is your budget that you have available for this event? This is something that's going to do to determine the next step, which is identifying your venue opportunities in your area. If your practice has a space large enough where you can host it there, fantastic. But typically most CE events are gonna be at least 30 to 50 in attendance. I've hosted ones even up to 400 in attendance, but those aren't normal across the practices. 30 to 50 in attendance is typical. You don't want to go too much larger than that because you do want to have those relationship building opportunities and conversations, networking during the event is to find balance there. We could do it virtually as well, make it easy for you. We can jump on a Zoom call and then just kind of iron out what that would look like for your practice. The next thing you want to look at is based on your budget, your marketing budget that you have available for this event, you're gonna want to consider do you want to add sponsors to create some synergy to offset the expense? But they do need to be a sponsor that is in alignment with the topic that you're going to want to present to offer the CE credits for. But sponsors I I've used many times to do this. This is a great win-win-win for everyone if you choose the right sponsors. And that's also goes back to planning the six months in advance because sponsors and dental reps and doesn't have to be dental. There could be other out of the box I've used, like massage therapists before, because think about it, dental people typically have a lot of neck and back pain. You could also, I've had like uniform shops, I've had companies that sell dental loops, anything where it would help to serve our dental industry, those type of vendors would be interested typically in attending your event as a sponsor. In a future episode, I'll I'll go over some best practices on bringing sponsors on. And there's a lot more steps behind the scenes that you may not have considered, but don't let this scare you away from doing this because CE events can be very profitable for your practice, not only for receiving those referrals right after, but for the longevity of that referral source. There are some pretty astounding numbers the data proves on how much income a referral source can bring into your practice. And that's just one practice and one provider. Could you imagine if you do multiple events over several years' time, the benefits that your practice will reap from this type of outreach efforts? The next thing you're going to want to consider is preparing your flyers, your marketing, your invitation so that they know that you're having events. So they even have the opportunity to be able to RSVP. There is a monthly level up training that I offer. It's completely free. If you have a marketing associate or if you, as the dental leadership would like to attend, I'll go over step by step how to design your flyers using Canva. I'll have a link in the show notes below. I've seen some questionable flyers in the past when I've seen other events marketed. There's just some core things that you want to make sure that you have on your invitations that you may think is obvious, but it's not always obvious. But I'll be going over that in our monthly level up training. I'll have links in the show notes below. Completely free, like I said. The next thing is communication and outreach, being able to get the word out about your event, making sure that they know that you're having it, drumming up excitement, continuing that follow-up process is very important to make sure it's a successful event. The next thing is making sure you're setting your RSVP date for this event. This is something you're going to want to make sure you have on those flyers. The RSVP date is something I would recommend at least two weeks before the actual event. And it's something, depending on the venue and your food and the different things that you'll have planned for the event, you can adjust that. But typically two weeks is a good time. The next thing is who to invite to the event. Honestly, you don't need to invite your whole referrals network to your event just because they've sent referrals to you before. There are groups of your referral sources that would be better to attend events than others. The next thing is do you want to have raffles or anything that makes it fun for your attendees to come? Have you ever gone? And I'm sure you have, or you know somebody that has done this on Black Friday, you know, the day right after Thanksgiving, where all the stores they put out these, like, you know, get an Apple iPad for $500 off. And you're like, oh my gosh, how did they do that? That's just so much. They call that a lead magnet and they lose money on that one item, but it's enough of a carrot, so to say, that's dangled out to the buyers to entice them to get out of bed and come into their store and purchase that item because they know that when they're in that store, they're gonna purchase typically data prose at least three or four items as well. So they use that lead magnet to be able to bring them into the store for purchasing. Raffles are the same kind of way when you're using them for CE events. And you don't necessarily have to purchase the raffles. A lot of the time, sponsors will do that. They'll maybe donate a bottle of wine or a gift card to a local massage vendor that they can redeem, maybe to a restaurant. Maybe it's one of their supplies I've had where electric toothbrushes are donated, that type of thing. So raffles you'll want to consider when you're planning out your event. And third point, the key items to include in your event to maximize the results. So some of the things to consider is once you're on the day of the event, now don't wait till the day of the event to consider these, but when your attendees come to the event, having things such as branded notebooks that have pins on them, and that's a great way not only to have so they can take notes of the topics being discussed, but that they have your name as a passive reminder to take back with them, hopefully on their desk, just to kind of keep you in their peripheral vision on who to refer to. Another thing you're gonna want to consider is name tags so that when you're trying to network and talk to all the attendees, you know their first name and what practice they're with. So that's something I would highly recommend. You would be surprised, even down to name tags, there's some lessons learned there, the ones that always come off the clothing and stick to the hair and mess up their clothes. So I'll have links below on some of my favorite items that I've used in the past. One of the other things you're gonna want to consider to maximize your results for your event is do you need A V equipment, which is microphones and slide projectors. Well, slide projectors, you usually computers now, you know, screens and projection and speakers and that type of thing. Also, are you gonna feed your attendees? I recommend you don't always have to do a three-course meal, but you do want to have drinks and snacks available. You also want to consider when you're setting your time for your event, the setup and takedown period, at least 30 minutes takedown and at least an hour before you should arrive before your guests start arriving. And once the event's completed, your event follow-up. This is a great time. Just because the event is done, don't stop reaching out to your referral sources, send them some thank you notes, follow up, use this as a way to continue to touch base back with them. Also, your sponsors, make sure you take care of those sponsors who supported your event. Maybe get them a nice little gift, give them a table where they can set up their items, that type of thing. I'll go over that in a future episode, some things I've learned and done myself that has worked really well. So, as a conclusion to this episode, growing your dental specialty practice by hosting a CE referral event. We've learned that there's industry data that proves the referral sources do increase following a successful CE event. I've seen it where they increase, they usually have a nice spike, 30 days following, then they continue higher than normal 60 days following, and then it starts to drop off about 90 days following. So there's things that you can do to continue to ride that wave, so to say. And that's typically why I usually recommend an event every quarter, except for avoiding, you know, July and August, and also avoiding December, which I went over in my previous episode. And the third thing we discussed are the key items to include in your event to maximize results. I hope that these items started to get your wheels going as far as planning your own CE event. Many of the events I've done, kind of like a wedding planner, I guess. I did remotely. I never put my foot on the ground at the event. I coached the team through all the steps. I identified all the sponsors, I did the flyers, I did everything from start to finish, sent over the sign-in sheets, everything that you'll want for successfully executing a referral event. I have traveled on site and the last one I did was almost 200 in attendance and went really well. I can help you with small scale or large scale events.
