Are you noticing dental referrals dropping from last year and you're not sure why your current efforts are just not producing the same results? Well then this episode is for you. In today's episode, we're going to discuss the major leaks in your dental practices referral marketing program that you can actually plug to stop your quote unquote boat from sinking. Then once we've identified these leaks, we'll discuss the steps to seal it up so you can not only stay afloat, but off like a speedboat. Let's begin. Point number one, dirty data. It's like dirty water. You can't see clearly to navigate through. For example, muddy waters just like Jeremy Wade encountered on the TV series River Monsters. When he would navigate through the rivers like the Amazon, through dangerous, dark waters with predators such as crocodiles and snakes swimming about. He would also set up his team. He would have a local guide that would come out and take him to the known spots where the locals would have seen these massive fish that he was hoping to catch and record for camera so that we could see it on the show as he'd wade through these deep, dirty waters, could not see where perils or danger could be about, just in hopes of catching these fish. But because it was not easily seen, it was difficult for him to be able to catch the fish. I can't imagine the amount of hours and days he took preparing beforehand, getting in the right position, and sitting on that boat with the right bait, hoping to catch that fish. And then if you've seen the show, you know he would scream, fish on, fish on! And that was a cue to let the cameraman know finally after hours of waiting, they have a fish on the hook. Roll the camera. Well, it's so much more challenging to see what he was trying to catch because the waters were always dark and murky and muddy. Definitely not my idea of something fun to go do. In this analogy, that's like your referral source reports in your practice management software. With every practice I've worked through through the years, this is the area that usually has the most room for improvement. Whether doctors are entered in as duplicates, old offices are not archived, or all associates for the practices are not entered in, this is definitely murky, muddy waters in your dental practices. Instead, let's imagine clear crystal blue turquoise waters, such as those in Belize, with those stunning white sand beaches off the shore of the second largest living coral reef in the world, second only to Australia. You can literally see all the way down to the ocean floor on the island and onshore. If you walk into these waters, unlike Jeremy Wade on river monsters, in these beautiful Belizean waters, you'll see pufferfish, stingrays that will swim up to you, nurse sharks, yellow tang, eels, dolphins, and more. And you could easily see them because the waters were crystal clear. Well, this makes enjoying them, and if you're a fisher, catching them so much more easier than Jeremy Wade's fish on experience. Cleaning up and fully completing your dirty quote unquote referral source data will stop the leak from your dental specialty practices. Point number two, is there enough gas in your boat? As we're going with the theme of boating in today's episode, have you ever stopped at a remote gas station to fill up your car? Or if you have a boat, used old gas and a pinch, and then when you go to take off, it seems fine at first, but then it starts to spit and sputter, and depending on if you have water in the gas or sediment in your gas tank, it can even make your engine stop altogether. Or have you ever run out of gas and had to call a friend or a family member to come pick you up? Funny thing is, no matter how nice your vehicle looks, whether it's a Mercedes, a Porsche, a BMW, or a boat, a C ray, a Boston whaler, unless it's electric, of course, you can't move those vehicles if they don't have gas. Well, your dental specialty practice is the same. Even if it's newly built or a freshly modeled and redecorated office, without allocating an appropriate marketing budget and team staffing to help execute on those plans, your private practice or DSO are not going to grow in normal circumstances. Of course, I'm not referring to practices with Medicaid, public health, or military facilities. That's a different, different topic for a different day. But for our private practices and our DSOs, for our dental specialty practices, your marketing budgets and your marketing team members are vital to your success. Now let's discuss your marketing budget, your gas, so to say. Are you depending on social media posts or your websites in hopes that the patients may find you? Or maybe the occasional donut drop or Christmas holiday deliveries for your referral network. The healthiest specialty practices are the ones that have designated a set marketing budget for the year and reverse-engineered the year ahead of time with a mix of core events and relationship building encounters, which can come in many strategic ways. Second, let's discuss the fuel to your practice. Now that you have a designated marketing budget, what are you going to do with it? How will the efforts be carried out? You need a team member who is designated for this role. Now it does not necessarily need to be a full-time team member, but having someone a PRC, as commonly known in our industry, a practice relations coordinator or a marketing associate, but you need someone to be the face of your practice to your referral sources. The expense to invest in this fuel for your practice should far outweigh the cost of your profit and loss. Now, this doesn't necessarily need to be a full-time team member. This is something that is different with the volume of your practice, the number of clinicians that you have, and the number of locations that you have. Something that we can discuss further in detail if you'd like. But this expense to be able to invest this fuel for your practice should far outweigh the cost of their compensation on your profit and loss sheets. The biggest pitfall that I see with practices who have these team members in place, even if part-time or in a hybrid role, is they have a lack of direction and oversight. In this day of DSOs pushing general dentists to be super dentist and keeping everything in-house, this is not the time to pull back from the throttle on your engine, but rather the opposite. Point number three, know your waterways. I'm going to share a quick story about the area that I currently live in Merritt Island, Cape Carnarval in Florida. We have the most beautiful waterways, and this is where the rockets go up for SpaceX, Blue Origin, Kennedy Space Center, and so on. When you're coming over the bridge to come onto the island, you'll see water from left to right. It's always such a gorgeous view, even if the sun's not shining. But the other thing that you're going to see, especially if you're coming here for a cruise in Cape Canaral, cruise port, you'll see boats get stuck on sandbars all the time. Little boats, big boats, sailboats, you name it. And it happens literally every week. It's crazy to think of the amount of money that is lost on these unfortunate events. The boats get stuck and they'll need a tugboat and a crane operator come pull them out if they don't just abandon them altogether. You'll see not only these boats that are lodged in sandbar, but you'll see other boats successfully navigating the waterways and knowing where the heights and the depths of the sand of the bottom. And just like waterways have maps and boaters have depth finder tools available, you as a practice owner and leadership need to be proactive and use the tools that are available for you to be able to steer your ship, your boat, your practice using things such as Google Maps, Google My Business, keyword searches to see what your competitors are showing up for in your area and how your practice is showing up. This will help show you the pathways, the waterways, so to say, in this example, to provide you clear passage for growth and avoid the sandbars that can be detrimental to your practices' success. Stopping the leaks in your practice to protect your boat, so to say, from sinking is done by cleaning up your dirty data and your practice management software. Remember, fish on versus Belize Waters. Then we covered adding gas to your practices engine. That's your marketing budget and an assigned marketing team member who can help carry out your plans.
